QuickBooks alternatives for small business: prices and fit compared

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: The main QuickBooks Online alternatives are Xero, FreshBooks, Zoho Books and Wave. Xero suits growing teams because its plans have no per-user license fees. FreshBooks suits service businesses that bill clients for time. Zoho Books has a free plan for businesses under $50,000 in yearly revenue, and Wave has a free Starter plan for very small businesses.

You've just seen your QuickBooks bill go up and want to know whether Xero, FreshBooks or another alternative is actually cheaper once you add up the real cost.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Why do people look for a QuickBooks alternative?

Most reasons come down to price and the number of users each plan allows. Here is what the QuickBooks pricing page lists.

QuickBooks Online plan List price a month Users included
Free $0 1
Simple Start $38 1
Essentials $85 3
Plus $140 5
Advanced $340 25
  • The promo ends: QuickBooks shows 50% off for the first 3 months. After that, you pay the list price.
  • Users push you up a plan: Simple Start allows 1 user. If a second staff member needs a login, you move to Essentials at $85 a month.
  • Key features sit on higher plans: Inventory tracking, budgets and project profits start on Plus at $140 a month.
  • The free plan is small: It allows 1 user, 2 invoices a month and 1 bank connection. You get unlimited invoices only if you also use QuickBooks Payments.

None of this makes QuickBooks a bad choice. If your accountant already works in QuickBooks, staying can save you time and fees. But a small team that needs three or four logins may pay less elsewhere.

Intuit raised QuickBooks Online prices in May 2026, its largest single price increase to date. As of late September 2026, QuickBooks Online's paid plans list from $38 to $340 a month depending on the tier and how many of the 1 to 25 included users you need, with extra charges for payroll, advanced reporting and AI features on top. Xero, by contrast, has held its US list prices at $25, $55 and $90 a month through most of 2026, rising only slightly to $27, $59 and $97 from 1 October 2026, and Xero includes unlimited users on every plan rather than charging per user. That gap is the real reason so many QuickBooks users are actively comparing alternatives right now, not just a general preference.

What are the best QuickBooks alternatives?

Xero

Xero has three US plans. Early costs $27 a month, Growing costs $59 and Established costs $97. Xero's page says its plans have no per-user license fees, so adding staff does not change the price. Early limits you to 20 invoices and 5 bills, so most busy firms need Growing. Payroll runs through Gusto at $36 a month plus $6 per employee or contractor.

As of October 2026, Xero offers new US customers 90% off for the first 6 months. That offer ends on November 2, 2026.

  • Best for: Growing businesses with several people who need access to the books.

FreshBooks

FreshBooks prices its plans by the number of clients you bill. Lite costs $23 a month for up to 5 billable clients. Plus costs $43 for up to 50 clients, and Premium costs $70 for unlimited clients. Each extra team member costs $11 a month. Payroll costs $40 a month plus $6 per person.

  • Best for: Freelancers, consultants and agencies who bill clients for time and projects.

Zoho Books

Zoho Books has a free plan for businesses with less than $50,000 a year in revenue. It allows 1 user plus an accountant, and up to 1,000 invoices a year. Paid plans start with Standard at $15 a month billed yearly, or $20 billed monthly, with 3 users. Professional costs $40 a month billed yearly and adds inventory, multiple currencies and project profits for 5 users.

  • Best for: Small businesses that want more users per dollar, or that already use other Zoho apps.

Wave

Wave's Starter plan is free and includes unlimited invoices, estimates and bills. Pro costs $19 a month or $190 a year and adds automatic bank imports and late payment reminders. Wave charges a fee on each card payment. On Starter, that is 2.9% plus $0.60 per payment.

  • Best for: Sole owners and very small businesses with simple books.

Xero No $27 No per-user license fees Growing teams

Zoho Books Yes, under $50,000 revenue $15 billed yearly 3 on Standard More users for less
Wave Yes, Starter $19 for Pro Not listed by plan Sole owners

QuickBooks vs Xero: which is better?

The biggest difference is how each one prices users. QuickBooks raises the plan as you add users, from 1 on Simple Start to 25 on Advanced. Xero's plans have no per-user license fees.

Compare the middle plans. QuickBooks Essentials costs $85 a month for 3 users. Xero Growing costs $59 a month with unlimited invoices and bills, and 3 budgets. QuickBooks Plus costs $140 a month for 5 users with inventory and budgets. Xero Established costs $97 a month with multiple currencies, project tracking and expense claims.

  • Choose QuickBooks if: Your accountant works in QuickBooks, or you want one tool that can grow to 25 users with workflow automation on Advanced.
  • Choose Xero if: Several people need access to the books, and you want a lower monthly price as you grow.

What is a good Xero alternative?

If you leave Xero, QuickBooks is the natural choice when your accountant works in it. Zoho Books is a good choice if you want low prices and many features on the mid plans. FreshBooks is a better fit if most of your work is billing clients for time.

When does custom software make sense for accounting?

I would almost never tell a small business to build its own accounting system. Ledgers, tax rules and bank feeds are hard to get right, and these products do it well for a low monthly fee.

Custom work makes sense around the accounting tool, in places where data gets typed in twice.

  • Your job or sales data lives elsewhere: A trades business may send quotes and invoices from its job software. A small custom link can push each paid invoice into Xero or QuickBooks with the right codes.
  • You process many bills: An accounts payable tool can read each bill, match it to an order and send it for approval before it reaches the books.
  • You need reports across tools: A KPI dashboard can pull from your accounting tool, CRM and bank so you see cash, sales and margins on one screen.
  • Your bookkeeping takes too long: AI bookkeeping tools can sort transactions and flag odd ones for a person to check.

How does Blur Studio work with accounting tools?

I start by asking where money data enters your business and where it ends up. Most owners have three or four tools that each hold part of the story. Then I look for the steps where staff copy numbers by hand.

My team keeps your accounting in a proven product and builds the links around it. That could be a tool that sends job data to your books, or an AI step that reads bills. Those links are yours to keep, along with the accounts they run on.

Need something completely custom?

Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask

What is the cheapest alternative to QuickBooks?

Wave's Starter plan and Zoho Books' free plan both cost $0, as of October 2026. Zoho Books' free plan is for businesses with less than $50,000 in yearly revenue. Wave charges a fee on each card payment instead.

Is Xero cheaper than QuickBooks?

Xero costs less at list price on most plans. As of October 2026, Xero's plans cost $27, $59 and $97 a month with no per-user license fees. QuickBooks Online plans cost $38 to $340 a month, with user limits on each plan.

Can I switch from QuickBooks to Xero?

You can, and an accountant can help you plan it. Pick a clean start date, such as the start of a month or quarter. Ask your accountant to check opening balances after the move.

Which QuickBooks alternative is best for freelancers?

FreshBooks suits freelancers who bill clients for time, with plans from $23 a month for up to 5 clients, as of October 2026. Wave's free Starter plan is a good option for freelancers with very simple books.

Should I build my own accounting software?

Most small businesses should not. Accounting products handle ledgers, tax rules and bank feeds well for a low monthly fee. Custom software makes more sense for the links and reports around your accounting tool.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
