Client onboarding software for agencies: what to actually use

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: Client onboarding software for agencies generally falls into two kinds: document and information collection tools like Content Snare, from $35 a month flat, and full client-pipeline tools that bundle onboarding with contracts, invoicing and a client portal, like Dubsado from roughly $28 a month, HoneyBook from $29 a month, and Assembly (formerly Copilot) from $29 a month. Pick a dedicated collection tool if your onboarding pain is specifically chasing clients for documents and information. Pick a full pipeline tool if you also want contracts, invoicing and a client portal in the same system.

You're tired of chasing clients for the same onboarding information by email, and want real software built for this, not a generic project tool repurposed for it.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Client onboarding breaks down in a predictable way for agencies: you send a welcome email with a list of what you need, half of it never comes back, and someone on your team spends real hours a week chasing documents, logins and answers one email at a time. The tools below exist specifically to fix that. They split into two real categories, and picking the wrong one for your actual problem is the most common mistake.

Document and information collection tools

Content Snare

Content Snare, a client information collection platform built to eliminate exactly the back-and-forth email problem above, is the clearest fit if that's your specific pain. Clients get a structured, reusable request form rather than an email thread, with automated reminders chasing them instead of your team. Its Basic plan runs $35 a month on annual billing for 20 active requests and 2 users, with Plus at $71 a month (50 requests, 5 users) and Pro at $119 a month (100 requests, 10 users). All tiers include unlimited clients and unlimited reminders, questions and templates, which is the feature that actually replaces the manual chasing.

  • Best for: Agencies whose onboarding pain is specifically collecting documents, logins and information from clients who don't respond to a plain email.

Full client-pipeline tools

Dubsado

Dubsado, a business management platform for service providers covering lead capture, contracts, invoicing and client portals, is built around automating the entire client journey from first inquiry through to project delivery, with onboarding as one stage in that pipeline rather than a standalone feature. Its Starter plan runs $335 a year, roughly $28 a month, with unlimited projects and clients, a client portal and one active lead capture form included. Its Premier plan runs $525 a year, roughly $44 a month, adding advanced scheduling, automated workflows and unlimited lead capture forms, the tier most agencies actually need to automate onboarding steps rather than trigger them by hand. Agencies that outgrow it often compare SuiteDash and its alternatives.

  • Best for: Agencies that want onboarding automated as part of a full client pipeline, not a standalone step, including contracts and scheduling in the same flow.

HoneyBook

HoneyBook, a well-known all-in-one client management platform for service businesses, bundles a similar pipeline: inquiry forms, contracts, invoicing and a client portal, with its Starter plan at $29 a month and Essentials at $49 a month as of this writing, after a February 2025 price increase that remains the most common reason people compare it against alternatives. It's a reasonable pick if you want a more polished, easier-to-start interface than Dubsado, at the cost of less deep workflow customization. A direct HoneyBook versus Dubsado comparison goes further on that trade-off.

  • Best for: Agencies that want a more guided, easier-to-set-up pipeline tool, trading some workflow depth for a faster setup.

Assembly

Assembly, the platform formerly known as Copilot, is an app-building platform for service businesses and agencies that consolidates a CRM, client portal, billing and the ability to build small custom client-facing apps in one place. Its Starter plan runs $29 a month on annual billing for 50 contacts and 1 user, with Professional at $90 a month covering 500 contacts and 3 users. It's a different kind of tool from Dubsado or HoneyBook in one respect: the client portal itself is more customizable, which matters if you want onboarding steps that look and feel like your own product rather than a generic form. If the portal is your main concern, look at these Assembly (Copilot) client portal alternatives.

  • Best for: Agencies that want a more customizable, branded client portal as part of onboarding, and are comfortable with a lower starting contact limit.

