Monday.com alternatives: which project tool to switch to

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: The main monday.com alternatives are ClickUp, Asana, Trello, Wrike and Basecamp. ClickUp packs the most features into a low price. Asana is strong for teams that plan work across many projects. Trello is the simplest and cheapest board tool. Basecamp charges a flat monthly price, so it can cost less for larger teams.

You're comparing monday.com against ClickUp, Asana and the rest, and want the real per-seat cost once the seat minimums and new AI-credit limits are factored in.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Why do people look for a monday.com alternative?

Most reasons come back to price and plan limits. Here is what monday.com's own pricing page shows for its Work Management product.

  • Seat minimum: Paid plans start from 3 seats. So even a team of two pays for three on a paid plan.
  • Plan prices: On a yearly plan, Basic costs $9 per seat a month, Standard costs $12 and Pro costs $19. Monday.com says paying yearly saves 18%, and the monthly price is not discounted.
  • Automation limits: Standard includes 250 automation actions a month and 250 integration actions. Pro raises both to 25,000. Basic does not list automations.
  • Small free plan: The free plan covers up to 2 seats, 3 boards and 3 docs.
  • Separate products: Monday.com sells CRM, dev and service products with their own prices. A team that needs work management and a CRM may pay for both.

So a team of 10 on Pro pays $190 a month on a yearly plan. Seat minimums and plan limits are covered in monday.com pricing for agencies. That is fine for many teams. Others want a lower price, a flat fee, or a simpler tool.

What are the best monday.com alternatives?

Each of these suits a different kind of team. The price is the lowest paid plan on the vendor's page.

Blur Studio (best value)

A ready-built, well-tested core with a different pricing model: no per-seat fees, and it covers almost all the features you'd actually need, usually working out to the best value for money. On top of that, Blur Studio builds owned customizations, meaning you can ask for it to be modified to your exact specifications, and you own those modifications outright. • Best for: Businesses that need software that works without barriers, no unnecessary fees and options to customize it to their needs.

ClickUp

ClickUp tries to do everything: tasks, docs, whiteboards, goals, time tracking and AI. Its free plan has unlimited members but only 60 MB of storage. ClickUp's pricing page currently shows two sets of plans. In one set, Unlimited costs $7 per user a month yearly, or $10 monthly. In the other, Core costs $9 per user a month yearly. Check which plans the page shows you before you sign up.

  • Best for: Teams that want many features in one tool at a low price per person.

Asana

Asana is built for planning and tracking work across many projects. The free Personal plan is for one or two people. Starter costs $10.99 per user a month yearly, or $13.49 monthly. It adds timeline and Gantt views, dashboards, forms and custom fields. Advanced costs $24.99 yearly or $30.49 monthly. It adds portfolios, goals, approvals and resource planning.

  • Best for: Teams that run many projects at once and need to see how they connect.

Trello

Trello is a simple board tool. You move cards between lists such as "To do", "Doing" and "Done". The free plan allows up to 10 collaborators and 10 boards per workspace. Standard costs $5 per user a month yearly, or $6 monthly. Premium costs $10 yearly or $12.50 monthly.

  • Best for: Small teams that want a clear, simple board and nothing more.

Wrike

Wrike suits teams that need structure, such as agencies and operations teams. It has a free plan. Team costs $10 per user a month, billed yearly, for 2 to 15 users. Business costs $25 per user a month for 5 to 200 users, and is sold only on a yearly plan. Wrike says these prices apply to new purchases made on or after January 21, 2026.

  • Best for: Growing teams that want Gantt charts, dashboards and tighter control.

Basecamp

Basecamp does not charge per user. You pay a flat price based on how many projects you run. The free plan covers 1 project and up to 3 users. Freelancer costs $29 a month for 3 projects and up to 5 users. Pro costs $79 a month for 8 projects and up to 10 users. Pro Unlimited costs $199 a month billed yearly, or $329 monthly, with no cap on projects or users.

  • Best for: Teams that work with clients on a set number of projects and want a fixed bill.

How do monday.com alternatives compare on price?

