How much does Housecall Pro cost, and what grows the bill?
Short answer: As of October 2026, Housecall Pro costs $59 a month for Basic (1 user), $149 for Essentials (5 users) and $299 for Max (8 users) when billed yearly, or $79, $189 and $329 billed monthly. Extra users on Max are $35 a month each; no extra-user price is published for Basic or Essentials. Card processing starts at 2.59% in person and runs 2.99% to 3.49% for most other card payments, with bank (ACH) payments at 1%. On most crews, those payment fees end up larger than the plan itself.
You want the real monthly number for Housecall Pro at your headcount, including the extra users, the card fees and the plan you'll actually need, not just the price on the plan card.

Housecall Pro publishes its prices, which already puts it ahead of some field service tools. The catch is that the plan price is only one line of the bill. What you actually pay depends on how many people need a login, which features push you up a tier, and how your customers pay you.
Every figure below comes from Housecall Pro's own pricing page and help center, checked on 27 October 2026. Prices change, so confirm on the day you buy.
How much does Housecall Pro cost per month?
| Plan | Billed yearly (per month) | Billed monthly | Users included | Extra users |
|---|---|---|---|---|
| Basic | $59 | $79 | 1 | No published price |
| Essentials | $149 | $189 | 5 | No published price |
| Max | $299 | $329 | 8 | $35 a month each |
Yearly billing saves $20 a month on Basic, $40 on Essentials and $30 on Max, according to the pricing page. Over twelve months that is $240, $480 and $360.
The page also runs limited-time offers. On the day I checked, Basic and Essentials showed a first month at $26, and Max showed its first three months at $99 a month. Those are promotions for new customers, not the price. Budget on the plan price above, and confirm what the offer is on the day you sign up, since these change often.
What does each Housecall Pro plan include?
Basic: $59 a month yearly, 1 user
Online booking, scheduling and dispatch, estimates and invoicing, payments and consumer financing, a price book, job costing and review management. That is a complete setup for a solo operator who books, does and bills their own work.
Essentials: $149 a month yearly, 5 users
Everything in Basic, plus routes, flat-rate pricing, checklist automations, photo reports with annotations, employee GPS tracking, commissions and QuickBooks Online sync. For most small crews, QuickBooks Online sync is the feature that decides this tier: Basic does not list it.
Max: $299 a month yearly, 8 users
Everything in Essentials, plus a sales proposal tool (which the page values at $40 a month), recurring service plans, route optimization, open API access, a dedicated onboarding specialist and escalated phone support. Max is also the only plan where Housecall Pro's help center says webhooks and API keys are available.
Reporting is not tied to a plan on the pricing page. Some individual reports are, though: Housecall Pro's help center says the Tech Leaderboard needs Essentials or Max, and lead conversion reports need its Pipeline add-on. My Housecall Pro reporting guide covers what each report shows.
What are Housecall Pro's payment processing fees?
The pricing page says card processing is "as low as 2.59%". The full table in Housecall Pro's help center shows the rate depends on how the customer pays:
| How the customer pays | Fee per transaction |
|---|---|
| Card swiped, tapped or chipped (card reader or Tap to Pay) | 2.59% |
| Card entered online by the customer from an invoice | 2.99% |
| Card typed in by staff, scanned in the app, or saved on file | 3.49% |
| American Express, or any commercial, corporate or business card | 3.49% |
| Bank transfer (ACH) | 1% |
| PayPal or Venmo from an invoice | 2.99% |
| Klarna or PayPal Pay Later | 4.99% |
| Check deposited in the mobile app | No fee (per the pricing page) |
Three more fees sit on top of those:
- Instapay: getting paid out in minutes instead of 2 business days adds 1% on top of the standard rate.
- Tap to Pay on Mobile: $5 a month per active device.
- Fees come out before the deposit. What lands in your bank is the net amount, so a payment report and your bank statement will never match to the cent unless you account for this.
