Plumbing answering service: how to catch every burst pipe call

By Ranjit Bhinge, founder of Blur Studio · Updated · 7 min read

Short answer: A plumbing answering service picks up your calls when you can't, sorts real emergencies like burst pipes from routine jobs, and books the work or alerts your on-call plumber. AI options inside job software include Jobber's Receptionist, a $29 a month add-on to a Jobber plan, as of October 2026. Live answering services cost more, such as Smith.ai at $300 a month for 30 calls. The best setup uses your own triage rules and books straight into the software you already run.

You're trying to work out how to stop missing burst-pipe calls at 2am without paying a person to sit by the phone all night.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

What does a plumbing answering service do on a call?

It answers when you and your office can't. A good one does these jobs on each call.

  • Sorts the call: It asks a few set questions to tell a burst pipe from a dripping tap.
  • Gives safe first steps: It reads out only the steps you have approved, such as where to find the main shut-off.
  • Books or dispatches: It books the job in your software, or it calls and texts the on-call plumber.
  • Saves the details: It writes down the name, address and problem, so your tech arrives ready.

How should it triage a burst pipe call?

Triage means sorting calls by how urgent they are. For a plumber, this is the most important part of the whole setup, because water damage costs your customers a lot. The Insurance Information Institute reports that water damage and freezing made up 22.6% of homeowners insurance losses in 2023. The average claim from that cause was $15,400 across 2019 to 2023.

Write your triage rules down before you set up any service. A simple version looks like the table below.

Caller says Urgency What the service does
Water is spraying or the ceiling is wet Emergency Reads your shut-off steps, then calls the on-call plumber now
Sewage is coming up a drain Emergency Asks them to stop using water, then alerts the on-call plumber
A pipe is frozen but not leaking Urgent Reads your thawing advice and books the earliest slot
No hot water Same or next day Books the first open slot
Slow drain or running toilet Routine Books a normal visit

For frozen pipes, the American Red Cross says to keep the faucet open and warm the pipe with a hair dryer or heating pad. It warns against any open flame, such as a blowtorch. If the owner can't find or thaw the frozen part, the Red Cross says to call a licensed plumber. Your service should book them at that point.

Keep the safety steps short and in your own words. The service should never make up advice you have not approved.

What plumbing answering service options can you buy?

An AI receptionist inside your job software

If you already use Jobber, Housecall Pro or ServiceTitan, look here first. Each one now sells its own AI phone agent.

  • Jobber Receptionist: Jobber says it answers calls and texts 24/7 and books visits using your online booking settings. When it can't book, it creates a work request for you to review. You set urgent keywords, and it puts those callers through to you or texts you an alert. As of October 2026, Jobber's pricing page lists Receptionist as a $29 a month add-on, and the Plus plan includes it.
  • Housecall Pro CSR AI: Housecall Pro says CSR AI answers calls and chats around the clock and puts booked jobs on your calendar. It can also pass a call to a number you choose. The pricing page shows no separate fee for it, so ask sales. Plans start at $59 a month for Basic, billed yearly, as of October 2026.
  • ServiceTitan AI Virtual Agent: ServiceTitan says its agent books "straight to the dispatch board" using live technician availability. It can hand the call to a live CSR (customer service rep) when a person is needed. ServiceTitan does not publish a price for it.

The biggest plus is simple. Booked jobs land in the system you already use, so nobody retypes them.

Stand-alone AI answering tools

General AI answering tools work with any phone line. Prices below are from each vendor's own pricing page, as of October 2026.

  • Rosie: $49 a month for 250 minutes. The $149 plan adds calendar booking.
  • Smith.ai AI Receptionist: The Pro plan starts at $150 a month for 75 calls.

These tools link to other apps through Zapier, a service that passes data between apps. That works for simple steps, such as adding a new lead. It is weaker at picking the right tech and time slot.

Live human answering services

Some plumbers still want a person to calm an upset caller. Live agents cost more. Prices below are as of October 2026.

  • Smith.ai virtual receptionists: $300 a month for 30 calls, then $11.50 for each extra call.
  • Ruby: $250 a month for 50 minutes, or $720 for 200 minutes.

Plumbing calls spike when the weather turns freezing. On a per-call plan, one frozen weekend can push the bill well past the monthly fee.

How does an AI receptionist book into Jobber, Housecall Pro or ServiceTitan?

You can connect them in two ways.

The first is the agent your software company sells. It reads your schedule and service settings directly. Setup is mostly filling in your services, hours, area and rules.

The second is a link through the software's API. An API is a set of rules that lets two apps share data. Jobber's public API covers clients, requests, quotes, jobs and visits, so an outside AI tool can create a request or a job. Housecall Pro gives full API access only on its Max plan. ServiceTitan says its agent works with Contact Center Pro "or any phone system".

Test either route with real cases. Call in as a burst pipe at midnight. Check that the right plumber got the alert, the address is correct and the job is on the board.

