AI for UK estate and letting agents: practical uses and the rules

By Ranjit Bhinge, founder of Blur Studio · Updated · 7 min read

Short answer: AI helps estate agents draft property particulars, answer enquiries out of hours, book viewings and chase sales progression. Letting agents use it to answer tenants and sort repair requests. Every AI-written listing must still be accurate under The Property Ombudsman's Code, and the CMA can now fine firms directly for misleading consumers. Letting adverts and AI screening must follow the Renters' Rights Act rules that started on 1 May 2026 in England.

You run a UK estate or letting agency and want to know what AI can do for listings, enquiries and compliance, and what the Renters' Rights Act changes.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

How can estate agents use AI?

These uses save sales agents the most time.

  • Property particulars: You give AI the facts, such as rooms, sizes, tenure and recent work. It drafts a description and social posts. You check every fact and get the seller's sign-off before it goes live.
  • Enquiry replies: When a portal lead arrives at 9 p.m., AI replies within minutes. It asks about the buyer's position, budget and mortgage status, then offers viewing slots.
  • Viewing bookings and feedback: AI books viewings into your diary, sends reminders and collects feedback afterwards.
  • Call summaries: AI writes up each call and adds the note to the contact record.

How can AI help with sales progression and solicitors?

Sales progression means chasing a sale from offer to completion. Much of it is checking in with buyers, sellers, brokers and solicitors. AI can track each milestone, such as searches ordered or the mortgage offer issued. It drafts polite chasers to each party's solicitor when a step is overdue. It also sends the vendor a weekly update in plain English. Your progressor then spends their time on the sales that are truly stuck.

How can letting agents use AI?

Letting agents handle a steady stream of messages, and many repeat the same questions.

  • Tenant enquiries: AI answers questions about a listing, the rent and the move-in date, and books viewings.
  • Repair requests: AI asks the tenant what is wrong, asks for photos, ranks the job by urgency and sends it to the right contractor. A leak through the ceiling goes to the on-call line. A sticking door goes into next week's list.
  • Tenancy summaries: AI pulls key dates and terms from a tenancy agreement for quick reference.
  • Landlord reports: AI drafts a monthly update for each landlord from rent and repair records.
  • After-hours calls: An AI receptionist can take calls at night and pass real emergencies to a person. My guide to an AI receptionist in the UK covers the options and call rules.

What AI tools exist for UK estate agents?

Many agency CRMs now include AI. Reapit CRM, for example, can generate short and long property descriptions from a property's details, with options for tone and style. Reapit's own guide warns that an AI description "may not be accurate or factually true" and must be checked before you accept it. That warning applies to every tool.

General AI assistants such as ChatGPT and Microsoft Copilot also help with drafting emails, adverts and reports. For lettings, check what your current software offers before you add anything new. My guide to letting agent software compares the main platforms.

What rules apply when estate agents use AI?

AI does not change your duties. It does make it easier to make mistakes at speed. These rules matter most.

The Property Ombudsman Code of Practice

TPO's Code of Practice for Residential Estate Agents was updated in March 2026. It does not mention AI, but its rules cover anything AI writes for you.

  • Accuracy: You must take all reasonable steps to make sure every statement about a property is accurate and not misleading (clause 7i).
  • Material information: All material information must be disclosed, with no omissions that could affect a buyer's decision (clause 7i).
  • Seller sign-off: Sales particulars must be agreed with the seller before marketing starts. Unagreed details must be marked as draft (clause 7j).
  • Your liability: You are liable for anything in the particulars you have reason to doubt (clause 7m).
  • Adverts: Every advert must be legal, decent, honest and truthful under the ASA Codes (clause 7n).

The Code also sets complaint deadlines. You must acknowledge a written complaint within 3 working days and give a formal outcome within 15 working days (clause 14d). If an AI tool handles your inbox, make sure it flags complaints to a person straight away. TPO publishes separate codes for letting agents and for Scotland.

The CMA and consumer law

The Digital Markets, Competition and Consumers Act 2024 gave the CMA new powers from 6 April 2025. The CMA can now enforce consumer law directly, without going to court first. It can fine a business up to 10% of its global turnover. New rules on fake reviews and drip pricing also started on 6 April 2025.

Here is what that means for an agency.

  • No fake reviews: Never use AI to write reviews or testimonials for your agency.
  • No hidden fees: Show mandatory fees upfront. Do not let AI-written adverts leave them out.
  • No false claims: The CMA has said it will first focus on the worst breaches, such as objectively false information. An AI listing that invents a feature could fall into that group.

