Accounts payable automation: how to pick a tool and keep payments safe

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: Accounts payable automation reads supplier bills, codes them to the right account, sends them for approval and pays them. As of October 2026, Ramp has a free plan, BILL starts at $49 per user a month and Tipalti starts at $99 a month. The AI still makes mistakes, so a person should approve every payment and confirm any new or changed bank details.

You want accounts payable automation that actually catches fraud and duplicate payments.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

What does accounts payable automation do?

AP software handles a bill from the moment it lands in your inbox to the moment it is paid:

  • Capture: Bills arrive by email or upload. The software reads them and fills in the supplier, amount, due date and line items.
  • Coding: It suggests the right expense account, class or project for each line.
  • Approval: It sends the bill to the right person, based on rules you set, such as amount or team.
  • Payment: It pays by ACH, card, check or wire on the date you pick.
  • Sync: It records the bill and the payment in your accounting system, so your books match your bank.

Is invoice automation the same thing?

People use "invoice automation" for two different jobs. AP automation handles the bills you receive and pay. Invoicing, also called accounts receivable, handles the bills you send to customers and the money you collect.

Many tools do both. BILL sells its plans as AP and AR together. Your accounting software also sends invoices. For example, Xero's Early plan costs $27 a month and includes 20 invoices. Its Growing plan costs $59 a month and lists invoices as included with no cap shown.

To automate invoicing, start with the accounting tool you already use. Turn on payment reminders and online payment links. Then move on to the bills you pay, which is where AP tools help most.

What are the main accounts payable automation tools?

BILL

BILL's plans as of October 2026:

  • Essentials: $49 per user a month. Includes approval rules and payments, with manual CSV import and export to your books.
  • Team: $65 per user a month. Adds AI coding of each line on a bill and two-way sync with QuickBooks and Xero.
  • Corporate: $89 per user a month. Adds custom approval policies.
  • Enterprise: Custom price. Adds dual control and sync with NetSuite, Sage Intacct, Microsoft Dynamics and others.

BILL also charges per payment. An ACH payment costs $0.59, a mailed check costs $1.99 and an international wire in US dollars costs $19.99. Virtual card payments are free.

Ramp

Ramp's free plan includes invoice reading with OCR, approval workflows, automated fraud checks and bill payments by ACH, card, check or wire. OCR means the software turns a picture of a bill into text it can read.

Ramp Plus costs $15 per user a month, plus a platform fee based on team size. Plus adds AI coding of each line, AI approval suggestions, batch payments and approvals before money is released. Ramp charges $0.65 for each 1099 it files with the IRS.

Tipalti

Tipalti's AP product starts at $99 a month with unlimited users. It reads invoices in 146 languages, pays in more than 200 countries and territories, and checks tax IDs in 62 countries. Transaction fees and add-ons cost extra, and Tipalti gives exact prices by quote. It suits businesses that pay many suppliers in other countries.

BILL, Ramp and Tipalti side by side

Tool Starting price (October 2026) Good fit Check before you buy
BILL $49 per user a month Small teams on QuickBooks or Xero AI coding and auto sync start on Team at $65
Ramp Free Businesses that also want company cards The Plus platform fee depends on team size
Tipalti $99 a month Paying suppliers in many countries Transaction fees and add-ons on top

How accurate is AI invoice capture?

AI invoice capture works well on clean PDFs from regular suppliers. It struggles more with phone photos, scans, handwritten notes and new layouts. Typical errors include a wrong total, a missed line, a wrong due date or the wrong expense account.

Clean up your chart of accounts before you turn on AI coding. Clear account names give the software clear choices. Then keep a person in the loop:

  • New suppliers: Check the first few bills from each new supplier field by field.
  • Large bills: Set an amount above which two people must approve.
  • Coding: Review the AI's account codes during your monthly close.

How do you stop invoice fraud when you automate?

Faster payments help criminals too. The FBI's Internet Crime Complaint Center received 24,768 complaints about business email compromise in 2025, with losses of about $3 billion. In these scams, a criminal poses as a supplier or a boss. They ask you to pay a fake invoice or send money to a new bank account.

