AI SDRs explained: faster lead follow-up, booked meetings and the rules that apply
Short answer: An AI SDR is software that does the work of a sales development rep. It finds or receives leads, sends first messages, answers replies and books meetings. It works best on speed to lead, which means replying to new inquiries within minutes. You must still follow CAN-SPAM for email, the TCPA for calls and texts, and the Gmail and Yahoo rules for bulk senders.
You want your leads followed up faster than your team can manage, without it feeling like spam or breaking the rules.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
What does an AI SDR do?
An AI SDR handles the early part of the sales process. The exact jobs depend on the tool, but most do some of these.
- Finds leads: Searches a contact database for people who match your ideal customer.
- Researches each lead: Reads their website or profile and picks out a detail to mention.
- Writes and sends messages: Drafts a first email or text and sends a series of follow-ups.
- Answers replies: Reads each reply, answers simple questions and spots who is interested.
- Books meetings: Offers open times from your calendar and confirms the booking.
- Updates your CRM: Logs each message and moves the lead to the right stage. A CRM is the system where you track customers and deals.
There are two main types. Outbound AI SDRs reach out to people who have not contacted you. Inbound AI SDRs reply to people who already filled in a form, called or messaged you. For most small businesses, the inbound type is the safer and more useful place to start.
What is speed to lead, and why does it matter?
Speed to lead is how fast you reply after a new lead contacts you. A lead who fills in a form is often comparing you with two or three other firms. The business that replies first often gets the first real conversation.
Researchers writing in Harvard Business Review studied how fast companies respond to online leads. Their finding was that most companies are not responding nearly fast enough. That is still true for many small firms today. A web form comes in at 7 p.m., and nobody sees it until the next morning.
An AI SDR fixes this. It can reply within a minute, any time of day. It can ask a few questions to qualify the lead, then offer a time to talk. If you miss phone calls, my guide to missed call text back covers a simple version of the same idea.
What is an AI appointment setter?
An AI appointment setter is an AI SDR focused on one job. It gets an interested person onto your calendar. It might work by text, email, web chat or phone.
A typical flow looks like this.
- A lead fills in a form asking for a quote.
- The AI sends a text within a minute to thank them and ask two short questions.
- The lead answers. The AI checks their answers against your rules, such as service area and budget.
- If they fit, the AI offers three open times from your calendar.
- The lead picks one. The AI books it, sends a confirmation and adds the details to your CRM.
- The AI sends a reminder the day before.
If the lead asks something the AI can't answer, it should pass the chat to a person.
What do AI SDR tools cost?
Many AI SDR vendors don't publish prices. Here is what two of them show on their own pages as of October 2026.
| Tool | What it does | Price shown |
|---|---|---|
| Artisan (Ava) | Finds leads, writes outreach, handles replies and books meetings | No public price. Plans are scoped by lead volume, mailboxes and dialer seats |
| HubSpot Sales Hub | CRM and sales tools, with a Prospecting Agent that runs on HubSpot Credits | Professional starts at $90 per seat a month, plus a required $1,500 onboarding fee. Credits cost $0.010 each |
Artisan says Ava sends emails in your reps' names from your own domains. It also lets you approve messages before they go out and set rules for when a person takes over.
Budget for more than the tool. You may also pay for contact data, extra email domains, a calendar tool and your CRM. If you are choosing a CRM first, see my guide to CRM for small business.
What email rules apply to an AI SDR?
An AI SDR can send a lot of email very fast. That makes the rules more important. Your business is responsible for every message the AI sends.
CAN-SPAM
The CAN-SPAM Act covers commercial email in the US, and the FTC enforces it. The FTC says the law makes no exception for business-to-business email. Its main rules are these.
- Honest headers: Don't use false or misleading sender details.
- Honest subject lines: Don't use deceptive subject lines.
- Say it is an ad: Make clear that the message is an advertisement.
- Include your address: Every message must include your valid physical postal address.
- Offer an opt-out: Explain clearly how people can stop getting your emails.
- Act on opt-outs fast: Honor each opt-out request within 10 business days.
