AI answering service or live answering service: how to choose
Short answer: An AI answering service uses software to answer your calls at any hour, take messages, book appointments and send urgent calls to you. As of October 2026, AI plans from Dialzara, Rosie and Goodcall start at $29 to $79 a month. Live 24/7 answering services such as PATLive, Abby Connect and Ruby start at $99 to $250 a month for 50 minutes. Many businesses use both, with AI for routine calls and people for hard ones.
You're comparing AI against a live answering service and want the real difference in cost and quality.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What is an answering service?
An answering service is an outside company that answers your business calls for you. It might answer every call, only calls you miss or only calls after hours. It then passes the message to you or sends the caller to the right person.
There are three main types today:
- Live answering service: Trained people answer your calls from a call center. PATLive, for example, says it does not use AI to answer calls.
- AI answering service: Software answers every call in a natural voice. Goodcall, Rosie and Dialzara work this way.
- Hybrid service: AI answers first, and people take some calls. Abby Connect lets you use AI answering, which counts as half a minute for each minute of talk. Smith.ai's AI Receptionist can pass complex calls to a live receptionist in North America.
What is the real difference between an AI answering service and an AI receptionist?
In practice, not much, and that is exactly why the two terms get used interchangeably. Both describe software that answers your business calls in a natural voice. Where there is a difference, it is one of framing rather than function.
"Answering service" is the older term, carried over from the live, human call centers that have done this job for decades. People searching for it are often comparing AI against a live service directly, which is what most of this guide does. "AI receptionist" tends to describe the same technology with more emphasis on handling the call end to end, booking, qualifying and routing, rather than simply taking a message for a human to act on later.
In short, nearly every AI receptionist is also an AI answering service. The product you end up comparing matters far more than which of the two terms brought you here. My guide to AI receptionists goes deeper on the booking and setup side specifically.
What does a 24/7 answering service handle?
A good service handles most of these call types:
- Messages: Name, number, reason for the call and how urgent it is.
- After-hours emergencies: A burst pipe, a broken heater or an urgent patient call goes to whoever is on call. See my guide to an after-hours answering service.
- Bookings: It books, moves or cancels appointments in your calendar.
- New leads: It asks a few questions to see if the caller is a good fit, then books a call or sends you the details.
- Overflow: It takes calls when your own team is busy, so callers do not sit on hold.
How much does an answering service cost?
Live services usually charge by the minute or by the call. AI services charge by the minute, by the call or by the number of different callers. These prices come from each vendor's own page as of October 2026.
| Service | Type | Entry plan | Extra usage |
|---|---|---|---|
| Dialzara | AI | $29 a month for 60 minutes | $0.48 a minute |
| Rosie | AI | $49 a month for 250 minutes | Not listed |
| Goodcall | AI | $79 a month for 100 unique customers | 79 cents per extra customer |
| Smith.ai AI Receptionist | AI, with transfer to people | Free for 25 calls, or $150 for 75 calls | $2.50 a call on Pro |
| PATLive | Live people | $99 a month for 50 minutes | $2.29 a minute on that plan |
| Abby Connect | Live people, with an AI option | $164 a month for 50 minutes | Billed at the plan's minute rate |
| Ruby | Live people | $250 a month for 50 minutes | Not listed |
| Smith.ai virtual receptionists | Live people | $300 a month for 30 calls | $11.50 a call on that plan |
Per minute or per call?
Per-minute plans suit businesses with many short calls. Per-call plans suit businesses with longer calls, such as law firms doing intake. Smith.ai's live plans charge the same for a call at 2 p.m. or 2 a.m., and they do not charge for spam calls.
Add-ons raise the price
Check the add-ons on live plans. Smith.ai charges $1.50 per call for appointment booking and $0.25 per call for call recording and transcription. Its Spanish line costs $1.00 per call. A plan that looks cheap can cost more once you add the features you need.
A worked example
Say your business gets about 200 minutes of calls a month. On live services, PATLive's 200-minute plan costs $349, and Ruby's costs $720. Abby Connect's Professional plan costs $599 for 200 minutes, or about 400 minutes if all calls use its AI option. On AI services, Dialzara's $99 plan covers 220 minutes, and Rosie's $149 plan covers 1,000 minutes.
Which handles calls better, AI or people?
