Proposify alternatives: proposal tools compared on price, CRM links and approvals

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: The main Proposify alternatives are PandaDoc, Qwilr, Better Proposals and Bonsai. As of October 2026, Proposify's Build plan costs $39 a user a month billed yearly, or $49 monthly, and approval workflows start on Grow at $65 a user a month billed yearly. Better Proposals starts at $13 a user a month billed yearly, Qwilr at $35, and PandaDoc has a free plan. A custom quote tool makes sense when your pricing rules are complex or your proposals must pull data from several systems.

You're comparing Proposify against the alternatives and trying to work out which one actually fits how your team builds and sends proposals.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

What does Proposify cost in October 2026?

Proposify prices by the user.

Grow $65 a user a month billed yearly User roles, approval workflows, custom fields, API access
Scale $107 a user a month, plus a $12,800 yearly platform fee that includes 10 users Premium integrations, single sign-on, several workspaces, a success manager

Salesforce and Aspire are premium integrations, listed at $9 a user a month. Proposify counts sends against a monthly limit, with a fee for each send over it. Drafts and edits are unlimited, and unused sends roll over. Build has a 14-day free trial with no card.

Why do teams look for a Proposify alternative?

These reasons come from Proposify's own pricing page. They matter more for some teams than others.

  • Approvals sit on Grow: A team that needs a manager to approve a price before it goes out needs Grow, at $65 a user a month billed yearly.
  • Salesforce costs extra: Salesforce is a premium add-on at $9 a user a month.
  • Send limits: Proposify's page lists monthly send limits, with a fee for each extra send.
  • No refunds: Proposify's FAQ says it does not refund a payment once it is processed. Cancelling stops the next renewal.
  • Per-user pricing: Cost grows with every new seller who needs to send proposals.

What are the best Proposify alternatives?

When does a custom quote tool make sense?

Most teams should buy one of these tools. They are quick to set up and cost a small amount per seller. Building your own quote tool makes sense in these situations.

  • Your pricing is complex: Each quote needs rules for materials, labor, regions or discounts that a pricing table can't hold.
  • Data lives in several systems: A proposal needs prices from your stock system, scope from your project tool and client details from your CRM.
  • You send a lot: Send limits and per-user fees grow faster than the value you get.
  • You want AI drafts: For example, a tool that reads call notes and drafts the scope and price for a seller to check.

My guide to quote generators explains how a custom quote tool works. If proposals lead into onboarding, see client onboarding software too.

How would Blur Studio approach it?

I look at how a quote is built today, who checks it and where the numbers come from. Often a better template or a CRM link fixes the problem. When it doesn't, I build a quote tool that pulls your real prices and rules, then sends the result for signature. The tool and its accounts belong to your business, and I support it after launch. My guide to a quote generator covers the broader build-your-own angle if that's closer to what you need.

Need something completely custom?

Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
