HubSpot vs Salesforce: which CRM fits your business?
Short answer: HubSpot is usually the easier pick for a small business that wants sales, marketing and service tools in one place, with a free plan and low-cost Starter seats. Salesforce suits teams that expect to need heavy customizing and have someone to set it up. At the mid tier the cost is close. As of October 2026, HubSpot Sales Hub Professional costs $90 to $100 per seat a month plus a $1,500 onboarding fee, and Salesforce Pro Suite costs $100 per user a month on a yearly contract.

How do HubSpot and Salesforce prices compare?
Both charge per user each month. HubSpot calls a user a "seat". The table shows the sales products, since that is where most small businesses start.
| Tier | HubSpot Sales Hub | Salesforce |
|---|---|---|
| Free | Free for up to 2 users, 1,000 contacts | Free Suite at $0, with 10GB of data storage |
| Entry | Starter, $7 to $20 per seat a month | Starter Suite, $25 per user a month, monthly or yearly |
| Mid | Professional, $90 to $100 per seat a month, plus $1,500 onboarding | Pro Suite, $100 per user a month, yearly contract |
| Upper | Enterprise, $150 per seat a month, plus $3,500 onboarding | Core, $195 per user a month, yearly |
| Top | No higher listed tier | Advanced at $395 and Max at $550 per user a month, yearly |
HubSpot's lower and higher figures depend on how you pay. Its page marks yearly billing as the "Best Value".
What does that cost for a real team?
Take a sales team of 10 people on the mid tier for one year. HubSpot Professional at $90 a seat comes to $10,800, plus the $1,500 onboarding fee, so $12,300. Salesforce Pro Suite at $100 a user comes to $12,000. So the two land close together at that level.
The gap is larger at the entry level. HubSpot Starter costs less per seat than Salesforce Starter Suite. At the top, Salesforce has editions that cost far more than anything HubSpot lists for sales.
What features does each one include?
HubSpot Sales Hub
- Free: Contact records, 1-to-1 email with HubSpot branding, live chat, 10 dashboards and one meeting link.
- Starter: 500 calling minutes, 1 phone number, up to 50 workflows and up to 15 pipelines. A pipeline is the set of stages a deal moves through.
- Professional: 3,000 calling minutes, call transcripts, up to 300 workflows, sales sequences, forecasting and custom reports. Sequences are timed follow-up emails that send on their own.
- Enterprise: 12,000 calling minutes, up to 1,000 workflows, reports on how deals move through stages, and call analysis.
HubSpot also sells Marketing, Service and Content hubs on the same CRM. That can save a small business from paying for separate tools. One login can cover sales, email marketing and support.
Salesforce
- Starter Suite: Lead, contact and deal tracking, sales flows, lead routing, email campaigns with lead scoring, an AI assistant and a free Slack workspace linked to the CRM.
- Pro Suite: Everything in Starter, plus more customizing and automation, quoting and forecasting, and access to Salesforce's app store.
- Core: Built-in AI, Slack Business+, Tableau Next for reports and Agentforce skills. Agentforce is Salesforce's set of AI agents.
- Advanced and Max: More security, more AI and more data space. Max adds Agentforce for Sales, sales planning, Maps and a yearly pool of Flex Credits for AI use.
Who does each one suit?
HubSpot suits
- Small teams that want one system: You want your CRM, email marketing and help desk to share the same contact records.
- Owners who set it up themselves: The free and Starter plans let you start in a day and grow later.
- Teams of 2 to 20 sellers: The Starter price keeps costs low while you find out what you need.
Salesforce suits
- Teams with complex sales: For example, quotes with many products, long approval chains or several sales regions.
- Businesses that will customize a lot: Salesforce gives you more room to change objects, fields and automation.
- Companies with a CRM admin or partner: Salesforce gives you many ways to change the system, so it helps to have one person who owns the setup.
What are the limits of each?
HubSpot's main limit is the price step from Starter to Professional. Sequences and forecasting only arrive on Professional, along with the onboarding fee. Starter also caps workflows at 50 and pipelines at 15.
Salesforce's main limits are yearly billing and the cost of its top editions. Pro Suite and every larger edition are billed yearly. Salesforce's own pricing page says most of its products use annual contracts. So plan for a full year when you sign.
Salesforce vs HubSpot for small business: which is better?