Tool Free plan Lowest paid plan How you pay Main limit on free plan
monday.com Yes $9 per seat a month, yearly (Basic) Per seat, 3-seat minimum 2 seats, 3 boards
ClickUp Yes From $7 per user a month, yearly Per user 60 MB storage
Asana Yes $10.99 per user a month, yearly (Starter) Per user 2 users
Trello Yes $5 per user a month, yearly (Standard) Per user 10 collaborators, 10 boards
Wrike Yes $10 per user a month, yearly (Team) Per user Board and table views
Basecamp Yes $29 a month (Freelancer) Flat price per plan 1 project, 3 users

Monday.com changed its pricing model in 2026. Every paid plan now bundles a monthly AI-credit allowance instead of selling AI as a separate add-on, roughly 1,000 credits on Basic, 2,000 on Standard and 3,000 on Pro. The bigger catch is the seat minimum: all paid plans require at least 3 seats, so the real entry cost on Basic is closer to $27 a month, not the $9-per-seat headline price, and seats then jump in blocks of 5, 10 and 15. A team of 4 ends up paying for 5 seats, and a team of 6 pays for 10. Check how many seats you will actually be billed for, not just the per-seat rate, before you compare it against an alternative.

Monday vs ClickUp: which is better?

Both tools are flexible and both can run most of a small business. The difference is in style.

  • Choose monday.com if: You want a clean tool with boards that are easy to read at a glance. It also has separate products for CRM and service work.
  • Choose ClickUp if: You want many features for a low price and don't mind a busier screen. ClickUp Unlimited costs $7 per user a month on a yearly plan, and monday.com Basic costs $9 per seat.

ClickUp vs Asana: which should you choose?

  • Choose ClickUp if: Your team wants docs, tasks, chat and time tracking in one place, and price matters.
  • Choose Asana if: You manage many projects that depend on each other, and you need portfolios, goals and approvals. Those sit on Asana's Advanced plan.

If you are unsure, run the same real project in both free plans for two weeks. Pick the one your team keeps opening without being asked.

When does a custom tool make more sense?

For most teams, one of these tools is the right buy. Project tools are cheap compared with the cost of building one. A custom build starts to make sense in a few cases.

  • The work is part of your product: For example, your clients need to log in, see job progress and approve work. A client portal fits that better than a project board.
  • Your process has many fixed steps: For example, quotes, approvals, scheduling and invoicing that must happen in order. See my guide to business process automation.
  • Your tools don't connect: People copy updates between the project tool, the CRM and the accounting tool by hand.
  • Seat costs keep rising: You add staff, contractors or clients, and each one adds to the monthly bill.

Before you build, try connecting the tools you already have. My Zapier vs Make guide shows how. For the wider decision, see build vs buy software.

How would Blur Studio help?

My team starts by asking what work the project tool is meant to support. Sometimes the honest answer is "switch to Trello and keep it simple". When a custom tool is the better fit, I build one around your real steps. I connect it to your CRM, calendar or accounting software and add AI where it saves time. One example is an AI step that turns a client email into a task with the right owner and due date. The code and the accounts belong to you.

Need something completely custom?

Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask

What is the cheapest monday.com alternative?

Trello has the lowest paid price of the tools here, at $5 per user a month on a yearly plan as of October 2026. Basecamp can cost less for larger teams because it charges a flat price. Pro Unlimited costs $199 a month on a yearly plan for any number of users.

Is ClickUp better than monday.com?

ClickUp's lowest paid plan costs less per user, and it packs docs, whiteboards, goals and time tracking into one tool. Monday.com focuses on clean boards that are easy to read, so it suits teams that value a simple setup.

Is there a monday.com alternative with no per-user pricing?

Basecamp charges a flat monthly price based on the number of projects. Its Pro Unlimited plan costs $199 a month on a yearly plan, with no cap on projects or users.

Does monday.com have a free plan?

Yes, monday.com has a free plan for up to 2 seats, with up to 3 boards and 3 docs. Paid plans start from 3 seats.

When should a business build its own project tool?

A custom tool makes sense when clients need to log in, when your process has many fixed steps, or when your tools don't share data. For simple task tracking, buying a software subscription is almost always cheaper.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
