How do I get through a lead list faster without wasting hours on dialing?

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: A power dialer removes the manual dialing and waiting between calls: you work through an uploaded list and the system automatically calls the next number once you've logged the previous call's outcome. Calilio's power dialer is on its Premium plan ($35/mo, $28 annual) and explicitly supports power dialing only, not predictive or multi-line dialing, which call several numbers at once and connect whichever answers first. For a solo caller or small team, that distinction barely matters; for a larger outbound team, it's the difference between this tool and a dedicated sales-dialer platform.

You're calling down a lead list by hand and most of your time is going to dialing and waiting, not actually talking to people.

Manual outbound calling wastes most of its time on the parts that aren't the call: looking up the next number, dialing it, waiting for it to ring out or connect. A power dialer removes that dead time by handling the next number automatically the moment you've finished logging the last call's outcome, so the only thing slowing you down is the actual conversation. Calling straight from your CRM is covered in clicking a number in your CRM to call it.

Calilio is one phone system that offers a power dialer as a built-in feature, and KrispCall's power dialer and tools like Instantly or Apollo offer similar functionality if you're comparing options. I'm using Calilio's version here as a concrete example of how a power dialer actually behaves, not because it's the only one worth considering.

Power, predictive and multi-line dialing: the real difference

These three terms get used loosely in marketing copy, but they're genuinely different things. A power dialer calls one number at a time, automatically moving to the next the moment you log an outcome; it's built for a human caller working through a list one conversation at a time. Multi-line dialing calls several numbers simultaneously and connects you to whichever one answers first, dropping the others; it gets through a list faster but means some answered calls get abandoned by design, which matters for compliance in some places. Predictive dialing goes further, using statistical models to call ahead of when agents are actually free, aimed at larger call centers with many agents running at once, not a solo caller or small team.

Calilio states plainly on its own feature page that it supports power dialing, not predictive or multi-line dialing. For a solo caller or a small team of two or three, that's rarely a real limitation, since the volume where predictive dialing's complexity pays off is well beyond what one or two people calling by hand would ever reach anyway. If you're scaling toward a dedicated outbound team of ten or more agents, this is the point where a purpose-built sales-dialer platform with predictive dialing starts to earn its higher price over a general phone system's power dialer.

How to set up and run a power dialer session

  1. Clean the list first. Remove duplicates, dead numbers and anyone who's already asked not to be called. A power dialer makes you faster at calling a bad list just as efficiently as a good one, which isn't actually useful.
  2. Check do-not-call rules for your list and your calling hours before you start. Calilio's power dialer page doesn't mention built-in do-not-call checking, so this is on you to confirm against your own list or a do-not-call registry before importing.
  3. Upload the list as a CSV. On Calilio, this is the stated setup step: import a contact list by CSV to load it into the power dialer.
  4. Set your call dispositions in advance, the outcome labels you'll use for each call (interested, follow-up, no answer, not interested). Calilio calls these custom call dispositions, and defining them before you start means you're not inventing categories mid-session.
  5. Run a 30-minute block. The dialer moves to the next contact automatically once you log an outcome, so your only job during the block is talking and logging, nothing else.
  6. Review results after the block and pull anything tagged for follow-up into tomorrow's list.

What this costs on Calilio, and what the alternatives cost

Calilio's power dialer is included on its Premium plan, $35 a month or $28 a month billed annually, confirmed on Calilio's own pricing page. That's in line with or cheaper than dedicated outbound dialer tools: the source material for this pack cites KrispCall's power dialer at roughly $15 to $60 per user depending on plan, and Instantly or Apollo's sales-engagement platforms run their own separate pricing on top of whatever base email or calling features you're already paying for. If you already use Calilio for calling and just need to speed up outbound list work, Premium's included power dialer is usually the simplest upgrade path rather than adding a second tool on top.