- Choose HubSpot if: You have a small team, you want marketing and sales in one place, and you want to start free or cheap.
- Choose Salesforce if: Your sales process is complex, you expect to customize a lot, and you have budget for a yearly contract and setup help.
For most small businesses with fewer than 20 users and a simple process, HubSpot is the easier start. Salesforce becomes the stronger pick as the sales process gets more complex.
HubSpot vs Pipedrive: how do they compare?
Pipedrive is a sales CRM built around a visual pipeline. Its plans cost $14 per seat per month for Lite, $39 for Growth, $59 for Premium and $79 for Ultimate, all billed yearly.
| Feature | HubSpot Sales Hub | Pipedrive |
|---|---|---|
| Free plan | Yes, 2 users | No, 14-day free trial |
| Entry price | $7 to $20 per seat a month | $14 per seat a month, yearly |
| Email sync and follow-up sequences | Sequences on Professional, $90 to $100 per seat | Growth, $39 per seat |
| Lead scoring | Professional, $90 to $100 per seat | Premium, $59 per seat |
| Highest listed plan | Enterprise, $150 per seat a month | Ultimate, $79 per seat a month, yearly |
- Choose HubSpot if: You want marketing and service tools on the same CRM, or you want a free plan to start.
- Choose Pipedrive if: You only need a sales pipeline, and you want follow-up sequences at a lower price per seat.

When does neither fit, and a custom tool make sense?
Both tools work well for standard sales. They fit less well when your work is not a simple sales pipeline. Here are signs a custom CRM, or a custom layer on top of your CRM, is worth pricing.
- Your deals are really projects: A solar installer, for example, tracks site surveys, permits, install dates and inspections for every deal.
- You pay for many seats that barely use the CRM: Field staff may only need to update a job status from their phone.
- Your data lives in many tools: Quotes, jobs, invoices and texts sit in separate systems, and staff copy data by hand.
- You want AI that uses your own records: For example, an AI sales agent that reads your past deals and follows up on new leads.
In many cases you can keep HubSpot or Salesforce and connect it to your other tools. My guide to CRMs for small business covers when a full custom build pays off.
How would I help you decide?
I start with how your team sells today. I map each step from the first contact to the paid invoice. Then I check which steps a ready-made CRM covers and which it does not. If HubSpot or Salesforce fits, I will say so. If it does not, I build the missing piece or a CRM you own outright. That might be a custom portal, an AI agent, or a link between your CRM and your job software. You hold the code and the admin logins, so you can switch teams at any time. If you want a flat-priced, fully owned alternative to either CRM instead, see my guide to HubSpot alternatives.
Need something completely custom?
Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask
Is HubSpot cheaper than Salesforce?
HubSpot is cheaper at the entry level. As of October 2026, HubSpot Sales Hub Starter is listed at $7 to $20 per seat a month. Salesforce Starter Suite costs $25 per user a month. At the mid tier, the yearly cost for a team is close once you add HubSpot's $1,500 onboarding fee.
Is Salesforce good for a small business?
Salesforce has a Free Suite and a Starter Suite at $25 per user a month, as of October 2026, so a small business can start small. It suits small teams with complex sales or plans to customize heavily. Simpler teams often find HubSpot or Pipedrive easier.
Does HubSpot have a free CRM?
HubSpot's free plan covers up to 2 users and 1,000 contacts, with no time limit, as of October 2026. Some features show HubSpot branding on the free plan.
Is Pipedrive better than HubSpot?
Pipedrive is often better for a team that only needs a sales pipeline. Its Growth plan adds email sync and follow-up sequences at $39 per seat a month, billed yearly, as of October 2026. HubSpot is better if you also want marketing and service tools on the same CRM.
Can I switch from HubSpot to Salesforce later?
Both tools can import and export contacts, companies and deals. Workflows, reports and email templates usually need to be rebuilt by hand. Plan the move with a test import before you cancel your old plan.
Is HubSpot or Salesforce easier to set up without a CRM admin?
HubSpot is built to be usable from day one without a dedicated administrator, which is why most small teams under 20 users start there. Salesforce rewards having someone, in-house or a paid consultant, who understands its object model and can configure it properly, and that setup cost is worth budgeting for separately from the licence fee.
Roughly what does this cost?
As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
Is my project too small for this?
No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
