PandaDoc alternatives for proposals, quotes and e-signatures

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: PandaDoc costs $19 per seat a month on Starter and $49 on Business, and API use, bulk send and forms need extra usage credits. If you mainly send proposals, Better Proposals starts at $13 a month billed yearly and Proposify at $39 per user a month billed yearly. If you only need signatures, Dropbox Sign starts at $15 a month and DocuSign at $11 a month on a yearly plan. Prices are from each vendor's own pricing page as of October 2026.

You're comparing PandaDoc against Proposify and the other proposal tools, and want to know which one actually fits how you send and close deals.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

How does PandaDoc price its plans?

PandaDoc sells these plans:

  • Free: $0, with 5 documents a month and 5 templates.
  • Starter: $19 per seat a month, with unlimited documents and e-signatures and a full editor.
  • Business: $49 per seat a month. It adds custom quotes, CRM connections, custom branding, a content library, deal rooms and approval steps.
  • Enterprise: Quote only. It adds single sign-on, team workspaces, smart content and quoting tools for complex deals.

PandaDoc also uses usage credits. You need them to create documents through its API, run automations, bulk send, use forms and connect Zapier or Make. The page marks CRM connections as needing credits or a paid add-on too. New Starter and Business customers get trial credits. After that, you buy credit packs. The pricing page does not show what those packs cost. The Salesforce connection is a paid add-on too.

Why do people look for a PandaDoc alternative?

These are the common reasons, based on how PandaDoc sells its plans:

  • Per-seat cost: A team of ten on Business pays $490 a month.
  • Key features sit on Business: CRM connections, branding and approval steps are not on Starter.
  • Extra credits for automation: Bulk send, forms and API use need credits that cost extra.
  • More than they need: Some owners only want a signature on a PDF.

PandaDoc is still a strong pick for sales teams that use most of its features. The tools below suit owners who want a narrower tool or a different price structure.

PandaDoc vs Proposify: which should you pick?

Both build proposals with templates, pricing and signatures. PandaDoc's Starter plan costs less per seat, at $19 a month. Proposify's Build plan costs $39 per user a month billed yearly, but it includes connections and a product catalog on its first paid plan.

Choose PandaDoc if you want a free plan to test with, or a low per-seat price for basic documents. Choose Proposify if your team lives in proposals and wants buyer insights and connections without moving to a higher plan.

How do you pick the right tool?

  • Count your documents: Some plans cap how many you send each month.
  • Check what you send: A one-page contract only needs e-signatures. A detailed sales quote needs a proposal tool.
  • Check your CRM link: Make sure the plan you can afford connects to your CRM.
  • Price the whole team: Multiply the per-user price by every person who sends documents.
  • Look for usage fees: Ask about credits, envelope limits and overage costs before you sign.

When is a custom proposal tool worth it?

A ready-made tool is the right answer for most businesses. A custom tool can be worth it in a few cases:

  • Your quotes need real calculations: For example, a solar installer that prices each roof from size, panel type and local rebates.
  • Your data lives in your own systems: Prices, stock and customer records sit in tools that these products cannot reach.
  • Seat fees get large: A sales team of 25 on PandaDoc Business pays $1,225 a month, which is $14,700 a year.
  • You need contract checks: You want AI to flag risky terms before a contract goes out. My guide to AI contract review covers this.

My guide to building a quote generator explains what a custom quoting tool involves.

How would Blur Studio build a proposal tool?

I start with how your team builds a quote today, from first call to signed contract. Then I look for the steps that take the most time or cause the most errors.

Often I keep your current signature tool and add AI that drafts the proposal from your CRM and price list. When a full build makes sense, I build only the quoting steps your team needs. Your business owns the code and the accounts outright. I'm a one-person studio based in Dubai, UAE, and I do this work remotely for clients across the US.

Need something completely custom?

Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
