How do I get real reports out of ClickUp on time, margin and clients?
Short answer: ClickUp can generate real reporting, but only from its Business plan ($17 a seat a month, billed yearly, as of October 2026) and above; the Free and Core plans only offer trial-level dashboard access with no real reporting. Once you're on Business, ClickUp's Dashboards give you live charts on tasks, time tracked and workload, and you can export task and time data, but turning that into a true per-client margin report (time spent versus what you billed) still takes pulling data out through the API or an export, since ClickUp doesn't calculate profitability for you natively.
You want to know whether ClickUp alone can tell you, by client, how much time your team is actually spending versus what you're billing, or whether you need to pull the data out to get that answer.

What is ClickUp, and what counts as "reporting" in it?
ClickUp is a project and productivity management platform that combines tasks, docs, chat, goals and time tracking in one tool, aimed at teams that want to run most of their work inside a single app rather than stitching several tools together. Reporting in ClickUp mainly means two things: Dashboards, which are customizable boards of live charts and widgets pulling from your tasks, and built-in time tracking reports that break down hours by task, assignee or list.
What ClickUp plan do I actually need for reporting?
This is the first thing to check, because it changes the answer entirely. Confirmed live from ClickUp's pricing page in October 2026:
- Free Forever and Core ($9 a seat a month, billed yearly): dashboards are trial access only, and reporting isn't included at all.
- Business ($17 a seat, billed yearly): full access to advanced dashboards, plus unlimited standard reporting and advanced reporting options.
- Enterprise and MAX (custom and $100 a seat respectively): adds higher API rate limits and enterprise-grade controls on top of what Business already includes.
So a team evaluating ClickUp purely on the Core plan's advertised price is comparing against a tool that, for reporting purposes, doesn't really exist yet at that tier. Business is the realistic floor for agency reporting.
What ClickUp dashboards actually show you
Once you're on Business or above, ClickUp dashboards can display task counts by status, a burndown or velocity chart, workload by assignee, time tracked totals, and goal progress, built from widgets you drag into place. For an agency running separate spaces or folders per client, this works well as an internal status view: how much is actually done this week, who's overloaded, which tasks are stuck.
Where it stops being enough is margin. ClickUp will tell you how many hours were logged against a client's tasks. It won't tell you what those hours cost you to deliver versus what you billed that client, because it has no concept of your billing rates or retainer value built in. That calculation has to happen outside ClickUp, using the time data as an input.
Here's a concrete version of that gap: say a client pays a $3,000 monthly retainer, and ClickUp's time tracking report shows 48 hours logged against that client's space this month. ClickUp's dashboard will happily chart those 48 hours by task type or by assignee, but it has no idea that 48 hours at your team's blended cost rate might mean this retainer is barely breaking even, or running at a healthy margin, because it was never told what an hour of your team's time actually costs you to deliver. Spotting that requires pulling the 48 hours out and comparing it against your own cost figures somewhere else, which is exactly the kind of calculation that's easy to let slip until a client relationship that looked fine on paper turns out to have been quietly unprofitable for months.
Exporting ClickUp data: CSV, Excel and the API
ClickUp supports exporting task data, including time tracked, to CSV from most list and table views, which covers the basic case of pulling a period's hours into a spreadsheet for manual margin math. For anything recurring or automated, ClickUp's API lets you pull time entries programmatically, which is the realistic path to an automated owner dashboard rather than a manual monthly export. One thing worth knowing before you build on the API: ClickUp rate-limits API calls by plan, 100 requests a minute on Free, Core and Business, rising to 1,000 on Business Plus and 10,000 on Enterprise and MAX, confirmed from ClickUp's developer documentation in October 2026. For a small agency pulling time entries for a handful of clients on a schedule, the Business-tier limit is rarely a real constraint; it starts to matter if you're building something that polls ClickUp constantly across a large workspace.
I wasn't able to confirm ClickUp's exact native CSV export limits or formatting options for larger workspaces directly from ClickUp's own help documentation (the page didn't load during research), so if you're planning a recurring export process, confirm the current export options directly in your workspace settings first.
Connecting ClickUp to Power BI
ClickUp doesn't ship a dedicated, first-party Power BI connector. Agencies that want ClickUp data inside Power BI are generally going through the API directly, a general-purpose connector, or an automation tool like Zapier or Make to move the data into a format Power BI can ingest on a schedule. This is more setup work than a native connector, but it also means the report you end up with in Power BI isn't limited to ClickUp's own widget types.
Worth flagging honestly: I wasn't able to confirm a dedicated, official ClickUp Power BI connector listed directly in ClickUp's own integrations catalog during research, so if a native option exists at your plan tier, confirm it directly in your workspace's integrations settings rather than assuming the API-and-automation route described above is the only path.
Building a real owner dashboard by client
The gap most agency owners hit with ClickUp alone is the same one that shows up across most project tools: time tracked per client doesn't equal margin per client without your billing rates layered in. A practical setup looks like: ClickUp tracks tasks and time as the system of record, the API or an export pulls time entries out on a schedule, and a separate dashboard (whether that's Power BI, a simple internal tool, or a custom build) combines that time data with each client's retainer value or billed rate to show actual margin by client, not just hours logged. My guide to building a KPI dashboard covers how to pick the right handful of numbers for that owner view instead of trying to show everything ClickUp can track.
A practical detail that trips agencies up when they first try this: ClickUp's time entries are tied to the specific task they were logged against, not directly to a client, unless your workspace structure already groups every client's work under its own space or folder consistently. If time has historically been logged against loosely organized tasks without a clean client tag or custom field, the export you pull out won't cleanly roll up by client without some manual cleanup first. Setting up a consistent "Client" custom field across every task, before you need the report rather than after, saves real time the first month you try to build an actual margin view. How I'd approach this
If you're on Business or higher and mainly need an internal status view, ClickUp's own dashboards are genuinely good and I wouldn't tell you to build anything on top of them. Where it's worth pulling data out is the margin question specifically: once you want to see, at a glance, which clients are actually profitable after real hours are weighed against what you billed them, that calculation needs to happen somewhere that knows your rates, which ClickUp alone doesn't.
FAQs
Questions people ask
Does ClickUp's Free plan include reporting?
No. Free Forever and Core only offer trial-level dashboard access; real reporting (unlimited standard and advanced reports) starts on the Business plan at $17 a seat a month, billed yearly, as of October 2026.
Can ClickUp calculate client profit margin automatically?
Not on its own. ClickUp tracks time against tasks, but it has no concept of your billing rates, so margin by client has to be calculated outside ClickUp using its time data as the input. Agency profitability shows how to work the margin out by client.
Can I export time entries from ClickUp?
Yes, via CSV export from list and table views for a manual pull, or via the ClickUp API for an automated, recurring export into another dashboard or tool.
What's ClickUp's API rate limit?
100 requests a minute on Free, Core and Business plans, rising to 1,000 on Business Plus and 10,000 on Enterprise and MAX, confirmed from ClickUp's developer documentation in October 2026.
Does ClickUp connect to Power BI directly?
Not through a first-party connector. Most agencies route ClickUp data into Power BI through the API or an automation tool like Zapier or Make.
