Membership management software: how to pick a tool for clubs, communities and coaches
Short answer: Membership management software signs up members, takes recurring payments, controls what each member can see and sends renewal reminders. As of October 2026, Wild Apricot starts at $66 a month for 100 contacts, Memberful at $49 a month plus a 4.9% fee, and Circle at $89 a month billed yearly. Coaches who sell sessions often do better with coaching software such as Paperbell, at $97 a month.
You're comparing membership software and want to know the real cost at your size, including the payment fees nobody leads with.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What does membership management software do?
The core job is the same across products. The differences show up in what each one adds.
- Sign-up and payments: Members join online and pay monthly or yearly by card.
- Renewals and failed payments: The system sends reminders and retries a declined card.
- Access control: Members only see the content, events or areas their plan includes.
- Member records: You keep contact details, payment history and notes in one place.
- Email: You send updates, newsletters and renewal notices to groups of members.
- Events: Associations and clubs often need event sign-ups and ticket sales.
- Community: Creators and coaches may want forums, groups or chat for members.
Which membership software fits which business?
All prices below come from each vendor's pricing page as of October 2026. Many vendors also charge a fee on each payment, so I list that too.
Associations and clubs: Wild Apricot
Wild Apricot suits associations, clubs and nonprofits that manage dues, events and a member directory. Its price depends on how many contacts you store. The 100-contact level costs $66 a month on monthly billing. Prepaying for a year cuts that to $59.40 a month, and prepaying for two years cuts it to $56.10 a month. It offers a 60-day free trial with no card needed and no setup fee. Wild Apricot charges no fee on each payment, though your payment provider may. My nonprofit CRM guide covers tools for groups that also raise donations.
Paid content on your own website: MemberPress and Memberful
MemberPress is a WordPress plugin, so it suits businesses whose site already runs on WordPress. All plans are billed yearly. Launch is $199.50 a year, Growth is $349.50 and Scale is $499.50. These are introductory offers, and the page says all yearly renewals are at full price. The normal prices shown are $399, $699 and $999. Launch also adds a 4.9% fee on each payment, while Growth and Scale have no MemberPress fee.
Memberful's Standard plan costs $49 a month plus a 4.9% fee on each payment. You can try it for free as long as you like and only pay once you start taking payments. Enterprise has custom pricing.
Online communities: Circle and Mighty Networks
Circle suits creators and brands that want a community with courses and events. Professional is $89 a month, Business is $199 and Scale is $419, all based on yearly billing. Circle also takes a transaction fee of 2% on Professional and 1% on Business and Scale. It offers a 14-day free trial.
Mighty Networks' Launch plan is $79 a month on monthly billing, or $950 a year. Scale is $179 a month and Growth is $354 a month. Fees run from 2% on Launch to 0.5% on Growth. It also offers a 14-day free trial.
Coaches: Paperbell
Coaching software is a type of membership software built for one-to-one work. It sells packages, books sessions and gives each client a private area. Paperbell costs $97 a month, or $970 a year. It lists no extra transaction fees and allows unlimited clients and sessions. If you mainly sell courses, my Kajabi alternatives guide covers more options.

What should you check before you choose?
- Total cost at your size: Add the plan price and the payment fee at your expected revenue. A 4.9% fee on $10,000 a month is $490 each month.
- Renewal price: Check if the first-year price is an offer. Plan your budget on the full renewal price.
- Failed payments: Ask how the system retries cards and warns members when a card expires.
- Cancellation flow: Check that members can cancel online without calling you. The rules section below explains why this matters.
- Data export: Make sure you can export members, plans and payment history.
- Your website: Check whether the tool lives on your own site or on the vendor's site.
What rules apply to recurring membership billing?
A federal appeals court, the Eighth Circuit, struck down the FTC's 2024 "click-to-cancel" changes to its Negative Option Rule. In March 2026, the FTC started over with an early notice that asks the public for input on a new rule. Lawyers expect that process to take years.
ROSCA, a federal law on online subscription sales, is still in force, and the FTC still brings cases under it. In practice, show the price and renewal terms clearly, get the member's clear consent before charging and give an easy way to cancel. Ask a lawyer about your state's own rules on automatic renewals.
Where can AI help a membership business?
Saving members before they leave
AI can spot members who have stopped logging in or attending, and flag them before renewal. It can then draft a personal check-in for a person to send. This helps you fix problems while the member still cares.
Answering member questions
A member help assistant can answer common questions about events, billing and content. It should read from your own policies and hand off to a person for refunds or complaints.
Session notes for coaches
After a call, AI can turn the coach's notes into a short summary and next steps for the client. The coach reviews it before it goes into the client's area. My guide to AI for consultants covers more uses like this.
When does custom membership software make sense?
Most clubs, creators and coaches should buy one of the products above. They handle payments and access well, and they cost less than a build.
A custom build starts to make sense in a few cases.
- Payment fees grow large: At high revenue, a fee on every payment can cost more each year than owning your own tool.
- Your model is unusual: Tiered member levels, credits, family plans or member-only pricing on physical goods often break standard tools.
- Many tools do not connect: Your events, payments, community and CRM may sit in four places.
- You want a branded member portal: A client portal under your own brand can join content, bookings, billing and records in one login.
What mistakes do membership businesses make?
These mistakes show up months later, usually as a cash-flow surprise or a support complaint.
- Ignoring the payment-fee math until revenue grows. A 2.9% to 4.9% fee on every payment feels small at $2,000 a month and very real at $20,000 a month. Model your fee cost at your expected revenue in a year, not just today.
- No clear self-service cancellation path. Regulators have moved slowly on federal "click-to-cancel" rules, but ROSCA still applies to online subscriptions, and a member who cannot cancel online without calling you is a real complaint risk, not just a bad experience.
- Not planning the renewal-price conversation. An attractive first-year price that jumps at renewal needs to be disclosed clearly upfront. Members who feel surprised by a renewal price are the ones most likely to dispute the charge with their card issuer.
How would Blur Studio approach a membership build?
I start by mapping how a member joins, pays, uses your service and renews. I look at what each step costs you today in fees and staff time. If a product above fits, I tell you which one to trial. If none fits, I build the missing parts. That could be a member portal tied to your payment system, or an AI assistant that answers member questions from your own policies. Your business keeps full ownership of the code and the accounts, and I support it after launch.
Questions people ask
What is the best membership management software for a small association?
Wild Apricot is built for associations and clubs that manage dues, events and a directory. As of October 2026 it starts at $66 a month for 100 contacts on monthly billing, with a 60-day free trial.
What is the best software for coaches?
Coaches who sell packages and sessions often use coaching software such as Paperbell. It costs $97 a month or $970 a year as of October 2026, with no extra transaction fees listed.
Do membership platforms charge transaction fees?
Many membership platforms do. Memberful and MemberPress Launch charge 4.9% on each payment, while Circle and Mighty Networks charge between 0.5% and 2% depending on the plan, as of October 2026.
Is the FTC click-to-cancel rule in effect?
It is not in effect, because a federal appeals court struck down the FTC's click-to-cancel rule. The FTC began a new rulemaking in March 2026, and ROSCA still applies to online subscriptions.
When should a membership business build its own platform?
Building can make sense when payment fees grow large, your member model is unusual, or your tools do not connect. For most new memberships, a standard product is cheaper and faster.
At what size does owning membership software make more sense than a subscription?
It depends on your payment-fee cost at scale. Once the percentage fee on your monthly revenue regularly exceeds what a custom build and its hosting would cost to run, owning the system outright starts to make financial sense, on top of any workflow reasons.
Roughly what does this cost?
As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
Is my project too small for this?
No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