What I'd actually tell you

The biggest time saving from a power dialer isn't the seconds it shaves off each individual dial, it's removing the decision fatigue of looking up and choosing the next number yourself. Over a 30-minute block that adds up to meaningfully more completed calls, not because any single call got faster, but because there's no moment where you hesitate, check your phone, or lose momentum between calls. The flip side: it won't fix a bad list or a weak script. If your answer rate is low, the problem is usually the list quality or the opening line, not the dialing speed, and a power dialer will just help you discover that faster.

A worked example: a real estate team working expired listings

A real estate team calling through a list of expired listings, a classic cold-outreach list with a low but real hit rate, benefits from a power dialer specifically because the volume needed to find the handful of genuinely motivated sellers is high. Working 150 numbers by hand, at roughly a minute of dead time per call looking up and dialing the next one, is two and a half hours of pure overhead before counting a single conversation. The same list through a power dialer removes most of that overhead, meaning the same two agents can realistically work through the list twice in the time it used to take once, which matters directly for a list type where the value is in reaching enough people to find the few who are ready to sell. Quiet enquiries make a similar list, as phoning past enquiries that went quiet explains.

Common mistakes with power dialing

  • Running a dialer session against a list that was never actually qualified. Speed amplifies whatever list you feed it. A fast dialer through a bad list just produces a lot of fast rejections, not more sales.
  • Skipping the disposition step to save a few seconds. Logging an outcome quickly but inaccurately (marking everything "no answer" to move faster) destroys the one thing that makes the next session better: knowing which contacts are actually worth calling again. Tracking follow-ups afterward is covered in tracking which callers need a follow-up.
  • Running sessions too long without a break. The energy and tone in a caller's voice on hour three of back-to-back dialing is noticeably different from hour one, and a worse call experience for the person on the other end costs more in lost opportunities than the extra calls squeezed in are worth.

When to skip this

Mind do-not-call laws in whatever country or state you're calling into; a power dialer makes it easy to call through a list fast, which also makes it easy to call through a list fast that shouldn't have been called at all. For Dubai real estate lists, see cold calling rules and tools for UAE brokers. Skip this entirely if your outbound volume is low enough (a handful of calls a week) that manual dialing's dead time isn't actually costing you meaningful hours, since the Premium-tier upgrade cost isn't worth it at that volume.

How I'd approach this

Once a team's outbound volume genuinely outgrows what a single-number power dialer can handle, or the lead list itself needs to be built, scored or deduplicated before anyone calls it, that's usually a custom project, not a bigger dialer subscription. I'd rather build the list-prep and scoring layer that makes each calling session worth running, than add dialing speed on top of a list that's half dead numbers to begin with.

Questions people ask

Does Calilio's power dialer support predictive dialing?

No. Calilio states directly that it supports power dialing, not predictive or multi-line dialing. Power dialing calls one number at a time automatically; predictive and multi-line dialing are built for larger call centers with many agents running simultaneously.

How much does Calilio's power dialer cost?

It's included on Calilio's Premium plan, $35 a month or $28 a month billed annually. It's not available on the cheaper Standard plan.

Do I need to check do-not-call rules before using a power dialer?

Yes. Calilio's power dialer doesn't mention built-in do-not-call checking, so you need to clean your list against do-not-call registries and your own opt-out records before importing it.

What file format does Calilio use to import a call list?

CSV. You upload a contact list as a CSV file to load it into the power dialer.

Is a power dialer worth it for a solo caller?

Often yes, if you're making enough calls that the dead time between dials adds up to real hours. The time saved comes mainly from removing hesitation and manual lookup between calls, not from any single call being faster.

How is Calilio's power dialer different from KrispCall's or a dedicated sales tool?

It's a comparable power-dialing feature at a comparable or lower price (Premium at $35/mo vs. KrispCall's roughly $15-60/user range), but if you need predictive or multi-line dialing for a larger outbound team, a dedicated sales-dialer platform built for that scale is the better fit.

What are call dispositions and why do they matter?

Dispositions are the outcome labels you apply to each call, such as interested, follow-up or no answer. Setting them up before you start a calling session means every call ends with a reportable result instead of a list of calls with no record of what happened.