If your agency also runs AI-driven marketing services for clients and onboarding into those specific services is part of the picture, AISQ Meteor, a flat $400 a month bundle of 10 separate marketing tools (SEO, social scheduling, website security, AI content, email, competitor research, team training, e-commerce feed optimization and author trust signals) built by the team behind Squirrly SEO, includes Education Cloud BUSINESS, a training platform for onboarding and upskilling clients on how to use the services you're delivering, as one of its 10 components. That's a narrower fit than the four tools above, worth knowing about specifically if you're already using several of Meteor's other tools.

What good onboarding software actually does

Whichever tool you pick, the job it needs to do is the same: replace a manual email thread with a structured request, chase incomplete answers automatically instead of relying on someone remembering to follow up, and give the client one place to see what's still outstanding instead of digging through their inbox. If a tool doesn't automate the chasing specifically, you've bought a form builder, not an onboarding fix, and you'll still be sending manual reminder emails every week.

A worked example: time actually saved

Say your agency onboards 4 new clients a month, and each one currently takes an account manager roughly 3 hours of email back-and-forth spread over 2 weeks to collect logins, brand assets, billing details and signed agreements. That's 12 hours a month, or about $600 a month of billable time at a $50 an hour internal rate, spent chasing rather than doing client work. Content Snare's Basic plan at $35 a month, with its automated reminders replacing that manual chasing, typically cuts that collection time to under an hour per client once templates are set up, dropping the monthly time cost from 12 hours to roughly 4, a real savings of around $400 a month in reclaimed billable time against a $35 subscription. The math changes with your own numbers, but the shape of it, chasing time is usually the expensive part, not the information itself, holds across most agencies I've seen this problem in.

Migrating an existing client roster onto a new tool

If you're switching from manual email onboarding, or from a generic project tool repurposed for it, to one of the four tools above, don't migrate your whole client roster at once. Run new clients through the new tool first, and only backfill existing clients' records if you specifically need their historical documents inside the new system. Most of the time cost in this migration is template-building up front, not the data transfer itself, so get your core onboarding template right for new clients before spending hours re-keying historical records that may never need to be referenced again.

How does Blur Studio approach client onboarding?

For most agencies, one of the four tools above solves this well. Where I come in is once an agency has outgrown what a generic onboarding tool can flex to fit: a workflow with steps specific to your service line that none of these forms were built around, or an onboarding process that needs to automatically kick off work in your project management and billing tools at the same time, not just collect a document and stop there. At that point, a custom onboarding flow connected directly into the rest of your stack tends to save more time than any generic tool bought off a pricing page, and it's worth a direct conversation about whether you've actually hit that point yet.

Questions people ask

What's the cheapest agency client onboarding tool?

Content Snare's Basic plan at $35 a month flat is the cheapest dedicated option here. Dubsado's Starter plan works out slightly cheaper at around $28 a month on its annual pricing, though it's a broader pipeline tool, not a dedicated collection tool.

Do I need a full pipeline tool, or just a document collection tool?

If your onboarding pain is specifically chasing documents and information, a dedicated tool like Content Snare solves that directly at a lower cost. If you also want contracts, invoicing and a client portal in the same system, a pipeline tool like Dubsado, HoneyBook or Assembly is the better fit.

Is HoneyBook worth it after its 2025 price increase?

It depends on what you're comparing it against. Its Starter plan at $29 a month is still competitive against Dubsado and Assembly at similar price points, though some agencies have moved to Dubsado specifically for deeper workflow automation since the increase.

What is Assembly, and is it the same as Copilot?

Yes. Copilot rebranded to Assembly, and copilot.app now redirects to assembly.com. It's an app-building platform for agencies and service businesses that bundles a CRM, client portal, billing and custom app creation.

Can I automate onboarding reminders so my team doesn't have to send them manually?

Yes, that's the core feature of a dedicated tool like Content Snare, and it's built into the workflow automation on Dubsado's Premier plan and HoneyBook's and Assembly's pipeline tools as well.

Roughly what does a custom onboarding build cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my agency too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
