AI scheduling assistants for busy owners and booking-heavy businesses

By Ranjit Bhinge, founder of Blur Studio · Updated · 5 min read

Short answer: An AI scheduling assistant finds time on your calendar, books meetings and moves things when plans change. Reclaim and Motion plan your own week, from $10 and $19 a seat a month. Calendly and Acuity let customers book you. Calendly's paid plans start from $10 a seat a month, and Acuity starts at $16 a month billed yearly. A custom booking AI makes sense when bookings depend on your own rules, staff and job software.

You want to know whether an AI scheduling tool can actually handle your real booking rules.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

What does an AI scheduling assistant do?

An AI scheduling assistant reads your calendar and makes booking choices for you. The best ones work from rules you set, such as "no calls before 10 a.m." or "keep Friday afternoons free".

Tools that plan your own week

These tools act like a personal assistant for your calendar.

  • Find meeting times: They pick a slot that suits everyone and send the invite.
  • Protect focus time: They block time for deep work and move it when a meeting lands.
  • Fit tasks around meetings: They put your to-do list into open gaps on your calendar.
  • Reschedule on their own: When a meeting moves, they shuffle the rest of the day.

Tools that let customers book you

These tools handle AI appointment booking for a business.

  • Booking pages: A customer picks a slot from your real free time.
  • Reminders: The tool sends emails or texts before the visit to cut no-shows.
  • Payments and forms: The customer pays a deposit or fills in an intake form when they book.
  • Routing: The tool sends each booking to the right staff member.

Some businesses also want AI to book over the phone. An AI receptionist can answer a call, check the calendar and book the job. My guide to AI receptionists covers that option.

Which AI calendar assistants plan your own week?

Reclaim.ai

Reclaim works with Google Calendar and Outlook. It schedules habits, tasks and smart meetings around your existing events.

Reclaim plan Billed yearly Billed monthly Notes
Lite Free Free One seat, one scheduling link
Starter $10 a seat a month $12 a seat a month Up to 10 seats
Business $15 a seat a month $18 a seat a month Up to 100 seats, unlimited links
Enterprise $22 a seat a month Not offered Over 100 seats

Reclaim's page also shows a "today-only" 30% discount on Starter and Business. Treat that as a short offer and check the current price before you buy.

Motion

Motion mixes an AI calendar with project and task planning. It plans your day around deadlines and meetings. Its Pro AI plan starts from $19 a seat a month, and Business AI starts from $29 a seat a month. Business AI adds team capacity planning, reports and time tracking.

  • Best for: Owners who manage projects and want tasks and meetings on one calendar.

Which AI booking tools let customers book you?

Calendly

Calendly is a booking link tool for meetings and calls. Its free plan allows one event type. Paid plans start from $10 a seat a month. Calendly's page says yearly billing saves 17% on Standard and 20% on Teams.

Calendly also sells AI add-ons.

  • Callie: An email scheduling assistant, in beta. It is an add-on for Standard and Teams, and it helps book meetings from your email.
  • Notetaker: An add-on that joins Zoom, Google Meet or Microsoft Teams calls and writes recaps.

Standard connects to HubSpot and takes Stripe payments. Teams adds Salesforce and round-robin booking, which shares new bookings across your team in turn.

Acuity Scheduling

Acuity suits client businesses such as coaches, tutors, salons and clinics. Every plan takes payments, sends email reminders and has custom intake forms.

Acuity plan Billed yearly Billed monthly Notes
Starter $16 a month $20 a month Email reminders, payments, forms
Standard $27 a month $34 a month Adds text reminders
Premium $55 a month $69 a month Adds a signed HIPAA business associate agreement

How do the AI scheduling tools compare?

Tool Main job Starting paid price Free plan
Reclaim.ai Plans your own week $10 a seat a month billed yearly Yes
Motion Plans tasks and meetings together From $19 a seat a month Not listed on its pricing page
Calendly Booking links for meetings From $10 a seat a month Yes, one event type

How do I choose an AI scheduling assistant?

Start with who does the booking.

  • You book other people: Pick a calendar assistant such as Reclaim or Motion.
  • Customers book you: Pick a booking tool such as Calendly or Acuity.
  • Customers call to book: Look at an AI receptionist that connects to your calendar.

Then check these points.

  • Calendar support: Make sure the tool works with the calendar your team uses, such as Google or Outlook.
  • Rules it can follow: Test your real rules. For example, "a first visit needs 90 minutes" or "no jobs across town on the same morning".
  • Connections: Check the vendor's own page for your CRM, payment tool or job software.
  • Reminders: Reminders cut no-shows. Check whether texts cost extra on your plan. My guide to appointment reminder software covers this.
  • Cost per person: Per-seat prices add up as your team grows. Work out the price for your whole team.

What about medical and health bookings?

A clinic, therapist or dentist must take care with patient data. Under HIPAA, a vendor that handles protected health information for you is a business associate. You need a signed business associate agreement before that vendor handles patient data. Among the booking tools here, Acuity offers one on its Premium plan. Ask any other vendor for one in writing before you load patient details.

When is a custom AI scheduling assistant worth it?

Ready-made tools work well for meetings and simple appointments. They struggle when booking depends on many moving parts.

A custom build makes sense in these cases.

  • Jobs need the right person and the right kit: A booking needs a certified technician, a van with the right parts and a free two-hour slot.
  • Travel time matters: Field teams need jobs grouped by area so staff do not cross town all day.
  • Bookings live in your job software: The AI has to read and write to the system your team already uses.
  • Several channels feed one calendar: Calls, web chat, WhatsApp and email bookings all land in the same place, with the same rules.
  • Per-seat fees climb: A large team pays a seat fee for every person, every month.

For example, a pest control firm might take bookings by phone and web form. A custom assistant can check which technician holds the right license and find the nearest free slot. It then books the job in the firm's own system and texts the customer a confirmation. Most booking tools cannot do all of that without custom work.

I build booking assistants like this and connect them to the calendars, CRMs and job software a business already runs. I start by writing down every booking rule your staff follow today. The business owns the code and the accounts, so it can change the rules later.

Questions people ask

What is the best AI scheduling assistant?

It depends on the job. Reclaim and Motion suit people who want AI to plan their own week. Calendly and Acuity suit businesses where customers book appointments online.

Is there a free AI scheduling assistant?

Reclaim has a free Lite plan for one user, and Calendly has a free plan with one event type, as of October 2026. Free plans have tight limits, so most teams move to a paid plan.

Can AI book appointments for my business?

Booking tools let customers pick a time from your real calendar and pay when they book. An AI receptionist can also book appointments during a phone call, if it connects to your calendar.

Is an AI scheduling assistant HIPAA compliant?

Only if the vendor signs a business associate agreement with you and protects patient data as HIPAA requires. Acuity offers this on its Premium plan. Ask any other vendor in writing before you use it for patient bookings.

Does an AI scheduling assistant work with Google Calendar and Outlook?

Most do. Reclaim lists both Google Calendar and Outlook on all plans. Check each vendor's own page for the calendar your team uses.

What happens when two customers try to book the same slot at the same time?

A good scheduling assistant locks a slot the moment someone starts booking it, so a second person sees it as unavailable before they can confirm. Ask any vendor or developer directly how they handle this, since it is a common gap in simpler tools.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
