Bayut Profolio guide for brokerage owners
Short answer: Profolio is the app of Bayut, one of Dubai's largest property listing portals, for agents to manage listings across Bayut and Dubizzle (a classifieds site from the same group), work leads and view market data. Listings carry a quality score (green, orange or red), and two verification badges, Checked (documents verified by Bayut) and TruCheck (a photo check that the property is still available), improve ranking. TruCheck needs a photo taken near the property and has to be renewed every 45 days for sales and 30 days for rentals. I could not find a public Bayut page on claiming transactions, so ask your Bayut account manager. For the owner, the gap is a single view of quality and activity across all agents.
Bayut's own tools reward agents who keep listings verified, fresh and well photographed. Whether that happens across your whole team depends on someone watching, and that someone is usually you.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What Profolio is
Bayut is a large UAE property portal and Dubizzle is the classifieds site from the same group, which also carries property listings. Profolio is Bayut's app for agents registered on Bayut. According to Bayut, agents use it to manage listings across Bayut and Dubizzle, handle leads and view market data. Inside it, an agent can see all their listings, their Bayut Credits (which are spent when a listing is published or boosted) and the quality score of each listing. Bayut's own wording describes Profolio as built exclusively for real estate agents in the UAE.
Listings and the quality score
Each listing receives a green, orange or red score. Green listings rank higher. Bayut says orange or red listings can improve by adding high resolution images, adding floor plans or completing listing verification. The owner takeaway is that ranking is partly in your hands and costs agent time rather than credits. Ask every agent to work down their red and orange listings once a week.
Checked and TruCheck, step by step
Bayut describes two badges that buyers and renters can see:
Checked
- The agent uploads documents in the app: Form A or a No Objection Certificate (listing paperwork), the title deed with a copy of the owner's passport, and the owner's Emirates ID.
- Bayut's quality assurance team verifies them and applies the Checked badge.
TruCheck
TruCheck confirms that the property is still on the market. Only Checked listings are eligible. As Bayut describes it:
- The agent stands within 500 metres of the property. Otherwise the app camera will not open.
- For an apartment, photograph from outside the unit with the front door open and the apartment number visible. For a villa, stand inside the property.
- Upload up to 10 photos and submit for approval.
- Renew when it expires: Bayut says the badge is valid for 45 days on sale listings and 30 days on rent listings.
Both badges improve ranking. Bayut also describes a Quality Lister badge for agents who validate listings with TruCheck, with different thresholds for Dubai and Abu Dhabi. Check the current threshold in the app before you set targets for your team.
Common failure points I would expect: documents held by the owner and not yet received, an agent who photographs from the wrong spot, and badges quietly lapsing because nobody tracks the dates. That last one is the owner's problem, because lapsed badges mean lower ranking for listings you are paying to publish.
SmartLeads and transaction data
- SmartLeads. Bayut says it collects a lead's location, budget and property type from calls or emails, links matching listings, keeps call history and notes, and sorts leads into email, SMS, phone, WhatsApp and chat. Leads can be exported to Excel. Bayut states that all email leads and about 60 percent of phone calls are linked to specific listings.
- Transactions. Profolio provides past sold transaction data from the Dubai Land Department, the government body that registers property sales. Buyers' agents use it to match budgets, and seller agents use it to build comparative market analyses, filtered by location and time period. Profolio also offers market insights from Bayut search data and competitive insights comparing a listing to similar ones nearby.
- Claiming a transaction. People search for how to claim a transaction in Bayut. I could not find a public Bayut page that explains it, so I will not describe steps from guesswork. Ask your Bayut account manager how an agent attaches a closed deal to their profile and what proof is required.
Signing up
Profolio is for agents registered on Bayut. The route in is through your agency's Bayut account and account manager, so ask them how to add each agent and what documents they need. Licensing and permit questions are for the relevant Dubai authority, not for Bayut.
Software and AI: tracking quality and agent activity in one place
Profolio is an agent's tool. It is not built to give an owner a single page across all agents and also across Property Finder. To compare the two portals, see Property Finder vs Bayut for brokerages, and for the Property Finder side see PF Expert on Property Finder. Here is what extra software can do.
- Software tracks the dates. A simple register of listings with the TruCheck expiry date for each, and a reminder to the agent a week before it lapses. This only works if the data gets out of Profolio. Bayut offers a Leads API (a way for other software to collect your leads automatically) for leads (see my Bayut and Dubizzle API article), but I could not confirm any public feed of badge expiry dates, so some of this may need manual entry or an export.
- Software reports by agent. Listings live, share of green scores, badges valid, leads received, response time and deals. I build dashboards like this; the KPI dashboard guide shows what an owner should look at.
- AI helps with the listing itself. It can compare a listing description to the photos and floor plan notes an agent supplies and flag what is missing, such as no mention of the view or the service charge. It cannot see the property.
- Humans verify. Standing at the door is the point of TruCheck. No tool can do that for the agent.