The Renters' Rights Act 2025

The Renters' Rights Act received Royal Assent on 27 October 2025. Its first phase started in England on 1 May 2026. Letting agents using AI for adverts, enquiries or screening must build these rules in.

  • No rental bidding: You must publish an asking rent and must not accept offers above it. An AI enquiry bot must never invite higher bids.
  • No blanket bans: You must not refuse a tenancy because the applicant has children or receives benefits. You can still check affordability, as long as the check does not rely on those factors. Screening rules and AI filters must not screen people out on those grounds.
  • Rent in advance: You must not take rent before the tenancy agreement is signed. After signing, you can ask for up to one month's rent before the tenancy starts.
  • Section 21 has ended: Most tenancies are now periodic. Update any AI templates that mention fixed terms or section 21 notices.

The government guide says councils can fine landlords and anyone acting for them, which includes agents. Fines start at up to £7,000 for a first breach. Serious or repeat breaches can cost up to £40,000. A second phase, due from late 2026, brings a PRS landlord database and a new landlord ombudsman.

UK GDPR and automated decisions

Buyers and tenants share personal data with you, and AI tools process it. All the data protection parts of the Data (Use and Access) Act 2025 were in force by June 2026, the ICO says. The Act gives more lawful bases for significant automated decisions, as long as you apply proper safeguards. Special category data, such as health details, stays more tightly protected. If AI helps decide who gets a tenancy, keep a person in the loop and explain the process in your privacy notice.

What are the risks of AI for estate agents?

  • Made-up details: AI can add a feature a home does not have, such as a south-facing garden. Check every line against your notes and photos.
  • Missing material information: AI may skip tenure, service charges or known issues. Build a checklist and run it on every listing.
  • Data leaks: Pasting client details into a free AI tool can send them outside your control. Use business plans with clear data terms.

How should an estate agency start with AI?

  1. Pick one job: Out-of-hours enquiry replies or particulars drafting are good first choices.
  2. Check your CRM first: Your current system may already have the AI feature you need.
  3. Write your rules: List what the AI can say and what it must pass to staff. Add what it must never do, such as accept bids above the asking rent.
  4. Keep a person in charge: A named staff member checks every listing and every screening decision.
  5. Review monthly: Read a sample of AI replies and listings, and fix any patterns.

What does the Renters' Rights Act landlord database mean for AI tools?

The Renters' Rights Act introduces a new landlord database for England, rolling out region by region between March and November 2027. Once it applies in your area, any AI tool that drafts tenancy paperwork, summarises tenancy terms or manages compliance records needs to account for the new registration and record-keeping duties it creates. If you are evaluating AI tools now, ask the vendor directly whether they have a plan for this rollout, since a tool built before the database existed may need real updates to stay compliant as each region comes online.

When is custom AI software worth it for an agency?

Most small agencies should start with the AI in their CRM and a few general tools. A custom build makes sense when your CRM, portal feeds, progression tracker and lettings platform do not talk to each other. It also fits a firm with its own valuation method, or a multi-branch firm paying per-user fees for many staff.

I builds custom AI tools for agencies and connects them to the CRM and portals they already use. I build the TPO and Renters' Rights rules into the tool, so staff do not have to remember them for every reply. The agency owns the code and the accounts. My guide to bespoke software development in the UK explains how a build works.

Questions people ask

Can estate agents use AI to write property descriptions?

Yes, as long as a person checks every fact. The Property Ombudsman's Code says all statements about a property must be accurate and not misleading, and particulars must be agreed with the seller before marketing starts.

What does the Renters' Rights Act mean for AI in lettings?

From 1 May 2026 in England, agents must publish an asking rent and must not accept higher bids. Agents also must not refuse tenants because they have children or receive benefits. AI enquiry bots and screening tools must follow those rules.

Can the CMA fine estate agents?

Since 6 April 2025, the CMA can enforce consumer law directly and fine a business up to 10% of its global turnover. Fake reviews, hidden fees and misleading claims are all in scope.

Is it legal to use AI to screen tenants in the UK?

It can be, with safeguards. UK GDPR rules on automated decisions apply, and the Renters' Rights Act bans refusing tenants for having children or receiving benefits. Keep a person involved in every decision.

Can AI help letting agents with repair requests?

AI can collect details and photos from the tenant, rank the job by urgency and send it to the right contractor. Urgent jobs, such as leaks or no heating, should always reach a person quickly.

When does the Renters' Rights Act landlord database affect my agency?

It rolls out region by region across England between March and November 2027, not all at once. Ask any AI or compliance tool vendor directly whether they have a plan for the new registration and record-keeping duties it creates for your specific region.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
