Zapier alternatives: workflow automation tools, side by side
Short answer: The main Zapier alternatives are Make for teams that want visual branching logic at a lower cost per task, n8n for anyone with a developer on hand who wants to self-host and keep data on their own servers, and Workato for enterprise-scale integration work. Zapier's Free plan includes 100 tasks a month, and its Starter plan costs $29.99 a month for 750 tasks as of October 2026, with each step in a multi-step Zap counted as a separate task, which is the main reason cost-conscious teams compare alternatives once their automations grow.
You've outgrown Zapier's free tier or its task-based billing is adding up fast, and you want to know what else actually handles complex automation well.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
Why do people look for a Zapier alternative?
Zapier is the best-known workflow automation tool, connecting thousands of apps with no code. The reasons people start comparing alternatives tend to repeat.
- Per-task pricing gets expensive as volume grows: Every step in a multi-step Zap counts as a separate task, so a five-step automation running a few thousand times a month uses up your task allowance fast.
- The free tier is capped tightly: 100 tasks a month and Zaps limited to two steps, which is enough to test an idea but not to run a real workflow.
- No self-hosting option: Everything runs on Zapier's cloud, which is a dealbreaker for teams that need to keep data on their own infrastructure for compliance or control reasons.
- Branching logic is weaker than some competitors: Complex conditional paths are harder to build in Zapier than in tools designed around a visual canvas from the start.
None of this makes Zapier a bad starting point, it remains the easiest tool to get a first automation running. It just means the cost and flexibility trade-offs are worth checking as your automation needs grow.
What are the best Zapier alternatives?
Blur Studio (best value)
A ready-built, well-tested core with a different pricing model: no per-seat fees, and it covers almost all the features you'd actually need, usually working out to the best value for money. On top of that, Blur Studio builds owned customizations, meaning you can ask for it to be modified to your exact specifications, and you own those modifications outright. - Best for: Businesses that need software that works without barriers, no unnecessary fees and options to customize it to their needs.
Make
Make, formerly Integromat, starts at $9 a month for 10,000 operations, a meaningfully lower cost per operation than Zapier at a similar volume. It is built around a visual canvas that makes branching logic and complex multi-path workflows easier to build and understand than Zapier's linear Zap structure.
- Best for: Most teams switching from Zapier who want more operations for the money and easier-to-build branching logic.
n8n
n8n is open source and can run free on your own infrastructure, with cloud pricing from about 24 euros a month for 2,500 executions on its Starter plan, and about 60 euros a month for 10,000 on Pro.
- Best for: Teams with a developer on hand who want to self-host, keep data on their own servers, or need deeper technical control than a pure no-code tool offers.
Workato
Workato is positioned as an enterprise integration platform, with pricing starting around $10,000 a year, a different scale entirely from the other options here.
- Best for: Larger organizations automating the synchronization of customer and sales data across many enterprise systems, where the cost is justified by the scale of integration work.
How do Zapier alternatives compare?
| Tool | Starting price | Self-hosting? | Best known for |
|---|---|---|---|
| Zapier | Free (100 tasks), $29.99/mo (750 tasks) | No | Easiest to start, widest app library |
| Make | $9/mo (10,000 operations) | No | Visual branching logic, lower cost per operation |
| n8n | Free self-hosted, or from roughly 24 EUR/mo cloud | Yes | Self-hosting, developer control, keeping data in-house |
| Workato | From roughly $10,000/yr | No | Enterprise-scale integration |
For most small businesses moving off Zapier purely on cost, Make is the most commonly recommended first stop. If you need to keep data on your own servers or have a developer who wants fuller control, n8n is worth the extra setup effort. Workato is really only worth considering at genuine enterprise scale.
When does a custom AI agent make more sense than workflow automation?
Zapier, Make and n8n are all "if this happens, do that" tools: they move data between apps along a path you design. They work well for a huge range of tasks. They start to hit a ceiling in specific situations.
- The task needs judgment, not just routing: Deciding how to respond to a message, summarizing a document, or sorting a request by what it actually says needs an AI step, not just a trigger-and-action chain.
- Your workflow spans many systems with conditional logic: At a certain complexity, a visual automation tool becomes harder to maintain than a purpose-built AI agent with real code behind it.
- You are paying for automation platform fees across many tools already: At a high enough combined spend, an owned system can cost less over time than stacking several automation subscriptions.
My guide to how to build an AI agent covers this next step in depth, and my guide to business process automation helps you work out which category your actual need falls into.
How does Blur Studio approach workflow automation?
I start by understanding what you are actually trying to automate, and whether it is genuinely a routing task that a tool like Zapier or Make handles well, or something that needs real judgment, which points toward an AI agent instead. If one of the platforms above fits, I will set it up properly or tell you which one to use. If your workflow has outgrown what no-code automation can maintain cleanly, I build an agent or system around your actual process, connected to the tools you already use. You keep the code and every account in your name, and I keep it working as your business changes.
Need something completely custom?
Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask
What is the cheapest Zapier alternative?
Make is the most commonly recommended lower-cost alternative, starting at $9 a month for 10,000 operations as of October 2026, considerably more operations per dollar than Zapier's comparable tiers. n8n can be free if you self-host it yourself.
Is Make actually better than Zapier, or just cheaper?
Both. Make is generally regarded as cheaper per operation at comparable volume, and its visual canvas makes branching and conditional logic easier to build than Zapier's more linear structure. Zapier still has the widest library of app integrations, which matters if you rely on a less common app.
Can I self-host n8n for free?
Yes, n8n is open source and can run on your own server at no licensing cost, though you will pay for the infrastructure to host it and need someone comfortable maintaining it. Its cloud-hosted option removes that maintenance burden for a monthly fee.
Is Workato worth it for a small business?
Usually not. Workato is priced and built for enterprise-scale integration work, starting around $10,000 a year, which is far beyond what most small businesses need compared to Zapier, Make or n8n.
Can I move my existing Zaps to Make or n8n?
Not automatically. Each platform has its own workflow format, so existing Zaps need to be rebuilt on the new platform. Budget real time for this, especially for complex, multi-step Zaps.
Roughly what does this cost?
As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
Is my project too small for this?
No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
