AI for consultants and coaches: how to win back your admin hours

By Ranjit Bhinge, founder of Blur Studio · Updated · 5 min read

Short answer: Consultants and coaches use AI to take session notes, draft proposals and reports, book calls and send follow-ups between sessions. A notetaker such as Fireflies starts at $10 a seat a month billed yearly, as of October 2026. Before you record a client, get their consent and check your contract, because some states require everyone on a call to agree and your client contract may limit where their data can go.

Ranjit Bhinge

You run a consulting or coaching practice and want your admin hours back without losing the personal touch clients pay for.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

How are consultants and coaches using AI?

The best uses sit before and after the client session. The session itself stays with you.

Session and meeting notes

An AI notetaker records the call, writes a summary and lists the action items. You review it and send the client a recap within minutes of hanging up. Over months, those notes build a searchable history of each client.

Proposals and reports

AI can turn your discovery call notes into a first draft of a proposal. It can also draft the final report from your workshop notes and data. You add the insight and the price. My page on Proposify alternatives covers proposal tools.

Booking and reminders

A scheduling tool books calls into your open times and sends reminders. AI scheduling assistants can also handle reschedule requests by email. See my guides to Calendly alternatives and an AI scheduling assistant.

Client onboarding

Automation can send the contract, take payment, collect an intake form and book the first session in one flow. My client onboarding software guide covers the tools for this.

Follow-ups between sessions

Coaches often set homework or goals. AI can send a check-in message a few days later, collect the client's answers and sum them up before the next call.

Content from your expertise

AI can turn a talk, a podcast or a session theme into posts, emails and course outlines. You edit them so they sound like you. If you sell courses or memberships, see my guides to Kajabi alternatives and membership management software.

What AI tools do consultants and coaches use?

These are the prices each vendor listed on its own site in October 2026.

  • Fireflies.ai: An AI notetaker for calls. The Free plan has limited AI summaries and a two-hour recording limit. Pro is $10 a seat a month billed yearly, and Business is $19 a seat a month billed yearly. Enterprise is $39 a seat a month on yearly billing only, and lists HIPAA compliance and custom data retention.
  • Claude Team: A general AI assistant for drafts, research and analysis. Standard seats are $20 a user a month billed yearly, or $25 billed monthly. Anthropic says it does not train on Team content by default.
  • Microsoft 365 Copilot Business: AI inside Word, Outlook and Teams. It is $21 a user a month on a yearly plan, or $25.20 monthly. Microsoft currently offers the yearly plan at $18.
Tool Main job Price shown (October 2026)
Fireflies.ai Call notes and summaries Free plan, Pro from $10 a seat a month, yearly
Claude Team Drafts, research, analysis $20 a user a month, yearly
Copilot Business AI in Microsoft 365 apps $21 a user a month, yearly

Most solo practices can get far with one notetaker, one AI assistant and the booking tool they already use.

What rules apply when consultants and coaches use AI?

Recording consent

Federal law allows recording a call when one person on it agrees. Some states want everyone on the call to agree. Justia lists California, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Pennsylvania and Washington as all-party states. It says Nevada also needs everyone to agree for phone calls. Your clients may sit in any state, so ask every client before your notetaker joins. A line in your contract plus a quick check at the start of each call works well.

Client contracts and NDAs

Consulting clients often share sales figures, staff issues and plans that are not public. Your contract may limit who can see that data. Read your NDA before any client file goes into an AI tool. Use a business plan that does not train on your content. If a client says no AI, respect it and note it in your file.

Testimonials and reviews

Coaches and consultants sell on trust, and testimonials carry a lot of weight. The FTC's 2024 rule bans fake reviews and testimonials, including AI-written ones from people who don't exist or never used the service. Never let AI invent a client quote. Use real words from real clients, with their permission.

The ICF standards for AI coaching

The International Coaching Federation published its AI Coaching Framework and Standards on November 8, 2024. It is free for anyone to read. It covers six areas, from ethics and the coaching relationship to testing and privacy. It names bias and confidentiality as key risks. It treats AI as a support to human coaching. If you plan to offer an AI coach that clients talk to between sessions, read it first.

What are the risks of AI for a consulting or coaching practice?

  • Generic advice: AI can produce advice that sounds right but fits no one. Your judgement is what clients pay for, so check and shape every output.
  • Confidential data in the wrong place: Client details in a free AI account may be stored outside your control.
  • Wrong facts: AI can invent figures and sources. Check anything that goes into a client report.
  • Losing the personal touch: Clients hire a coach for a human relationship. Automate the admin and keep the coaching personal.

How should a consultant or coach start with AI?

  1. Track one week of admin: Write down every task outside client sessions and how long it took.
  2. Pick the biggest one: For most practices, that is notes and follow-ups.
  3. Set up consent: Add a recording clause to your contract and a check at the start of calls.
  4. Try one tool for a month: Use the free or trial plan first.
  5. Add automation next: Connect booking, payment and intake once the first tool sticks.

When does a custom AI setup make sense for a consultant or coach?

Most solo practices should use ready-made tools. A custom setup is worth it in these cases:

  • Too many tools: Booking, payments, notes, courses and email live in separate apps, and you copy data between them.
  • Your own method: You have a framework or assessment you want clients to use through your own app or portal.
  • An AI assistant trained on your work: You want clients to ask an assistant questions answered from your own material, between sessions.
  • A growing team: You have several coaches or consultants and need shared notes, reports and client records.

A private AI knowledge base built from your own material is often the first piece of that.

What should you check before recording a client session with AI?

An AI note-taker needs to record the call to work, which puts you squarely into call-recording consent law, the same rules that apply to an AI receptionist. Some states and countries require everyone on the call to agree, not just you. Say plainly at the start of the session that you are using an AI note-taker and give the client a real chance to say no. If you work with corporate clients, check whether their own policy restricts sending meeting content to a third-party AI tool before you turn a note-taker on by default.

How would Blur Studio approach AI for a consulting or coaching practice?

I would start with your week of admin and the method you sell. I then builds AI workflows that tie your booking, notes and client records together, or a client app built around your framework. You approve what the AI says before clients see it. Everything I build is yours, including the code and the logins, and I supports the system as your practice grows.

Questions people ask

How can coaches use AI?

Coaches use AI to take session notes, send recaps, book calls and check in with clients between sessions. The coaching conversation itself stays with the coach.

Is it legal to record coaching calls with an AI notetaker?

It is legal with the right consent. Some states, such as California, Florida and Pennsylvania, require everyone on the call to agree, so ask every client before you record.

What is the best AI tool for consultants?

Most consultants get the most value from an AI notetaker and a business AI assistant for drafts and research. Pick tools that keep your client data out of model training.

Does the ICF have rules on AI coaching?

The ICF published an AI Coaching Framework and Standards on November 8, 2024. It covers ethics, privacy, testing and the coaching relationship, and it is free to read.

Can AI replace a coach or consultant?

AI can take over notes, drafts and scheduling. Clients still pay for a person's judgement, experience and accountability, which AI does not provide.

Do I need client consent to use an AI note-taker in sessions?

In many states and countries, yes, especially where all-party consent applies to call recording. Say plainly at the start of the session that you are using an AI note-taker and give the client the chance to decline, the same standard that applies to any recorded call.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
