PF Expert on Property Finder: a guide for brokerage owners
Short answer: PF Expert is the workspace of Property Finder, a major UAE property listing portal, for its agents and agencies. Agents use it to create and publish listings, work through incoming leads and see their performance; the mobile PF Expert App shows leads, listings and Agent Score on a phone. As an owner, your power sits in the roles: Decision Makers and Admins (account roles in PF Expert) manage credits, the units you buy to publish and boost listings, and access keys. What I could not confirm from public pages is what exports and agency-wide reports you get, so check inside your account and consider a separate dashboard for the gaps.
Your agents live in PF Expert every day and you may have logged in twice. Here is what it is, who should hold which role, and what an owner should check so the portal is not a black box.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What PF Expert is
Property Finder is a UAE property portal where agencies list properties and receive enquiries. PF Expert is the workspace Property Finder gives its agents and agencies to run that activity. Property Finder's Partner Hub describes it as a productivity platform that brings listings, leads and analytics together, and that includes CRM capabilities (tools for managing clients and deals). The mobile PF Expert App gives access to leads, listings and Agent Score from a phone, and existing users keep their data when they move to it.
Property Finder's pages describe these parts:
- Listings. Creating and publishing, with AI-powered title and description suggestions and real-time previews. Treat the AI text as a first draft. An agent should check every fact about the property, because the tool cannot know that the unit has no parking.
- Leads. One view where users can track, filter and prioritise enquiries, with real-time lead reporting in the app.
- Performance. Dashboards and analytics, and Agent Score, which Property Finder uses to describe an agent's standing. The Partner Hub also says SuperAgent status, a higher agent standing on the portal, depends partly on active lead management.
- Credits and exposure. Exposure products such as Premium, Featured, Spotlight and Community Top Spot are managed in the same dashboard, with the Credit Optimizer suggesting upgrades.
- Community Q&A. Eligible agents can answer buyer questions from the app, and approved answers add Agent Score points automatically.
Verification and licence details
Property Finder says lead quality comes from agent licence verification and responsiveness tools. Its help centre asks agents to add their licence numbers to their profile in PF Expert 2.0. I could not find a public page spelling out every verification step and criterion, so for a specific problem, such as an agent whose profile is not showing as verified, contact Property Finder support through your account manager. As the owner, make sure each agent's licence on file is current. An expired permit is a compliance problem before it is a portal problem; confirm your licensing obligations with the relevant authority.
Roles an owner should check
According to Property Finder's material, the Decision Maker role can manage credits, the Admin role can manage and assign credits, and the Credit Optimizer is limited to users with permission to upgrade listings. Keys for the Enterprise API, the connection that lets an outside CRM exchange data with Property Finder, are reportedly generated by a Decision Maker (I could not open Property Finder's help article to confirm this, so check it in your own account). In practical terms:
- Know who holds Decision Maker and Admin in your agency. In small brokerages it is often one office manager who has since left.
- Remove access the day an agent or admin leaves.
- Keep the Decision Maker role with a person you trust to spend credits, because credits that expire unused or get spent on the wrong listings cost real money. See Property Finder price explained.
What an owner can see, and what I could not confirm
Property Finder's public pages mention dashboards, performance analytics and lead reporting. They do not mention agency-wide exports, scheduled reports or how an owner compares agents across portals. I cannot see inside your account, so I will not claim either way. Spend ten minutes checking these in your own login:
- Can you see leads by agent for a date range?
- Can you export that list, and what fields does it include?
- Can you see response time per agent?
- Can you see credits spent by listing and by agent?
- What happens to an agent's data when they leave?
Even if the answer to all five is yes, one gap remains: the portal sees only Property Finder. It does not see Bayut or Dubizzle (rival property portals), your own website enquiries or your closed commissions. To weigh the two portals, see Property Finder vs Bayut; the Bayut side is in the Bayut Profolio guide.
Software and AI: filling the gaps around PF Expert
A brokerage dashboard sits beside PF Expert and answers owner questions the portal cannot, and I build these. A realistic version works like this:
- Software joins the sources. It takes Property Finder leads (through the Enterprise API, if your account has access, or a regular export if it does not), adds Bayut and website leads, and matches them to deals in your CRM. See Property Finder API for how access works and what is still missing.
