Calendly alternatives for small businesses, with prices and best uses
Short answer: Calendly's free plan allows one event type, and paid plans start at $10 per seat a month billed yearly, as of October 2026. Acuity Scheduling suits client businesses that sell packages and take payments, from $16 a month billed yearly. Cal.com has a free plan with unlimited event types. Zoho Bookings has the lowest per-user paid price of these tools, and SavvyCal and Google Calendar suit simple meeting links.
You're comparing Calendly against the alternatives and want the real per-seat math, not just a feature list.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What does Calendly cost?
Calendly has four plans.
| Calendly plan | Price | Main limits and features |
|---|---|---|
| Free | $0 | One event type and one connected calendar |
| Standard | $10 per seat a month, billed yearly | Unlimited event types, reminders, HubSpot, Mailchimp, Stripe and PayPal links |
| Teams | $16 per seat a month, billed yearly | Round-robin booking, lead routing, Salesforce sync |
| Enterprise | From $15,000 a year | Minimum of 50 seats, SSO, audit logs |
Calendly's page shows these prices with a saving of 17% on Standard and 20% on Teams for paying yearly. Monthly billing costs more. A "seat" is one person who uses Calendly. Round-robin means the tool shares new bookings among your team in turn.
Why do people look for a Calendly alternative?
The usual reasons come from the plan table above.
- The free plan is narrow: It allows one event type. If you offer a 15-minute call and a 60-minute session, you need a paid plan.
- Per-seat fees add up: A team of ten on Teams pays for ten seats.
- Client businesses need more: A coach, tutor or therapist may want packages, gift certificates, intake forms or HIPAA support.
- Cost-conscious teams: Some tools charge less per person for similar meeting links.

Acuity Scheduling

Calendly vs Acuity: which should I pick?
These two tools look alike, but they serve different people.
Calendly fits teams that book meetings. Think sales calls, demos and interviews. Its Teams plan shares leads across reps and routes them by their answers. You pay per seat.
Acuity fits businesses that book clients. Think a massage therapist, tutor or coach. It handles packages, memberships, gift certificates and intake forms on its Standard plan. You pay one price per plan, with a set number of calendars.
- Pick Calendly if: You sell to other businesses and need lead routing or Salesforce sync.
- Pick Acuity if: You sell sessions to clients and want them to pay or buy packages when they book.
If you came here looking for an Acuity alternative, Cal.com and Zoho Bookings are the closest fits on this list. Both take payments and cost less per person. For bookings tied to a physical place, such as tables or rooms, see my guide to reservation systems.
How do I choose a scheduling tool?
Write down how a booking really happens in your business. Then test two or three tools on a free trial with real bookings.
- Count your people: Per-seat prices grow with your team. Per-plan prices do not.
- List your booking types: Free plans often cap them.
- Check payments: Do clients pay at booking, after the session, or by invoice?
- Check reminders: Text reminders often need a higher plan.
- Check the links to your other tools: Your CRM, video tool and payment provider should connect.
- Check privacy needs: Health businesses need a tool that signs a HIPAA BAA, which is a contract that covers patient data.
When should I build my own booking system?
Most businesses should buy one of these tools. They are cheap and they work well.
A custom booking tool makes sense in a few cases.
- Your booking rules are unusual: For example, a job needs two staff with set skills, a room and a piece of equipment, all at once.
- Booking is your product: You run a marketplace where clients book many providers.
- Your tools do not connect: Bookings, intake forms, CRM and invoicing live in separate apps, and staff copy data by hand.
- Per-seat fees get large: A big team pays every month for seats on several tools.
Sometimes the answer is a link between tools. A small automation can send each new booking to your CRM, start an onboarding checklist and send a welcome email. You can also add an AI receptionist that books calls into your calendar.
How would Blur Studio handle a unique booking flow?
I start with how a client books you today and where that data goes next. If a software subscription fits, I tell you and help you set it up well. If your booking flow is unique, I build a booking tool or client portal around it. It connects to the calendar, CRM and payment tools you already use. The code and the logins stay with your business, and I keep the tool running after launch. My client onboarding guide covers what happens after the booking.
Need something completely custom?
Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask
Is there a free alternative to Calendly?
Yes, there are a few. Cal.com has a free plan for one user with unlimited event types, as of October 2026. Zoho Bookings has a Forever Free plan for one user, and Google Calendar lets anyone make one free booking page.
Is Acuity better than Calendly?
Acuity is a better fit for businesses that book clients and sell packages, memberships or gift certificates. Calendly is a better fit for sales teams that need round-robin booking and lead routing. Both are good tools for their own audience.
How much does Acuity Scheduling cost?
As of October 2026, Acuity costs $16, $27 or $55 a month billed yearly, or $20, $34 or $69 billed monthly. Every plan includes a 7-day trial with no credit card needed.
What is the cheapest Calendly alternative for a team?
Zoho Bookings Basic costs $6 per user a month billed yearly, as of October 2026. That is lower per person than Calendly Teams at $16 per seat a month billed yearly.
Can I move my Calendly events to another tool?
Cal.com offers a one-click import of Calendly events on its free plan. For other tools, plan to rebuild your event types by hand and update every booking link on your website and emails.
Does Calendly or Acuity work better for a service business that takes payment at booking?
Acuity, since every plan (not just the top one) lets clients pay through Stripe, Square, PayPal or Venmo at the point of booking, and Standard adds packages, memberships and gift certificates that Calendly's plans don't have at any price. Calendly is built for scheduling meetings, not selling sessions.
Roughly what does this cost?
As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
Is my project too small for this?
No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
