After-hours answering service: what it costs and how to pick one

By Ranjit Bhinge, founder of Blur Studio · Updated · 8 min read

Short answer: An after hours answering service picks up your calls at night, on weekends and on holidays. It takes messages, books jobs, and wakes up your on-call person for true emergencies. Live services start around $250 to $350 a month for a small number of minutes or calls, and AI services start under $100 a month. Pick based on how many urgent calls you get and what the caller needs done.

You're trying to work out whether you actually need a separate after-hours system, or just different rules on the one you already have, and what either option costs.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

What does an after-hours answering service do?

An after-hours answering service answers your business line when your office is closed. A person or an AI voice greets the caller in your business name. It then follows a script you agree on in advance.

Most services can do these jobs.

  • Take messages: It records the name, number and reason for the call, then sends you a text or email.
  • Book appointments: It puts jobs or visits into your calendar for the next open slot.
  • Sort urgent calls: It asks set questions to decide if the call is an emergency.
  • Wake the on-call person: It calls or texts whoever is on duty when a call meets your emergency rules.
  • Answer common questions: It gives hours, prices you have approved, service areas and directions.

A week has 168 hours. A normal weekday schedule of 9 to 5 covers only 40 of them. So an after-hours service covers the other 128 hours, including weekends and holidays.

What does a good after-hours call sound like?

Here is an example for a heating company at 2 am in January.

  1. The service answers within a few rings and gives the company name.
  2. It asks for the caller's name, address and callback number first, in case the line drops.
  3. It asks if the home has no heat at all, and if anyone at home is very old, very young or unwell.
  4. The caller says the furnace is dead and there is a baby in the house. That meets the company's emergency rule.
  5. The service tells the caller a technician will call back within 15 minutes. It then rings the on-call tech and sends the details by text.
  6. If the tech does not answer in 5 minutes, it calls the backup person on the list.
  7. In the morning, the owner gets a summary of every call from the night.

A call that does not meet the emergency rule gets booked for the morning. The caller still hangs up knowing when someone will come.

What types of after-hours answering are there?

You have four main choices.

  • Live answering service: Trained agents answer every call. They handle upset or confused callers well. You pay more, and most plans charge by the minute or by the call.
  • AI receptionist: An AI voice answers, asks your questions and books or routes the call. It costs less per call and can take many calls at once. It can struggle with heavy accents, bad lines or callers in a panic.
  • Hybrid service: AI answers first and hands some calls to a live agent. You set which calls go to a person.
  • Forwarding and voicemail: Calls ring a staff member's cell phone or go to voicemail. This is free, but it wears out staff and some callers will not leave a message.

If missed calls are your main worry, a missed call text back tool is a cheaper first step. It texts the caller right away when you cannot pick up.

Should after-hours be a separate system from your daytime line?

Many businesses treat after-hours answering as its own purchase, when for most it is really just a different set of rules on the same phone line. Before you buy a dedicated after-hours product, check whether your daytime answering setup, or the one you are considering, can simply switch to different rules outside business hours.

Running it as one system usually makes more sense when your after-hours rules are close cousins of your daytime ones, just stricter about what counts as urgent. It is worth keeping them genuinely separate when the after-hours version needs a different script entirely, for example a different on-call list by time of night, or several brands that only share night coverage.

If you operate across time zones, "after hours" is not one fixed window either. Set the schedule by each location's local time, not your own, or calls from your busiest hours in another region get the overnight treatment by mistake.

How much does an after-hours answering service cost?

These are the starting prices that each vendor shows on its own pricing page, as of October 2026. Most vendors charge the same for day and night calls, so you usually buy a 24/7 plan and set it to answer only when you are closed.

Service Type Starting price What it includes
Ruby Live $250 a month 50 minutes, with after-hours, weekend and holiday coverage
Smith.ai Live $300 a month 30 calls, then $11.50 per extra call
AnswerConnect Live $350 a month 200 minutes, then $2.50 per extra minute, with 24/7 live answering
Smith.ai AI $150 a month (Pro) 75 calls, plus a free tier of 25 calls
Goodcall AI $79 a month 100 unique callers a month
Quo (Sona) AI From $19 a user a month Sona answers 24/7, with 10 free AI calls and paid call packs

A few details matter here. Smith.ai says on its live pricing page that calls at 2 pm and 2 am cost the same. It also sells an "After Hours Only" hybrid setup billed per call, and its pricing page estimates about $153 a month for 30 calls. Goodcall bills per unique customer, so long calls do not raise the bill. Quo sells extra Sona call packs, such as $49 a month for 100 calls.

How does that compare with hiring someone?

The US Bureau of Labor Statistics puts the median receptionist wage at $18.27 an hour, or $38,010 a year, as of May 2025. That covers one person for about 40 hours a week. To cover nights and weekends with your own staff, you would need several people, plus higher pay for night shifts. So an answering service is far cheaper for after-hours work, even on a large plan.

