Can AI help when Yardi Breeze reports fall short?

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: Yes, mostly on the part after the export. Yardi Breeze is property management software from Yardi that handles rent, accounting, leasing and owner reporting for residential and commercial properties. When its standard reports do not give an owner what they want, managers export to Excel and stitch things together by hand. AI can do that stitching: combine exports, check the numbers add up, and write plain-language notes for owners. It does not make Breeze itself produce new reports, and a person still checks every figure before it reaches an owner.

You want to know if AI can take the manual Excel work out of your Breeze reports without putting wrong numbers in front of an owner.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

If you want to find where AI would save your property management team the most hours first, the AI Strategy Sprint does that in 3 days.

The problem, briefly

Breeze and Breeze Premier, the higher tier with more advanced features, each come with a set of standard reports. Yardi's own blog says that without a custom report you may need to run several standard reports and combine the data yourself, formatting it in Excel and adding any missing information by hand. That is the complaint behind most "Breeze reports not working" searches. Sometimes the report is broken. Often it simply does not show what one owner wants in one place.

Yardi offers two fixes. Ad hoc reports are built by you inside Breeze Premier: you pick one data point, such as properties or tenants, then choose fields and filters, and you can send the result to screen, Excel or PDF. Yardi says they are free to create for Premier users. Yardi Scripted Reports, called YSRs, are built by Yardi's programmers, cost extra, can combine several data points and calculations, and export only to Excel or PDF. Yardi's post gives a typical timeline of about two to four months. Yardi says it tries an ad hoc report first and recommends a YSR only if that does not do the job. Premier users also get a Help Center article called "Can I create my own reports? (Ad hoc Reporting)" and live chat support for building them.

Whether ad hoc reports are open to you depends on the plan. Yardi's FAQ lists custom reporting as a Breeze Premier feature, not a Breeze one. As of November 2026, Yardi's pricing page lists residential Breeze at $1 per unit per month with a $100 monthly minimum, and residential Breeze Premier at $1 per unit per month with a $400 monthly minimum, both on an annual agreement, with Premier terms and minimums applying. At those rates a portfolio below 400 units pays the $400 minimum on Premier, so a small manager is paying for the plan, not per unit. Commercial Breeze is listed at $2 per unit per month with a $200 minimum. Check Yardi for the terms that apply to you.

Before you reach for either, check what Breeze already does. Yardi's reporting blog describes monthly report packets, a feature in Breeze and Breeze Premier that consolidates your favorite reports into one PDF you can email to owners or send to the owner portal. If your owners only need standard reports in one file, that may be enough and no AI is needed.

That gap, between "now" and "a custom report in a few months," is where AI is useful. Also see my guide to a KPI dashboard for what to track once the data is clean.

Where AI genuinely helps with this problem

  • Combining several exports into one owner view. Export the rent roll, the income statement and the delinquency list, give them to the model, and ask for one summary per property with the same layout every month. It is reading tables and lining up columns, which suits it.
  • Checking the numbers add up. Ask it to confirm that unit totals match the property total, that no tenant is listed twice, and that the month's figures reconcile to last month's with the changes explained. It flags rows for you to check, not answers.
  • Writing the owner note. Owners want short, easy-to-read reports, as Yardi's own post says. A model can turn the figures into five plain sentences: what rent came in, what is late, what moved out, what maintenance cost. You edit and send.
  • Troubleshooting a report that looks wrong. Describe what you see, the report name, the date range and the property, and ask for a checklist of likely causes and a clear message for Yardi support. It will not see inside your account, but it gets the question asked properly the first time.

I would not ask AI to produce accounting figures from scratch. Breeze has a built-in accounting system, and that system is the source of truth. The model only reads and rearranges what Breeze already produced.

A worked example with made-up numbers

These figures are invented. Say a landlord with a 3-unit building wants one page each month. Your exports show Unit 1 rent $1,400 paid, Unit 2 rent $1,500 paid, Unit 3 rent $1,300 unpaid, and a $220 plumbing bill. You ask the model for a summary and an error check. It replies that collected rent is $2,900 of $4,200 due (69%), Unit 3 is $1,300 late, expenses are $220, and the net is $2,680 before management fees. It also flags that the income statement says $2,900 in rent while your rent roll says $4,200 billed, which is expected because of the late unit, and asks you to confirm. That last check is the point: it catches the mismatch you would otherwise find after the owner calls.

Is there a real example of someone doing this?

This is a method to test, not a proven result. Try it on one property first and compare against Breeze before you extend it.

How to do this yourself with Claude

Claude is a general AI assistant made by Anthropic.

  1. Export from Breeze. Run the standard reports you already use for one property and send each to Excel. Delete tenant phone numbers, emails and anything else the owner does not need.
  2. Upload them together. Add all the files to one chat. Claude's help page says a chat takes up to 20 files, and that Excel (XLSX) files need code execution and file creation switched on in your account. If you cannot turn those on, export to CSV or PDF instead, since both are supported file types.
  3. Ask for the combined view. Type: "These are Yardi Breeze exports for one property for [month]. Build one summary: total rent billed, collected and late, by unit; expenses by category; net before management fees. Show the table first. Do not invent any figure that is not in the files."
  4. Ask for the check. Type: "List anything that does not reconcile, such as unit totals not matching the property total, duplicate tenants, or last month's balance not carrying over. Show the rows involved."
  5. Ask for the owner note. Type: "Write a short owner note of 5 sentences in plain words using only the verified table."
  6. Verify and send. Compare three figures against Breeze yourself before sending.

If you do this every month, save the prompts in a document and reuse them. Where a person still decides

  • Whether the figures are right. Compare against Breeze every time.
  • What to tell an owner about a late tenant or a big repair.
  • Whether a recurring report deserves a proper ad hoc or YSR build inside Breeze.

How I'd approach this

Start with ad hoc reports in Breeze Premier if you have it, since they are free to build and live where your data is. If you are on Breeze without Premier, the $400 monthly minimum is a real cost to weigh against the hours you spend stitching exports, so count those hours first. Use AI for what they cannot do: combining several reports and writing the owner note. Run the method by hand for two months. If you are still doing the same stitching every month, that is the sign to build something that pulls the exports in automatically and produces the owner pack for you. Before that, compare options in my property management software guide if Breeze itself is the bottleneck.

Questions people ask

Why are my Yardi Breeze reports not showing what I need?

Standard reports are fixed, and some owners need data from several reports in one view. Yardi says Breeze Premier users can build ad hoc reports themselves. See Yardi's custom reports post for how ad hoc reports and YSRs differ.

Can AI connect directly to Yardi Breeze?

A general AI like Claude does not connect to your Breeze account. You export reports to Excel or PDF and give it the files. A connected setup that pulls data on a schedule is a separate build.

Is it safe to upload property reports to an AI tool?

Remove tenant names, contact details and anything private before uploading. Check your management agreements for confidentiality terms, and use a business plan with clear data-handling terms for anything sensitive.

How long does a custom Yardi report take?

Yardi's own post says a scripted report (YSR) takes about two to four months depending on complexity, and has a cost. Ad hoc reports are built by you. Ask Yardi for current terms.

Will AI get the numbers wrong?

It can. Models sometimes misread a column or slip on arithmetic. That is why you ask it to show the table first, and compare a few figures against Breeze before anything goes to an owner.

What should I track once my reports are clean?

Start with a short list: rent collected against billed, late rent, vacancy and maintenance cost. My KPI dashboard guide explains how to choose.