The practical point: 2.59% is the in-person rate. If most of your customers pay from an emailed invoice, your real rate is 2.99%. If your office keys in card numbers over the phone or charges cards on file for service plans, it's 3.49%. And if you do a lot of commercial work, business cards are 3.49% however they're paid.
What does Housecall Pro actually cost for a 1, 5 and 10 person team?
Here is the software bill alone, using the plan that fits each headcount.
| Team | Plan | Billed yearly | Billed monthly | Software per year (yearly billing) |
|---|---|---|---|---|
| 1 person | Basic | $59 a month | $79 a month | $708 |
| 5 people | Essentials | $149 a month | $189 a month | $1,788 |
| 10 people | Max, 8 users + 2 extra at $35 | $369 a month | $399 a month | $4,428 |
Now add payments, which is where the real money goes. These are illustrations with round numbers, not quotes, but the shape holds for most crews.
- Solo operator, $15,000 a month in card payments, mostly tapped on site at 2.59%: about $389 a month in card fees, against a $59 plan. Add $5 for Tap to Pay on one phone.
- 5-person crew, $50,000 a month in card payments, half paid from invoices at 2.99% and half in person at 2.59%: about $1,395 a month in card fees, against a $149 plan. Moving even a quarter of that volume to bank transfer at 1% saves a little over $200 a month.
- 10-person crew, $120,000 a month in card payments, with 20% on business cards at 3.49% and the rest from invoices at 2.99%: about $3,708 a month in fees, against $369 for the software.
Card fees are a cost of getting paid with any processor, not something unique to Housecall Pro, so the fair comparison is your rate here against the rate you'd pay elsewhere. But it does mean a $50 difference between two plans matters far less than half a percentage point on your card rate.
What are the hidden costs of Housecall Pro?
Passing the user cap on Basic or Essentials
This is the biggest trap. Basic includes 1 user and Essentials includes 5, and the pricing page publishes no price for going past either. A sixth person on Essentials may mean moving to Max, which is $150 a month more on yearly billing. Ask sales in writing what a sixth user on Essentials costs before you sign, and count everyone who needs a login: office staff, dispatchers and a bookkeeper, not just technicians.
Moving up a plan for one feature
Open API access, webhooks, route optimization and recurring service plans are all on Max only. If you need just one of them, the jump from Essentials costs about $150 a month yearly, or $1,800 a year. That is the most common way the bill grows without the crew growing.
Add-ons with no published price
The pricing page lists a long set of add-ons without prices: CSR AI, Pipeline, Payroll, Accounting, Business Coaching, Voice, Campaigns, vehicle GPS and dashcams, Tap to Pay and Websites. CSR AI is the one most owners ask about: Housecall Pro's help center says the rest of its AI Team (Analyst, Coach, Marketing and Help AI) is included with your account, and CSR AI, the 24/7 call answering service, is the optional paid add-on. Get a written monthly price for each add-on you want, and ask whether each can be cancelled on its own.
Data import
Max customers can work with Housecall Pro's Data Import team. The help center says the basic transfer is free, and extra fees may apply for multiple files or data that needs formatting beyond the standard scope. Anyone can also import customers and jobs themselves from a CSV or Excel file with the in-product wizard.
Promotions ending
If your first months were on a $26 or $99 offer, the bill will jump when it ends. That's expected, but it surprises people who budgeted on the offer price.
Is there a contract or free trial?
The pricing page says Housecall Pro does not require long-term contracts. You can upgrade at any time with immediate access, and a downgrade takes effect at the end of your current monthly or yearly billing period. If you pay yearly, ask sales directly what happens to the remainder of the year if you cancel early, because the pricing page doesn't say.
There is a 14-day free trial with no credit card required, and the FAQ says it gives full access to everything on Max. Use those 14 days to test the Max-only features with real jobs: route optimization, recurring service plans, and if you have a developer, the API. If you then pick Essentials, you'll know exactly what you're giving up.
How do you work out your real monthly cost?
- Count logins, not technicians, and count the number you'll have in twelve months, not today.