What rules apply to a plumbing answering service?

  • Call recording: Most AI tools record every call. Federal law needs the consent of only one person on the call. Some states need everyone on the call to agree, including California, Florida, Illinois, Maryland, Massachusetts, Pennsylvania and Washington. A short notice at the start of each call covers you.
  • AI voices on outbound calls: In February 2024, the FCC ruled that AI-generated voices count as "artificial" voices under the Telephone Consumer Protection Act (TCPA). If your AI calls people back, you need their prior consent. A call that sells something needs prior written consent.
  • Texts: If your service texts callers, see my guide to missed call text back for the texting rules.

How do you set up a plumbing answering service well?

  1. Write your triage list: Decide what counts as an emergency, an urgent job and a routine job, and what the caller hears for each.
  2. Set your on-call rota: Decide who gets emergency alerts each night. A call plus a text is safer than one alone.
  3. Set price rules: Decide if it can quote your call-out fee. Leave job prices to the tech on site.
  4. Set your service area: Give it the ZIP codes you cover, so it never books a job you can't reach.
  5. Test before launch: Make ten test calls with different problems and fix any wrong answers.
  6. Read transcripts each week: Find the calls it got wrong and update the rules.

If you are still choosing job software, my Jobber vs Housecall Pro guide compares the two.

What mistakes do plumbers make when they set this up?

Most of the problems I see are not the AI's fault, they are the setup. A few mistakes show up again and again.

  • Letting it improvise safety advice. The thawing and shutoff steps in this guide are a starting point, not a script to paraphrase. Approve the exact wording, and do not let the AI guess at a step you have not written down.
  • Paging the on-call plumber for everything. If a slow drain gets the same 2am alert as a burst pipe, your on-call plumber stops trusting the alerts, and that is how a real emergency gets ignored. Keep the urgent bucket genuinely urgent.
  • No plan for a hard freeze weekend. A cold snap can multiply your call volume overnight. Decide in advance how the triage board behaves when every line is an emergency, not just on a normal week.
  • Forgetting to update the service area. A business that expands or contracts its coverage and forgets to update the AI ends up booking jobs nobody can reach, or turning away ones it could have taken.
  • Testing with plumbing terms, not customer terms. Most callers do not say "shutoff valve", they say "the knob thing under the sink." Test with callers who describe problems the way real customers do, not the way a plumber would.

When does a custom AI receptionist make sense for a plumber?

Most plumbers should start with the agent inside their job software. If your process is simple, that is often enough.

A custom build starts to pay off in the cases below.

  • Your tools don't talk to each other: Your job software, call tracking and CRM each hold a different part of the customer record.
  • Your rules are complex: Different techs cover gas, drains and commercial work, each with their own area and rota.
  • You run more than one brand: Each brand needs its own greeting, prices and dispatch rules.
  • Fees grow with volume: At high call counts, owning the tool can cost less than paying per call.
  • You want to keep your data: Every call, transcript and lead stays in a system you control.

How would Blur Studio build a plumbing answering system?

I start with your call log and your triage rules, and map what happens on each type of call today. Then I build an AI receptionist that answers, sorts and books straight into your job software through its API. You own the code and the accounts, and I look after it once it is live, so the rules keep up with your business. If a software subscription already suits you better, I will say so. My guide to AI receptionists explains how these tools work in more depth.

Questions people ask

What is a plumbing answering service?

A plumbing answering service answers your calls when you can't, day or night. It sorts emergencies from routine jobs, books work and alerts your on-call plumber when a call is urgent.

Can an AI receptionist book jobs into Jobber?

Yes, it can. Jobber sells its own Receptionist, which books visits using your online booking settings. Other tools and custom builds can create requests and jobs through Jobber's public API.

How much does a plumbing answering service cost?

As of October 2026, Jobber's Receptionist is a $29 a month add-on to a Jobber plan, and Rosie starts at $49 a month. Live services cost more, such as Smith.ai at $300 a month for 30 calls.

Should AI handle emergency plumbing calls?

AI can take the call, read your approved safety steps and alert your on-call plumber at once. A person on your team should still own the final dispatch choice on true emergencies.

Do I have to warn plumbing callers that the call is recorded?

In some states you must. California, Florida, Pennsylvania and several other states require everyone on the call to agree, so a short recording notice at the start is the safe choice.

What should an AI receptionist never do on a plumbing emergency call?

It should never guess at a safety step you have not approved, such as where a specific shutoff valve is in a home it has never seen. Keep it to the general safety steps you have written and checked, then get a person involved fast.

Can an AI receptionist handle a flood of calls during a cold snap?

A flat-fee tool handles a surge better than one billed per call or per minute, since the bill does not spike with your call volume. Check which pricing model each vendor actually uses before a freeze, not during one.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my business too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of a custom build, I will tell you that on the first call, even though it means I do not get paid.
