What dispatch software should a small service company use?
Short answer: Dispatch software is a tool that assigns jobs to technicians and sends them the address, time and notes on a phone. For most small service companies, a field service tool that includes dispatch is the right pick: Jobber, Housecall Pro, Service Fusion or Workiz. They run from $29 a month for one person to a few hundred dollars a month for a team, as of November 2026. ServiceTitan, a larger platform for bigger HVAC, plumbing and electrical shops, does not publish prices.
You are the one juggling calls, trucks and technicians, and you want a dispatch tool that fits a small shop without a big contract.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What is dispatch software?
Dispatch means deciding who goes to which job, and when. Dispatch software puts that decision on a screen. You see your technicians, their jobs for the day and the gaps between them. You drag a job onto a technician. The technician sees it on their phone a moment later.
Without it, dispatch is a phone call or a text for every change. With three or more trucks, that is where the day goes wrong. A technician runs late, nobody tells the next customer, and a cancelled job leaves a truck idle.
Good dispatch software does a few plain things:
- Shows a calendar or board by technician.
- Shows jobs on a map so you can pair jobs that are close together.
- Pushes changes to the technician's phone.
- Sends the customer an on my way text.
- Keeps the job notes, photos and invoice attached to the job.
Dispatch board versus route optimization
These get mixed up, and they are not the same thing.
- A dispatch board is the screen where you place jobs. You decide.
- Route optimization reorders stops to cut drive time. The software suggests the order.
Service businesses like HVAC and plumbing usually need the board first, because jobs arrive by phone during the day and are different lengths. Route optimization matters more for repeat stops, like lawn care, pool service or deliveries. If that is you, a stand alone routing app such as Route4Me (software that plans the best order of stops) may fit, and I compare it in my Route4Me alternative guide.

Jobber
Jobber is a job management tool for service businesses that covers quotes, scheduling, invoices and payments. Core is $29 a month billed annually and includes 1 user. Connect, at $99 annually, adds automated reminders and QuickBooks Online sync (QuickBooks is accounting software). Grow, at $149 annually, adds job costing and workflow automations. It is easy to learn, which suits a shop of one to five. If you start to outgrow it, see Jobber alternatives.
Housecall Pro
Housecall Pro is a field service tool for home service businesses. Basic is $59 a month billed annually and includes 1 user. Essentials is $149 annually, includes 5 users, and adds routes, which group and sequence jobs to cut drive time, plus employee GPS tracking. MAX is $299 annually, includes 8 users and adds route optimization and open API access. See Housecall Pro pricing for the full breakdown.
Service Fusion
Service Fusion is a field service management tool that charges one price no matter how many users you add. Starter is $208 a month billed annually or $245 month to month. Plus is $325 annually and Pro is $533 annually. Every plan includes scheduling and dispatching, and it is month to month with no contract. It costs more up front than Jobber, but it can cost less once you have a larger team. More in Service Fusion pricing.
Workiz
Workiz is a field service tool with built in phone and AI add ons. Its pricing page shows three plans, Standard, Pro and Ultimate, each with a request pricing button, so get a quote before you plan around it. Pro adds Genius scheduling, its AI scheduling feature, and a phone system is sold as a separate add on. See my Workiz versus Jobber comparison.
ServiceTitan
ServiceTitan is a large field service platform for HVAC, plumbing, electrical and similar trades. Its pricing page says pricing is per technician and shows three packages, Starter, Essentials and The Works, all by request. It has the deepest dispatch tools on this list. It also asks the most from a small shop in setup and cost. Read ServiceTitan pricing before you book a demo.
What HVAC and plumbing shops need
If you are looking for dispatch software for HVAC or plumbing, these trades have a few special needs. Emergency calls land at any hour. Jobs change length when a tech finds a second problem. Many shops sell service agreements for repeat visits. So look for:
- A way to push an emergency job in front of the queue.
- Skills or job type filters, so a plumber is not sent to a furnace.
- Recurring visits tied to a service plan.
- Call handling, so a missed call still becomes a job. See my guide on routing calls to whoever is free.
A worked example with made-up numbers
Say you run a plumbing shop with 4 technicians and one office person, 5 users in total.
- Jobber Core: $49 monthly for 1 user. Check the current pricing page for the cost of 4 more users.
- Housecall Pro Essentials: $149 a month annual, 5 users included, so the whole team fits.
- Service Fusion Starter: $208 a month annual, unlimited users.
At 5 users, Housecall Pro Essentials is $59 a month cheaper than Service Fusion Starter, so your answer depends on features. Housecall Pro MAX includes 8 users and charges for each extra one, while Service Fusion stays flat, so at larger teams Service Fusion's flat price is worth pricing. The point: price the tool at the headcount you expect in a year, not today.
When a custom dispatch board fits better
Ready made tools work for most shops. A custom dispatch board is worth a look in a few cases:
- Your job data already lives somewhere else, like a spreadsheet, QuickBooks or an industry system, and you do not want to move it.
- Your dispatch rules are odd. For example, certain customers must get certain technicians, or jobs depend on equipment on a truck.
- You pay for several tools only to get one board.
In those cases a simple board that reads your own job data can be cheaper over a few years than a per user subscription. AI can also help, for example by suggesting a technician for a new job or drafting the customer message. The AI workflow guide explains how that kind of helper is built.
How I'd approach this
Start with how many people touch the schedule, and what you do not want to type twice. If you are one to five people, try Jobber or Housecall Pro on a free trial with a week of real jobs. If your headcount will climb, price Service Fusion next to them. If you run a bigger HVAC or plumbing business, get a written ServiceTitan quote and compare the total, including setup.
Then check how dispatch connects to the rest of your day: quotes, invoices and calls. My field service management software guide covers that whole picture. And if you find that a tool does everything but dispatch the way you work, that is the moment to price a custom board.
Questions people ask
What is dispatch software?
It is a tool that assigns jobs to technicians and sends them the time, address and notes on a phone. Most small service companies get it as part of a field service tool. See field service management software.
What is the best dispatch software for a small business?
For one to five people, Jobber or Housecall Pro are common picks. For a growing team, Service Fusion's flat price for unlimited users is worth pricing. Try each on real jobs before you pay for a year.
Is there dispatch software built for HVAC and plumbing?
Yes. ServiceTitan targets those trades, and Housecall Pro, Service Fusion and Jobber all serve them too. Look for emergency job handling, skill filters and service plan visits.
What apps handle route scheduling and dispatching together?
Housecall Pro offers routes on Essentials and route optimization on MAX. Stand alone routing apps like Route4Me focus on stop order. See Route4Me alternatives.
Do I need a contract for dispatch software?
Not always. Service Fusion says all plans are month to month, and Housecall Pro says it does not require long term contracts. Read the terms for any vendor that asks for a call before giving a price.