Protect every payment with these habits:

  • Confirm bank changes by phone: Call the supplier on a number you already have. Never use the number in the email.
  • Use two approvers for large payments: BILL's Enterprise plan offers dual control, and Ramp Plus adds approvals before money goes out.
  • Turn on fraud checks: Ramp's free plan includes automated fraud checks.
  • Limit who can add suppliers: Keep that right with one or two trusted people.

How do you set up AP automation?

  1. Count your bills. Note how many arrive each month, from how many suppliers and in which countries.
  2. Write down your approval rules. Say who approves which bills and up to what amount.
  3. Clean your supplier list and chart of accounts in your accounting system.
  4. Pick the tool that fits your accounting system and the way you pay.
  5. Run the new tool next to your old process for one month and compare every bill.
  6. Switch over, and keep a monthly check on coding and payments.

When does a custom AP setup make sense?

Most small businesses should buy BILL, Ramp or Tipalti. These tools cost less than a build, and they already handle bank links and payment rules.

A custom layer is worth pricing in these cases:

  • Approval depends on your other systems: A bill must match a job, a purchase order or a delivery record in your own software before anyone pays it.
  • Your trade software is not supported: The AP tool doesn't connect to the job system or ERP your business runs on.
  • Seat fees add up: At BILL's Corporate rate of $89 per user a month, 20 users cost $1,780 a month.
  • You need extra checks: Every invoice must match a purchase order and a delivery note before it can be paid.

A common middle path keeps BILL or Ramp for the payment itself. A custom layer then reads the bills and matches them to your records. The reading part can be cheap. Google's invoice parser costs $0.10 for each 10 pages in a document. My guide to AI document processing explains how that works.

How common is AP fraud and duplicate payment, actually?

This is not a rare problem. AFP's 2026 Payments Fraud and Control Survey found 76% of US organizations experienced attempted or actual payments fraud in 2025. Duplicate payments alone, not even fraud, just genuine mistakes, average 0.1 to 0.5% of annual disbursements at well-run organizations, and industry benchmarking puts the median organization at about 1.5% of disbursements lost to duplicate or erroneous payments, with the weakest performers reaching 2%. On a million dollars a month in supplier payments, the median rate alone is real money leaving every single month, invisibly, until someone reconciles it. Automation's real fraud-prevention value is not that it is smarter than a person, it is that it applies the same check to every single invoice with no quiet exception, which is exactly where manual AP processes break down under volume and trust.

How Blur Studio approaches AP automation

I keep the money inside a licensed payment tool. I build the parts around it. That can mean reading bills, matching them to your jobs or orders, and sending approval requests to the apps your managers already use. A person still approves every payment. Your business owns the code and every account, and you can see each step the system takes. For wider workflow ideas, see business process automation.

Questions people ask

What is accounts payable automation?

Accounts payable automation is software that reads supplier bills, suggests how to code them, sends them for approval and pays them. It also records each bill and payment in your accounting system.

How much does AP automation software cost?

As of October 2026, Ramp has a free plan, BILL starts at $49 per user a month and Tipalti starts at $99 a month. Payment fees, such as BILL's $0.59 per ACH payment, and add-ons can cost extra.

Can AI approve and pay invoices on its own?

Some tools can suggest approvals, but a person should approve every payment. AI can misread a total or code a bill to the wrong account, and fake invoices can look real.

What is the difference between AP automation and invoice automation?

AP automation handles the bills your business receives and pays. Invoice automation often means sending bills to customers and collecting payment, which your accounting software can usually do.

Does AP automation work with QuickBooks?

BILL's Team plan and higher plans sync both ways with QuickBooks Online and Xero. Check each vendor's list of connections for your exact accounting system before you sign.

How common is accounts payable fraud really?

More common than most owners assume. A 2026 industry survey found 76% of US organizations experienced attempted or actual payments fraud in the prior year, and even simple duplicate payments, not fraud, just mistakes, average 0.1 to 0.5% of annual disbursements at well-run companies and more at weaker ones.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
