Zoho real estate CRM setup for brokerages
Short answer: Yes, you can set up Zoho CRM, a customer relationship management tool for keeping leads and deals in one place, for a brokerage. Leads, listings and deals each get their own module, with custom fields and pipelines, and the free edition covers up to 3 users. What Zoho will not do on its own is take feeds from Property Finder and Bayut (the two biggest UAE property portals), track permits, split commissions, or give an owner a clean agent performance view. I could not confirm per-edition prices from Zoho's page, so check current pricing in your region. The usual fix is to keep Zoho as the record and add custom dashboards on top.
You have decided to try Zoho, or someone already set it up and the owner reports are still thin. This is how brokerages build it, and where it stops.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What Zoho CRM is
Zoho CRM is a customer relationship management tool from Zoho, a software company that also sells email, accounting, forms and many other business tools. People pick it because it is customisable, often priced lower per seat than the biggest names (compare current prices), and fits neatly if you already use other Zoho products. If you are comparing, my Zoho CRM alternatives page covers where else to look.
Editions and pricing, with an honest gap
Zoho's pricing page (checked 2 November 2026) lists a Free edition for up to 3 users, and paid editions named Standard, Professional, Enterprise and Ultimate. The features it lists include multiple pipelines, custom modules, workflow automation, approval processes and custom portals. The dollar price per edition did not display when I loaded the page, and I will not guess one. Open Zoho's page in your region, pick your user count, and get the number in writing. Note that features such as custom portals and approval processes sit in the higher editions, so check which edition your plan needs before comparing price with another CRM.
How brokerages set Zoho up
A workable setup has four parts. I would build them in this order.
- Leads. Fields for source (Property Finder, Bayut, Dubizzle, a UAE classifieds site with property adverts, your website, WhatsApp, the messaging app most clients use, or referral), budget, area, buy or rent, and timeline. Add a status list agents actually use: new, contacted, viewing booked, offer, lost.
- Listings. A custom module called Properties with fields for community, building, unit, bedrooms, price, owner, and the advertising permit number and expiry date. Link each property to its owner contact.
- Deals. A pipeline for sales and a separate one for rentals. For off-plan, add developer, project, unit, and a note field for the payment plan, because Zoho does not model instalment schedules for property by default.
- Assignment rules. Route a new lead to an agent by area or listing, and send a reminder if nobody has touched it inside a set time.
Make fields required only where the data drives a decision. Every mandatory field you add is another reason agents keep notes in WhatsApp.
What Zoho will not do on its own
- Portal sync. Pushing listings out to Property Finder and Bayut and bringing enquiries back needs a connector. Property Finder runs a developer network for CRM providers and custom developers, and Bayut shares integration documentation with agencies on request. Neither is plug-and-play inside Zoho, and access terms should be confirmed with each portal.
- Permit tracking. Advertising a listing on the portals requires a Trakheesi permit number (the advertising permit the Dubai Land Department issues, which must show on the ad), so an expiry field is useful. Zoho will store it and can remind you, but it will not check it against the Dubai Land Department, the government body that registers and regulates property in Dubai. Confirm current rules with the DLD.
- Commissions. Splits between agent, team lead and brokerage need formulas or a spreadsheet.
- Owner reports. Zoho has reports and dashboards, but the view an owner wants, agent by agent, comparing response time, viewings, listings and closed deals on one screen, usually takes heavy work to assemble, and gets stuck when data sits in several modules.
Where software and AI help: owner dashboards and cleaner data on top of Zoho
This is the part I would actually spend money on.
- A custom owner dashboard. I build dashboards that read from Zoho through its API (the official way for one program to read another's data) and join the pieces that sit in different modules: leads by source, response times, viewings per agent, deals and commission due. It updates on its own. What it cannot do is invent data agents never entered, so the first step is always agreeing what must be logged.
- Data clean-up. AI can scan a lead export for duplicates and obvious errors, such as the same number saved three ways, and suggest merges. A human approves the merges.
- Note summaries. AI condenses a long lead history into two lines for the agent picking it up. It can miss nuance, so it supports the agent and does not replace reading the thread for a hot lead.
Do it yourself first: export 100 leads, remove names and phone numbers, paste them into Claude (an AI assistant you chat with) and ask: "Find likely duplicates, fields that are empty on more than half the rows, and statuses that do not match the notes." You will see in ten minutes where your setup is leaking.
Why does Zoho's default model not fit a brokerage?
Zoho's standard setup is built for selling to businesses: a lead becomes a contact and a deal. Property works differently. One listing attracts many interested buyers at once, and a standard deal links to a single contact. Consultants who set Zoho up for brokerages suggest making the property its own record, linking all interested parties to it, and opening a deal for a party only when real negotiation starts. Otherwise you end up with ten deals for one flat and a pipeline total that means nothing. Also note that the same person can be a buyer on one deal and a referrer on another, so store the role on the link, not on the person.
Pipelines, stages and lost reasons
Build separate pipelines for buyers, sellers or landlords, and renters, since their timelines and steps differ. For each stage write down the entry condition, for example "viewing booked" requires a date and a property. Without entry rules, forecasts become opinion. Add a required lost-reason list (price, bought elsewhere, no response, financing). After a quarter, that list tells you more about your business than any other report.
