Filestage and Ziflow alternatives for agencies

By Ranjit Bhinge, founder of Blur Studio · Updated · 5 min read

Short answer: The main Filestage and Ziflow alternatives are Frame.io for agencies mainly proofing video, PageProof for teams that want AI-assisted review credits bundled in, GoVisually for smaller teams wanting per-user pricing instead of a flat team fee, and ReviewStudio for agencies with a tight budget that want a genuinely usable free tier. Filestage's Starter plan is $199 a month and Ziflow's comparable Starter plan is also $199 a month billed annually, so most agencies comparing alternatives are either priced out of that tier or want proofing folded into a tool they already use, like a client portal or project management system, instead of running it separately.

Filestage or Ziflow isn't quite earning its separate subscription anymore, and you want to know what a cheaper proofing tool looks like, or whether proofing even needs its own tool at all.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Why do agencies look for a Filestage or Ziflow alternative?

Filestage is an online proofing platform that centralizes file feedback, annotation and approval workflows so review rounds don't happen over scattered emails. Ziflow is a similar online proofing platform, supporting more than 1,200 file types with markup tools, version control and automated workflow routing. Both are well-regarded, purpose-built proofing tools, and agencies look elsewhere for similar reasons.

  • The jump from free to paid is steep: Filestage's free plan caps at 1 active project and 5 files a month. Its Starter plan jumps straight to $199 a month for unlimited projects and files. Ziflow follows a near-identical pattern, free for 2 users, then $199 a month billed annually for its Starter tier.
  • It's a single-purpose tool on top of everything else: Proofing is one more login, one more subscription and one more place clients need to check, on top of the project management tool and client portal an agency already runs.
  • Higher tiers gate automation and API access: Review automations and API access on Filestage only unlock on its Business plan at $329 a month, and Ziflow's AI-assisted review tooling is reserved for Enterprise.

None of this makes either tool bad. They're both built specifically for structured creative review, and that focus is genuinely useful for agencies with heavy proofing volume. It's a question of whether your proofing volume justifies a dedicated tool at that price, or whether it belongs inside something you're already paying for.

When should proofing live in the client portal instead of a separate tool?

If your agency already runs a client portal for files, messages and approvals, a dedicated proofing tool is one more login clients have to context-switch into. Some project management tools also connect to a proofing tool directly, for example Ziflow integrates with ClickUp, which keeps the proofing step inside a workflow your team already uses rather than fully separate. The honest tradeoff is depth: a dedicated proofing tool like Filestage, Ziflow or Frame.io has markup features built specifically for creative review that a general portal or PM tool won't fully replicate. For agencies with light-to-moderate proofing volume, folding approvals into the portal clients already use often beats paying for a separate tool just for that one workflow. A lighter option is a shared creative board for client feedback. For social posts and copy rather than design files, see Planable alternatives for agencies.

How does Blur Studio approach creative review workflows?

I start by understanding your actual proofing volume and whether clients would rather review work inside their existing portal or in a dedicated tool. If one of the platforms above genuinely fits your volume and budget, I'll tell you which one. If the better move is folding proofing into your existing client portal rather than paying for a separate subscription, I build that connection directly, and you keep every account in your name.

Need something completely custom?

Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask

What's the cheapest Filestage or Ziflow alternative?

ReviewStudio's free tier, with unlimited users and 3 active reviews, is the cheapest genuinely usable option, with its paid Pro plan starting at $12 a user a month billed annually if you need more.

Is Frame.io better than Filestage for video proofing specifically?

For video-heavy work, often yes. Frame.io's frame-accurate commenting is built specifically for video review, and its per-member pricing starts lower than Filestage's flat $199 a month Starter plan.

Does Ziflow integrate with project management tools?

Yes, Ziflow integrates with tools like ClickUp, which lets proofing stay connected to a workflow your team already uses rather than running fully separate from it.

Can I just do proofing inside my client portal instead of a separate tool?

For moderate proofing volume, yes, and it avoids clients needing a separate login. For heavy, structured multi-round creative review, a dedicated tool's markup features are usually worth the extra subscription.

Why does MarkUp.io price by review volume instead of users?

MarkUp.io's model assumes unlimited team members reviewing content, so it charges based on how many pieces of work ("MarkUps") get reviewed each month instead of how many people are on the account.

Roughly what does a custom proofing setup cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
