Client onboarding software: how to pick a tool and automate the work
Short answer: Client onboarding software collects a new client's details, documents, signatures and first payment in one guided flow, so nothing gets lost in email. Small service firms often use HoneyBook, Dubsado or Content Snare, which cost about $28 to $143 a month as of October 2026. A custom onboarding portal makes sense when you need checks, approvals or links to your own systems that these tools cannot handle.
You want new clients to feel organized from day one instead of chasing them for the same forms by email, and you're weighing which tool actually fixes that.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What does client onboarding software do?
It takes a new client from "yes" to "ready to start" in one place. A typical flow looks like this:
- The client signs the proposal and contract online.
- They pay the first invoice or deposit.
- They fill in an intake form with their details.
- They upload the files you need, such as ID, past tax returns or brand files.
- They book a kickoff call.
- Your team gets a task list for the new account.
The software sends reminders when a client stops partway. It shows you who is stuck and at which step.
What are the main client onboarding tools?
All-in-one tools for small service businesses
- HoneyBook: Plans cost $29, $49 and $109 a month, billed yearly. All plans include proposals, contracts, invoices, a client portal and HoneyBook AI. Automations start on the Essentials plan.
- Dubsado: The Starter plan costs $335 a year and the Premier plan costs $525 a year. Both include invoices and a client portal. Workflows, which automate repeat steps, come with Premier, along with advanced scheduling.
These tools suit photographers, coaches, designers, planners and small agencies. My HoneyBook vs Dubsado page compares them in detail.
Document collection for accountants and professional firms
- Content Snare: Plans cost $42, $85 and $143 a month on monthly billing, or $35, $71 and $119 a month billed yearly. All plans include unlimited clients, a simple client portal and KYC and AML credits. The plans differ in how many active requests you can run, from 20 on Basic to 100 on Pro. KYC means "know your customer", which covers the identity checks many firms must run.
Content Snare focuses on one hard job, which is getting documents and answers from clients. It suits accounting, bookkeeping and law firms.
Client portals for larger firms
- Moxo: Moxo offers client portals and step-by-step flows for clients, vendors and teams. Its pricing page lists no prices. You can ask for a free trial or book a demo.
| Tool | Best for | Price (October 2026) | Main limit |
|---|---|---|---|
| HoneyBook | Creative and service freelancers | $29 to $109 a month, billed yearly | Automations need Essentials or higher |
| Dubsado | Small service firms that want workflows | $335 to $525 a year | Workflows need Premier |
| Content Snare | Accountants and firms collecting documents | $35 to $119 a month, billed yearly | Caps on active requests |
| Moxo | Larger firms with complex client flows | Price on request | No public price |
How do you automate client onboarding?
Start with the steps you repeat for every client. Map them on paper first. Then automate them in this order:
- Start the flow on signature: When the contract is signed, the next steps begin on their own.
- Send one intake form: Ask for everything once, and save the answers to the client record.
- Chase missing items: Set automatic reminders, for example after two days and again after five.
- Create internal tasks: Assign the kickoff, account setup and first piece of work to the right people.
- Send a welcome sequence: Short emails explain what happens next and who to contact.
Keep a person in charge of anything that needs judgment. A risk check on a new client, a custom quote or a complaint should go to a human.
Where does AI help in onboarding?
- Reading uploaded files: AI can check that a document is the right type and pull out details, such as a company number or tax year.
- Spotting gaps: It can flag a form answer that does not match a document.
- Drafting the welcome email: It can write a personal welcome based on the signed proposal.
- Answering simple questions: A chat assistant can answer "what do you need from me next?" at any hour.
My guide on AI document processing covers file reading in more depth.
What about employee onboarding automation?
Employee onboarding is a different job, but the idea is the same. A new hire needs an offer letter, tax forms, payroll setup, equipment and training.
Payroll and HR tools cover much of this for small teams. For example, Gusto's Simple plan costs $49 a month plus $6 per person. Gusto also offers Remote I-9 checks for $20 per submission, and E-Verify for $5 more on top. My HR automation guide covers the tools and steps.
How do you choose client onboarding software?
- Map your flow first: Write down each step from signed deal to first delivery. Pick a tool that covers most steps without workarounds.
- Test it as a client: Go through the flow on a phone. Count how many logins and clicks it takes.
- Check the links: Make sure it connects to your CRM, accounting software and file storage.
- Check the limits: Look for caps on active clients, requests, storage or text messages.
- Check data handling: If you collect ID or financial records, ask where the files are stored and who can see them.
- Check the exit: Make sure you can export clients and files if you switch tools.
What mistakes slow down client onboarding?
- Asking for the same information twice. A contract that asks for a company number, then an intake form that asks again, tells the client nobody is really paying attention. Collect it once and carry it forward.
- No clear owner when a client stalls. Someone on your team should see, within a day, when a new client has not completed a step, and know it is their job to follow up.
- Never going through the flow as a new client would. Sit down and onboard yourself, on your phone, with no prior knowledge of the steps. The friction you find is the friction your clients are feeling.
When does a custom onboarding portal make sense?
For most small firms, HoneyBook, Dubsado or Content Snare will do the job. Buy one and set it up well before you think about building.
A custom portal is worth it when:
- Your onboarding has checks: You might run ID checks, credit checks or conflict checks at a law firm. Some steps need sign-off from several people.
- Your tools do not talk to each other: The client's data has to land in your CRM, practice software, accounting tool and file storage.
- You onboard at volume: You take on many clients a week, so every manual step adds up.
- You need control of the data: Sensitive files must stay in systems you own.
- Onboarding is part of your product: Your clients judge your service by the portal itself.
My client portal guide explains what a portal can include.
How would Blur Studio approach client onboarding?
I ask the team to walk me through the last three clients they onboarded. I note every email, file and handoff. That shows me where clients wait and where staff type the same data twice.
Then I check whether a ready-made tool covers it. If it does, I recommend it. If not, I build a portal around the firm's real steps, with AI that reads documents and chases missing items. It links to the tools the firm already uses. The firm owns the code and the accounts, and I support the portal after it goes live.
Questions people ask
What is client onboarding software?
Client onboarding software guides a new client through contracts, payments, forms and file uploads in one place. It sends reminders when a client stops partway and shows your team who is stuck.
How much does client onboarding software cost?
As of October 2026, HoneyBook costs $29 to $109 a month billed yearly, and Dubsado costs $335 to $525 a year. Content Snare costs $35 to $119 a month billed yearly, and larger tools such as Moxo give prices on request.
What is the best client onboarding software for accountants?
Accounting firms often need a tool that collects documents and chases clients for them. Content Snare is built for this job, and every plan includes KYC and AML credits as of October 2026.
Can I automate client onboarding without new software?
You can automate parts of it by linking online forms, e-signature and email with a tool such as Zapier. This works at low volume, but it gets hard to manage as steps and clients grow.
Is client onboarding the same as employee onboarding?
They are different jobs. Client onboarding brings a new customer into your service, while employee onboarding brings a new hire into your team with payroll, tax forms and training.
What's the difference between client onboarding software and a client portal?
Onboarding software is usually focused on the first weeks, contracts, intake, document collection, getting a new client ready to start. A client portal is the ongoing home for the relationship after that. Many small firms use one tool for both, see my guide to client portals for where that line sits.
Roughly what does this cost?
As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
Is my project too small for this?
No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