Each one is stronger at different calls. This table sums up where each tends to fit.
| Call type | AI answering | Live answering |
|---|---|---|
| Hours, prices and directions | Handles well, the same way every time | Handles well |
| Booking into a calendar | Handles well, if connected | Handles well |
| Many calls at once | Answers them all at once | Depends on staff on shift |
| Upset or worried callers | Should transfer to a person | Handles better |
| Complex intake with judgement | Needs careful setup, or a person | Handles better |
| Spanish-speaking callers | Rosie and Dialzara list English and Spanish | Smith.ai offers a Spanish line add-on |
| Cost per call | Lower | Higher |
What should you check before you choose a service?
Ask each service these questions:
- Emergencies: How does it decide what is urgent, and how fast does it reach you?
- Delivery: Do messages arrive by text, email, an app or in your CRM? Smith.ai includes your first CRM connection on its live plans.
- Script changes: Can you update the answers yourself the same day?
- Spam: Do spam calls count against your minutes? Rosie says every one of its plans detects spam calls automatically.
- Agents: Where do the people work? Smith.ai says it uses no overseas agents.
- Contract: Can you cancel monthly? PATLive says it has no contracts and no change fees.
- Health data: If you run a medical office, will the service sign a business associate agreement (BAA)? HHS says a vendor that handles patient health information for you needs one. See my guide to a medical answering service.
Most services record calls. Federal law needs only one person on the call to agree to a recording. Justia's 50-state survey lists several all-party states, such as California, Maryland and Massachusetts. So ask the service to play a short recording notice at the start of each call.
How do you set up an answering service so no message gets lost?
Write a one-page call guide
Write your hours, services, service area, prices you allow it to share and your top questions with answers. Keep it to one page, so it stays easy to update.
Define what urgent means
List the exact situations that count as urgent for your business. For a contractor, that might be a gas smell or a flooded basement. For a clinic, it might be a patient with new symptoms after a procedure. Everything else becomes a message.
Set an on-call list
Give the service a clear order of who to call for urgent calls, with backup numbers. Update it whenever staff change.
Agree on the message format
Ask for the same fields on every message. Use name, number, address, reason, urgency and the best time to call back. This makes callbacks fast.
Promise a callback time, and keep it
Tell the service what to promise callers, such as "within one hour during business hours." Then meet that promise. The service only takes the message, and your team still has to act on it.
Call your own number once a month
Call as if you were a customer. Ask a normal question, then an awkward one. You will hear what your callers hear.
When does a custom answering setup make sense?
A standard service works for most businesses. A custom setup can make sense when the AI must read or update your own job, practice or case software. It also fits when you run several locations with different rules, or you handle enough calls that per-call fees become a large monthly bill. If you are already on Smith.ai and want to compare options, see my guide to Smith.ai alternatives. Contractors can also read my guide to an answering service for contractors.
How does Blur Studio approach answering services?
I start by asking what happens to a message after it is taken. A lead can still be lost even with a perfect answering service, if nobody calls back in time. So I look at the whole path, from the first ring to the callback and the booked job, not just the call itself.
If a standard service fits what you need, I will recommend one and save you the cost of a custom build. If you need AI that books into your own software, updates your CRM and alerts the right person automatically, I build that instead. Everything I build stays yours, including the code and the accounts, and I keep caring for it once calls start coming in.
Questions people ask
What is a 24/7 answering service?
A 24/7 answering service answers your business calls at every hour of every day, including nights, weekends and holidays. It can be staffed by people, run by AI or use a mix of both.
How much does an answering service cost for a small business?
As of October 2026, live services start at $99 a month for 50 minutes at PATLive and $250 for 50 minutes at Ruby. AI services start lower, at $29 a month at Dialzara and $49 a month at Rosie.
Is an AI answering service cheaper than a live one?
Usually, yes. A live call at Smith.ai costs $8.50 to $11.50 per extra call, depending on the plan. Its AI Receptionist charges $2.10 to $2.50 per extra call.
Can an answering service book appointments?
Yes, most can book appointments if they connect to your calendar. Some charge extra for it, such as Smith.ai's live service, which adds $1.50 per call for booking.
Do answering services charge for spam calls?
It depends on the service. Smith.ai says it does not charge for spam on its live plans, and Rosie lists automatic spam detection on all of its AI plans.
Can I switch from a live answering service to AI later?
Yes, most businesses can move between them without much disruption, since both typically work by forwarding your existing number. Keep your call guide and on-call list documented so the switch is just a vendor change, not a rebuild.
Does an AI answering service work for businesses outside the US?
The technology itself works anywhere with phone coverage, though the specific legal points in this guide, like TCPA and state recording consent laws, are US-specific. Check the equivalent rules for your own country before launch.
Roughly what does this cost?
As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
Is my project too small for this?
No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