Should you use a live service or AI for overnight calls?

Use a live service if your night calls are often emotional or complex. Funeral homes, medical practices and property managers with older tenants are good examples. A trained person can calm a caller down and ask a follow-up question that the script did not cover.

Use AI if most night calls are simple. Booking a time, giving hours, taking a message and passing on a clear emergency all suit AI well. AI also helps when call volume jumps, such as during a storm.

A hybrid plan is often the best fit for trades and home services. The AI takes routine calls, and a person takes anything that sounds urgent or unclear. If you want a deeper look at the trade-offs, see my guide to virtual receptionists compared with AI receptionists.

How do you set up after-hours call answering well?

The service is only as good as the rules you give it. These steps make the biggest difference.

  1. Write down what counts as an emergency. Use plain yes or no questions, such as "Is water coming through the ceiling right now?" Loose rules lead to missed emergencies. They can also wake your team for small issues.
  2. Build an on-call list with backups. List who is on duty each night, their cell number, and who to call next if they do not answer.
  3. Set a callback promise you can keep. If you tell callers 15 minutes, your on-call person must be able to call back in 15 minutes.
  4. Give the service your booking rules. Say which job types it can book, how long each takes and which slots to keep free.
  5. Choose how you get messages. Most owners want urgent calls by phone and text, and everything else in one morning email.
  6. Test it yourself. Call your own line at night with three or four made-up problems. Listen to the recording and fix the script.
  7. Review calls every week for the first month. Look for calls that were sorted wrong, then tighten the questions.

What phone rules apply to after-hours answering?

Most services record calls. Under federal law, a recording is legal when one person on the call agrees to it. Some states ask for more. Justia's survey names California, Florida, Maryland, Massachusetts, New Hampshire, Pennsylvania and Washington as states where everyone on the call must agree. Nevada has the same rule for phone calls. The safe step is to tell every caller at the start that the call may be recorded.

Outbound calls have their own rules. The FCC ruled on 8 February 2024 that a voice made by AI is an "artificial" voice under the Telephone Consumer Protection Act. So if your AI calls people back or calls them first, the same consent rules that cover robocalls apply. Keep sales calls and promotional texts out of your after-hours setup unless a lawyer has checked your consent process.

Should you build your own after-hours AI receptionist?

A ready-made service is the right choice for most small businesses. You can be live in a few days, and you can cancel if it does not work.

Building your own starts to pay off in these situations.

  • Your emergency rules are complex: For example, rules that change by building, by contract or by time of year.
  • The call must update your own systems: Such as creating a job in your field service software, checking a customer's contract, or pulling up a tenant's unit.
  • You have high call volume: Per-call or per-minute fees add up fast at several thousand calls a month.
  • You need full control of the data: Some businesses must keep call records in their own accounts.

How does Blur Studio approach after-hours answering?

When a business asks me for an after-hours AI receptionist, I start with the last month of night calls. I sort them into routine calls, urgent calls and true emergencies, which shows me what the AI actually needs to do and where a person must step in.

Then I connect the AI to the business's calendar, job software and on-call list, and test it with real calls before launch. Where it makes sense, I set it up as one system with different daytime and after-hours rules rather than two separate tools to maintain. The business owns the code and the accounts, so it keeps full control of its call data.

Questions people ask

What is an after-hours answering service?

An after-hours answering service answers your business phone when you are closed. It takes messages, books appointments and passes real emergencies to your on-call staff based on rules you set.

How much does an after-hours answering service cost?

As of October 2026, live services such as Ruby and AnswerConnect start at $250 to $350 a month for a set number of minutes. AI services such as Goodcall start at $79 a month. Prices rise with call volume.

Can an AI answer my phones overnight?

An AI receptionist can answer overnight calls, take details, book jobs and call your on-call person for emergencies. Use a person for calls that are often emotional or complex.

Do I need to tell callers the call is recorded?

In some states you must have every caller's consent to record. The simplest approach is to tell every caller at the start of the call that it may be recorded.

Is an overnight answering service cheaper than hiring night staff?

Yes, for most small businesses. One full-time receptionist covers about 40 hours a week, while nights and weekends add up to 128 hours. A service covers all of those hours for a monthly fee.

Do I need a separate after-hours answering service from my daytime one?

Often not. Many AI receptionists can run different rules outside business hours on the same system, which is simpler to maintain than two separate tools. Check this before you buy a dedicated after-hours product.

How should after-hours work if my business spans time zones?

Set the schedule by each location's local time, not your own. Otherwise, calls during someone else's business hours get treated as overnight calls by mistake.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my business too small for a custom after-hours system?

For most small businesses, no, a ready-made service is genuinely the right call, and I will tell you that for free on the first call. A custom build only makes sense once you hit one of the reasons described in this guide.