- Pick the lowest plan that covers your must-have features at that headcount. If you need QuickBooks Online sync, that's Essentials at minimum. If you need the API, recurring service plans or route optimization, it's Max.
- Add extra users at $35 each on Max, or a written quote for Basic and Essentials.
- Estimate card fees by payment type using the table above, not the headline 2.59%.
- Add each add-on you'll actually use, at the price sales gives you in writing.
- Do the same sum for every tool you're comparing. A plan that looks $50 cheaper often ends up dearer once users and payments are counted.
How does Housecall Pro pricing compare with Jobber and Service Fusion?
Jobber's Core plan is $29 a month on yearly billing or $49 month to month for one user, with extra users at $29 a month. Housecall Pro's Basic is dearer for one person, but Essentials bundles five users for $149, the same as Jobber's Connect plan for five users ($149 a month on yearly billing) and well under Jobber's Grow for five ($229). Service Fusion charges a flat fee with unlimited users, from $208 a month on yearly billing, which wins once a crew is large. My Jobber vs Housecall Pro page compares the two directly, my Service Fusion pricing guide shows where a flat fee starts to pay off, and my Housecall Pro alternatives page lays out the wider field.
What should you ask a Housecall Pro rep?
- What does a sixth user on Essentials cost, or a second user on Basic? Or must I move plans?
- Which card rate will most of my payments actually fall under, given how my customers pay?
- What do CSR AI, Pipeline and any other add-on I want cost per month, and can each be cancelled separately?
- If I pay yearly and cancel in month seven, what happens to the rest of the year?
- Which reports come with my plan, and which need an add-on?
How I'd approach this
When an owner asks me whether to move up to Max, the first thing I ask is which Max feature they actually need. If it's route optimization or recurring service plans used every day, Max usually pays for itself and I'd say so. If the real reason is a report, profit per job type, a technician scorecard, or a weekly number for the owner, then upgrading is often an expensive way to get it, because the report still won't exist on Max; you'd just have API access to build it. In that case I'd look at whether the numbers can come from Housecall Pro's exports first, and only reach for the API when the report needs to update itself. You keep Housecall Pro exactly as your crew uses it, I build the missing piece around it, and you own what I build. If your headcount or workflow has genuinely outgrown the per-user model, I'll tell you that too, and point you at the platform that fits rather than building around a mismatch.
Questions people ask
How much is Housecall Pro per month?
As of October 2026, Basic is $59, Essentials $149 and Max $299 a month on yearly billing, or $79, $189 and $329 billed monthly. Basic includes 1 user, Essentials 5 and Max 8.
Does Housecall Pro charge per user?
Each plan includes a set number of users: 1, 5 or 8. On Max, each extra user is $35 a month. The pricing page publishes no extra-user price for Basic or Essentials, so ask sales in writing before you pass the cap.
What are Housecall Pro's credit card fees?
2.59% for cards tapped, swiped or chipped in person, 2.99% for cards entered online from an invoice, and 3.49% for cards keyed in by staff, saved on file, American Express or business cards. Bank (ACH) payments are 1%, and instant payouts with Instapay add 1%.
Does Housecall Pro have a free trial?
Yes. The pricing page lists a 14-day free trial with no credit card required, and its FAQ says the trial gives full access to everything on the Max plan.
Is there a contract with Housecall Pro?
The pricing page says there are no long-term contracts. Upgrades take effect immediately, and downgrades take effect at the end of your current monthly or yearly billing period.
Which Housecall Pro plan has QuickBooks and the API?
QuickBooks Online sync starts on Essentials. Open API access and webhooks are on Max only. See my Housecall Pro API guide for what the API actually lets a developer build.
Why is my Housecall Pro bill higher than the plan price?
Usually extra users, add-ons such as CSR AI or Pipeline, Tap to Pay at $5 per device, or an introductory offer that has ended. Card fees come out of each payment before it reaches your bank, so they show up in your deposits rather than on the subscription invoice.