- It shows agent-level facts. Leads received, response time, viewings booked, deals closed, spend. The KPI dashboard guide explains which owner numbers matter.
- AI summarises. It can write a weekly paragraph: which agents slipped on response time, which listings got many enquiries and no viewings. It must be fed real figures and cannot judge why.
- Humans coach. A slow responder needs a conversation, not a chart.
Do it yourself with Claude
If you can export a lead list from PF Expert, remove clients' names and numbers and paste the rest into Claude, an AI assistant. Ask: "Here are leads from last month with agent name, time received, time of first reply and status. Which agents had the slowest first replies, how many leads sat unanswered for over an hour, and what are three things I should ask my team about?" If PF Expert does not give you first reply times, that tells you what to track yourself.
A simple weekly routine for owners
You do not need to live in PF Expert. Fifteen minutes a week is enough if you look at the right things.
- Unanswered leads. Are there leads that nobody replied to? Ask the agent, not the system, what happened.
- Agent standing. Which agents' Agent Score or status moved, and why do they think it moved?
- Listings. Count active listings with missing photos or stale prices. These cost credits and attract weak enquiries.
- Credits. Compare what was spent against the plan, and check that boosts went to listings that deserve them.
- Access. Check the user list for anyone who has left.
Write the answers in one shared note. After a month you will have a trend, which is worth far more than any single screen. The portal tells you what happened on the portal. The trend tells you whether your agents are using it well.
Mistakes I see owners make with portal tools
- Treating the portal as the CRM. PF Expert has CRM features, but if your agents also use WhatsApp, a spreadsheet and a separate CRM, no single place holds the full client history. Decide where the record of truth lives and make everything else feed it.
- Letting the AI listing text go out unchecked. A generated description that gets the floor, view or payment plan wrong creates a complaint, not a lead.
- Chasing Agent Score for its own sake. A score is a proxy for good habits such as fast replies and complete listings. Reward the habits.
- Never reading the contract. Credit terms, expiry and renewal notice are in there. Read them once a year.
Community Expert: a paid profile placement worth understanding
Property Finder runs a programme called Community Expert, which features verified agents who specialise in a neighbourhood on high-traffic pages such as "find an agent" results. Its Partner Hub page lists three conditions: the agent must be verified, have listings with a Quality Score above 80 percent, and have more listings in that community than other agents. It also says banners are sold per community, priced at AED 500 to 1,500 depending on the area, with four rental slots and four sale slots per community, bought monthly. I read that on Property Finder's own page this session, but prices and terms change, and the page refers to a Lead Tracker app that may be an older name for part of what is now PF Expert, so confirm everything with your account manager before buying.
The owner's decision rule: buy a banner for an agent only when that agent already leads on listings in the community and replies fast. A banner sends more people to a profile; it does not fix a slow responder. Also decide whose banner it is. If the agent leaves, the exposure you paid for leaves with the profile, so ask Property Finder what happens in that case.
Sign-in and access problems
People searching for PF Expert often want the login page. Property Finder's Partner Hub says the app has "seamless sign-in" for existing users, and that existing users do not need to download it again, only update, with leads, listings and history unchanged. It gives no step-by-step login guide, so for a locked-out agent the quickest route is your Property Finder account manager or support. One detail owners miss: Agent Score is visible to agents only, so an owner who is a Decision Maker or Admin will not see it in their own login. Ask each agent to show you their score during your weekly check.
Who should hold which job: a checklist
- Owner or manager: Decision Maker. Reviews credit spend monthly.
- Office administrator: Admin. Adds and removes users, checks licence numbers.
- Agents: reply to leads, keep listings complete, answer community questions.
- Backup: a second named person who can act if the Decision Maker is away.
How I'd approach this
Do an audit, not a purchase. Check roles, remove stale users, confirm every agent's licence details, and run the five questions above in your own account. Then decide whether the reports you can get are enough for a monthly owner review. If they are, stop there. If you find you are rebuilding the same spreadsheet each month from several portals, that is the point a shared dashboard starts to pay for itself.