How do you import existing data safely?
- Run a test import of 10 to 20 records first to catch broken phone numbers, dates and truncated text.
- Standardise phone numbers to one format with the country code before importing, because WhatsApp matching and duplicate checks depend on it.
- Import in sequence: leads, contacts, then deals.
- Do not make duplicate rules too strict. Two people with the same surname and address might be family members who are separate clients.
- Record consent for marketing messages on the contact, and ask your lawyer what UAE rules require.
How do you get WhatsApp conversations into Zoho?
Zoho does not log your ordinary WhatsApp chats by itself. Third-party tools and marketplace extensions exist that connect a WhatsApp Business number to Zoho, create a lead from a new chat and log messages on the contact. One vendor guide notes that contacts are matched by email address, so mismatched emails break the link. I have not tested these tools, so make it a demo condition: a new chat creates a lead, an agent reply is logged, and a colleague can pick up the thread. See my WhatsApp Business API guide for the official route.
Do you need a Zoho consultant or an engineer?
A useful dividing line, which I got from reading how consultants describe their own work: a consultant can configure modules, stages, layouts and automations. You need an engineer when the job includes portal feeds, e-signature on contracts, commission logic too complex for formula fields, or client or owner portals. Those are small custom programs built on top of Zoho. Ask a prospective Zoho partner early which side of that line your project falls on; a good one will say.
It also helps to decide which system owns each piece of information. If listing details come from your portal feed or inventory sheet, make that a one-way feed into Zoho so two people do not edit the same field in two places.
When Zoho is the right choice
It fits a brokerage that wants control over fields and is happy to invest a few days in setup, especially one already using Zoho Books (Zoho's accounting tool) or Zoho Mail (its email service). It fits poorly if no one on the team will own the configuration. Compare it against bigger platforms in my HubSpot vs Salesforce piece, HubSpot as a Dubai real estate CRM, Salesforce for real estate brokers, and read real estate CRM basics for what the system should cover.
A worked example: a lead arriving and becoming a deal in Zoho
A Bayut enquiry comes in for a two-bedroom in a Marina tower. In a well-set-up Zoho, a connector or an email parser creates a lead with source Bayut and the listing reference. An assignment rule gives it to the agent who owns that building. Zoho sends the agent a notification and creates a task to reply within a set time.
The agent replies, books a viewing, and logs it. The lead is converted into a contact and a deal in the sales pipeline, linked to the Property record. When the buyer makes an offer, the stage moves, and the permit date on the linked property stays visible so no one markets a unit with an expired advertisement. At close, the deal is marked won and the commission field is filled by hand or by a formula.
Every arrow in that story is something you configure. Zoho will not do it for you, which is both its strength and its cost. A two-day setup by someone who understands both Zoho and brokerages is better than a two-week experiment by a busy manager.
Common Zoho setup mistakes in brokerages
- Copying a generic sales template and never adding property fields, so agents write unit details in the notes box.
- Too many mandatory fields, which agents fill with junk to get past the form.
- One pipeline for sales, rentals and off-plan, which hides the very different timelines.
- No owner for the system, so fields multiply and reports break.
- Not training for the mobile app, where most agents will use it.
A simple rollout plan
Week one: build leads and properties, import your existing contacts, and train three agents. Week two: add the deals pipeline and assignment rules, and fix whatever those three agents complain about. Week three: roll out to the rest of the team with a one-page guide covering the five things every agent must log. Week four: build the first owner report from real data and see what is missing. Resist the urge to switch on every automation in the first month, because each one adds a way for the system to confuse people.
How I would approach this
Start on the free edition with three agents, build leads and properties first, and add deals after two weeks. Write down every report you want and who reads it. Anything Zoho cannot show cleanly goes on the list for a dashboard layer, not a second CRM.
Questions people ask
How many users does Zoho CRM's free edition allow?
Up to 3 users, according to Zoho's pricing page as of 2 November 2026. Paid editions add more features and capacity.
How much does Zoho CRM cost per user?
I could not confirm per-edition dollar prices from Zoho's page when I checked. Open it for your region and get your user count quoted in writing before comparing with other tools.
Can Zoho track Trakheesi permits?
You can store the permit number and expiry in custom fields and set reminders. Zoho will not verify the permit with the authorities, so confirm requirements with the Dubai Land Department.
Can Zoho handle off-plan deals?
You can build a pipeline with developer, project and unit fields. Payment schedules are not modelled by default and need custom work.
Do I need a custom dashboard if I use Zoho?
Only if the built-in reports do not show what the owner needs. See my Zoho alternatives page for other routes first.
Why does Zoho create a deal for every interested buyer?
Zoho's standard model links one contact to one deal. Make the property its own record, link interested parties to it, and open a deal only when real negotiation starts.
Can Zoho log WhatsApp chats?
Not by itself that I could confirm. Third-party connectors exist. Test one with your own number before buying, and check Meta's current business rules.
Do I need a consultant or a developer for Zoho?
A consultant can handle modules, stages and automations. Portal feeds, e-signature and complex commission logic usually need a developer. Ask any Zoho partner which side your project is on.
