Software to create SOPs: capture, write and train

By Ranjit Bhinge, founder of Blur Studio · Updated · 5 min read

Short answer: Creating an SOP is really three separate jobs, and most businesses need software for at least two of them. Capture tools like Scribe or Tango record you doing the task and generate a draft automatically. Writing and organizing tools like Notion, Google Docs or a dedicated platform like Trainual hold the cleaned-up version and make it findable. AI tools can help turn a messy transcript or voice note into a structured draft faster than writing it by hand. Pairing a capture tool with a writing or training tool covers the whole job for most small teams.

You want to know which software actually gets an SOP written, not just a list of every tool in the category.

SOP creation is three separate jobs

"Software to create SOPs" searches tend to assume one tool does the whole thing. In practice, creating a usable SOP breaks into capturing the steps, writing them up clearly, and (optionally) training staff on the result. Each has different tools built for it, and the fastest path for most small businesses is pairing one from each category rather than hunting for a single tool that does all three well.

Capture tools: get it out of your head

Scribe, a browser and desktop tool, watches you perform a task and automatically generates a step-by-step guide with screenshots as you go. It has a free Basic plan with unlimited guide creation in-browser, and paid Pro tiers starting at $17/seat monthly for teams of five or more, or $35/seat for a single user, adding desktop capture and branding. Tango works similarly: a browser extension that records your clicks and turns them into a numbered walkthrough with screenshots. Its free plan covers up to 10 users and 5 shared workflows, and Pro runs $20 to $30 a user monthly depending on seat count. Both tools solve the same core problem, turning "I know how to do this" into a first draft, in minutes rather than hours of writing from memory. Choosing between them usually comes down to two things: Scribe's free tier has no seat cap, which suits a solo owner or a very small team testing the category, while Tango's free tier caps at 10 users but allows multiple people to try it simultaneously without anyone paying yet. If your procedure is specifically a sequence of clicks inside software, both capture the same way, so cost and seat limits at your team size matter more than any functional difference between them. Writing and organizing tools: make it findable

Once you have a draft, it needs a home. Notion, a flexible workspace with pages and databases, is free for one person and $10/seat monthly for a small paid team, and plenty of businesses use it as a DIY SOP library with folders by department. Google Docs is free with any Google account and works the same way with less structure. Trainual, a platform for writing up your company's processes, policies and training material in one place and assigning it to staff with completion tracking, is the step up from a plain document tool when you also need to know who's actually read what. It doesn't publish fixed pricing, quoting after a demo based on team size, with a one-time $1,000 implementation fee noted on its site. Check current pricing for your team here.

AI tools: speed up the writing itself

A newer layer uses AI to help with the actual writing. Scribe and Tango both let you add voice narration while capturing, which can be cleaned up into written steps faster than typing them out. Guidde, an AI tool that turns a screen recording into a narrated how-to video automatically, including an AI-generated voiceover, is free for up to 25 videos and $19/creator monthly on its Pro plan for more. Whale's paid tiers include an AI assistant that can answer staff questions directly from your documented procedures once they're written, which is a different job from drafting but worth knowing sits in the same tool. General-purpose AI chat tools can also turn a rough voice memo or bullet list into a structured first draft, though you should always have a person who actually does the task review the output before staff rely on it. The AI SOP generator comparison covers these drafting helpers tool by tool.

Which to pair, by situation

If nothing is written down yet and you're starting from scratch, pair a capture tool (Scribe or Tango) with a free writing tool (Notion or Google Docs) to get your first 10 to 20 procedures documented without spending anything. If procedures already exist somewhere but nobody's reading them, you likely don't need a capture tool at all, you need a training layer like Trainual or SweetProcess on top of what you've already written. If your team is non-technical and intimidated by screen-recording software, skip capture tools entirely and just talk through the steps into a voice recorder, then clean up the transcript with an AI tool before pasting it into your writing tool. Prompts and a review checklist for that cleanup step are in how to write SOPs with AI.

The three categories, side by side

CategoryJob it solvesTypical costExample tools
CaptureTurns doing the task into a first draft automaticallyFree to $35/seat monthlyScribe, Tango
Writing & organizingHolds the cleaned-up version, makes it findable, optionally tracks who's read itFree to custom quoteNotion, Google Docs, Trainual
AI-assistedSpeeds up drafting from a transcript, voice note or recording, or answers staff questions from existing docsFree to $39/creator monthlyGuidde, Whale's AI assistant

Notice that none of these three categories fully overlaps with another. A capture tool with no writing tool behind it just leaves you with a pile of unedited screenshots nobody assigned to anyone. A writing tool with no capture tool means every SOP has to be typed from memory, which is slower and more error-prone than narrating it while you work. Skipping the AI layer entirely is fine, it's a speed boost, not a requirement, the other two categories cover the actual job on their own.

An example workflow, start to finish

Here's how this actually looks for a 15-person service business documenting its intake process. The office manager opens Tango's free plan and clicks through a real customer intake call while the tool silently records each screen and click. Within a couple of minutes she has a numbered walkthrough with screenshots. She copies that into a new page inside Trainual (or a free Notion page if the business isn't ready to pay yet), cleans up the wording, and adds two or three sentences of context a screenshot alone can't convey, like what to do if the customer's information doesn't match the system. She assigns the finished SOP to the two newest hires with a due date, and a week later checks who's actually opened and completed it. Total time from "nothing written" to "assigned and tracked": about 90 minutes for one procedure, most of it spent cleaning up wording rather than the capture itself. Ten tools across all three jobs are compared in best SOP software for small business.

How does Blur Studio approach SOP creation?

This combination of ready-made tools covers the vast majority of small businesses well. Where it becomes a custom build is when the SOP itself needs to drive something automatically, for example a procedure that should trigger a task in your CRM the moment it's assigned, rather than just sitting as a document someone reads. If that's genuinely your situation, happy to talk it through, and if the combination above is enough, I'll say so.

Questions people ask

Do I need both a capture tool and a writing tool, or just one?

For most small businesses, pairing both is faster overall: a capture tool gets the raw steps down in minutes, and a writing or training tool is where the cleaned-up version lives and gets assigned. You can skip the capture tool if you're comfortable writing from memory, but it usually takes longer.

Can AI write an entire SOP for me with no input?

Not accurately. AI tools are genuinely useful for turning your own notes, transcript or voice memo into a structured draft faster, but an SOP written with zero input from someone who actually does the task will miss real exceptions and edge cases, so always have a human review before staff rely on it.

What's the fastest tool for someone who hates writing?

Scribe or Tango, since both generate the first draft automatically from screen recording rather than requiring you to type anything, and both support voice narration while you work so you can explain context out loud instead of writing it.

Is Trainual a capture tool like Scribe?

No. Trainual is where finished SOPs live, get assigned to staff and get tracked for completion, it doesn't record your screen to generate a draft. Many teams use Scribe or Tango to draft, then move the result into Trainual for the training and tracking layer.

How often should SOPs actually get rewritten?

Review any SOP tied to a tool, price or regulation change immediately when that change happens, and do a general pass on everything else every six to twelve months, since a procedure that's quietly gone stale is worse than no procedure at all if staff follow it anyway.

Should I buy a capture tool and a writing tool from the same company?

Not necessarily. Scribe and Tango don't offer a bundled writing/training product of their own, so most teams genuinely do pair a separate capture tool with a separate writing or training tool like Notion, Google Docs or Trainual rather than buying everything from one vendor.