Do it yourself with Claude
Keep a shared sheet with one row per listing: agent, listing reference, quality colour, Checked yes or no, TruCheck expiry date. Each Monday, paste it into Claude, an AI assistant, and ask: "Today is [date]. List listings whose TruCheck expires within 7 days, list red and orange listings by agent, and write a short message to each agent with their own list." Check the dates against Profolio before anyone acts, because the sheet is only as accurate as the people updating it.
A weekly checklist for the owner
Ask each agent to bring, or share, these five numbers every Monday. It takes them a few minutes and you a few more.
- Active listings, and how many are green, orange and red.
- How many listings are Checked, and how many of those hold a current TruCheck.
- TruCheck badges that expire in the next week.
- Leads received, and how many were answered within an hour.
- Credits left and what they are earmarked for.
Over time the pattern tells you who treats listings as an asset and who treats them as a chore. Be careful not to turn it into a punishment. Agents who spend time on TruCheck are doing unpaid work that benefits the whole agency, so credit it in your team meetings. Where an agent struggles with a particular step, such as getting owner documents, help with the process instead of repeating the target.
Floor plans, listing insights and valuation
Three more Profolio features from Bayut's agent portal are worth knowing. First, Bayut announced that floor plans are now required for a perfect quality score, but only for listings where Bayut already has standardised floor plans in Profolio. A grey floor plan icon means a matching plan is available; the agent picks the right one and the icon turns green. So a listing stuck below a perfect score may need one click, not a new photo shoot. Second, a Listing Insights section gives performance figures per listing, which Bayut's pages describe as clicks, impressions, leads and click-through rate (the share of people who saw the listing and tapped it). Use these to tell a weak listing from an unlucky one: many impressions and few clicks points to photos or price; many clicks and no leads points to the description or price. Third, TruEstimate is Bayut's valuation tool built on Dubai Land Department data, which gives an estimated market value and sales and rental history. It is a guide for a pricing conversation with an owner, not a formal valuation.
TruBroker, TruPoints and the leaderboard
Bayut's TruBroker programme, launched in September 2024 according to a press piece I read, rewards agents with Responsive Broker and Quality Lister badges, and an agent who earns both can qualify for the TruBroker badge. Badges earn TruPoints, which Bayut says affect an agent's place on a weekly Agent Leaderboard and can improve visibility in their service area. How points are calculated is not published, so I can't tell you what they are worth. What follows for an owner is practical: the two badges map to habits you already want, which are fast replies and TruCheck on listings. Agents also carry these badges as a personal profile, which is a retention point to keep in mind.
What to fix first, in order
- Get Checked on every active listing, because TruCheck needs it.
- Assign available floor plans, which is the cheapest way to lift a score.
- Renew TruCheck on your best-performing listings first, using Listing Insights to choose.
- Fix red and orange listings that have high impressions.
- Only then look at boosts.
What goes wrong and how to spot it
- An agent leaves and their listings go stale. Spot it by listing a leaver's live listings on their last day and reassigning each one.
- Owner documents missing. Checked cannot start. Spot it by counting active listings without Checked.
- Score chased with poor photos. A green score does not mean the photos sell. Spot it by comparing clicks with impressions.
- Sold units still live. Spot it against your own deal list weekly.
How I'd approach this
Set three simple team rules: every active listing gets Checked, every Checked listing gets TruCheck before the badge lapses, and red listings get fixed within a week. Review them in a ten minute weekly meeting using a shared sheet. Only when the sheet becomes a chore for several agents and two portals is it worth connecting your data into a dashboard. Confirm anything about fees, credits and eligibility with your Bayut account manager.
Questions people ask
What is Bayut Profolio?
Bayut's app for registered agents to manage listings across Bayut and Dubizzle, handle leads with SmartLeads and view market data and transaction insights.
How does TruCheck work on Bayut?
Per Bayut, the agent stands within 500 metres of a Checked listing, photographs the property and submits up to 10 photos. It lasts 45 days for sales and 30 days for rentals before renewal.
How do I claim a transaction on Bayut?
I could not find a public Bayut page that explains this, so ask your Bayut account manager how closed deals are attached to an agent's profile and what proof is needed.
Can I export Bayut leads?
Bayut says SmartLeads can export leads to Excel, and a Leads API exists for CRMs (the systems where you keep clients and deals). See my Bayut and Dubizzle API article.
How can an owner track listing quality across agents?
Use a shared sheet at first, then a dashboard once it becomes a chore. The KPI dashboard guide shows what to include.
Why is my Bayut listing not getting a perfect quality score?
Bayut says floor plans are required for a perfect score where its standardised plans exist in Profolio. Check for a grey floor plan icon on the listing and assign the right plan.
What is the TruBroker badge on Bayut?
Bayut's recognition programme. An agent who earns both the Responsive Broker and Quality Lister badges becomes eligible for TruBroker. Badges earn TruPoints that affect leaderboard position.