The FTC also says you can't contract away your legal duty. If a vendor or an AI tool sends email for you, you are still responsible. Each email that breaks the law can bring a penalty of up to $53,088.
Gmail and Yahoo sender rules
Google and Yahoo set their own rules for bulk senders. If you break them, your emails go to spam or get blocked.
Google's rules for anyone sending more than 5,000 messages a day to personal Gmail accounts include these.
- Authenticate your domain: Set up both SPF and DKIM. These are records that prove an email really came from your domain.
- Set up DMARC: DMARC is a policy that tells inboxes what to do with mail that fails those checks. A policy of "none" is allowed.
- Align your domain: The domain in your From address must match your SPF or DKIM domain.
- Offer one-click unsubscribe: Marketing messages must support one-click unsubscribe and show a clear unsubscribe link in the body.
- Keep spam complaints low: Keep your spam rate below 0.30%. Google recommends staying below 0.10%.
Yahoo's rules are similar. Yahoo asks bulk senders to set up SPF, DKIM and a DMARC policy that passes. It also asks them to support one-click unsubscribe, honor unsubscribes within 2 days and keep the spam rate below 0.3%.
So set up a separate domain for cold outreach. Start with a few emails a day on it and grow slowly. Send fewer, better emails. A cheap AI tool that sends thousands of generic emails can damage your main domain's reputation.
What call and text rules apply?
Calls and texts carry more legal risk than email in the US. The Telephone Consumer Protection Act (TCPA) and the FCC's rules apply.
- AI voices count as artificial voices: In February 2024, the FCC ruled that AI-generated voices are "artificial" voices under the TCPA. Those calls need the prior express consent of the person called, unless an exemption applies.
- Written consent for marketing: FCC rules require prior express written consent for telemarketing calls to cell phones that use an autodialer or an artificial or prerecorded voice.
- Calling hours: Telephone solicitations to homes are banned before 8 a.m. or after 9 p.m., local time for the person you call.
- Opt-outs in any reasonable way: People can revoke consent in any reasonable way. You must honor it within 10 business days. You may send one short text that confirms the opt-out, with no marketing in it.
In practice, only call or text people who gave you clear permission, such as on your own web form. Save a record of when and how each person gave it. Talk to a lawyer before you run any outbound AI calls or texts.
What makes AI outreach actually work, instead of getting ignored or marked as spam?
Following the email and calling rules keeps you legal. It does not make anyone reply. Most AI SDR outreach fails for a simpler reason: it reads like it was written for a thousand people at once, because it was.
- One real detail beats a clever opener. A message that references something true and specific about the lead, their actual job, a page they visited, a form they filled in, outperforms a generic compliment every time. If the AI cannot find a real detail, a shorter, plainer message beats a padded one.
- Ask one question, not three. A message with a single clear question is easy to answer from a phone. A message that asks for a meeting, a budget and a timeline in one go asks for too much too soon.
- Match the channel to the lead, not just the rulebook. A lead who just filled out a form on your site expects a fast reply on the channel they used. A cold list that has never heard of you needs a slower, lighter touch.
- Let a person read the first batch before it scales. Run the first fifty messages past a real person before you let the AI send thousands. Patterns that look fine in isolation, such as every message using the same phrase, show up fast at volume and start to feel robotic.
- Watch reply sentiment, not just reply rate. A high reply rate full of "please stop emailing me" is worse than a lower one full of real interest. Track what people actually say back, not just whether they said anything.
Should you buy an AI SDR or build your own?
Buy a tool if your sales process is simple and you already use a CRM that offers AI features. Test it on inbound leads for a month. Read every message it sends at first.
A custom AI SDR makes more sense in these cases.
- Your leads come from many places: Web forms, phone calls, marketplaces and partner referrals all need one fast reply.
- Your qualifying rules are specific: Service area, job type, budget or eligibility rules that a generic tool can't check.
- You need it inside your own systems: The agent must read your job software, quote tool or custom CRM.
- Seat fees add up: You have many reps, and per-seat AI fees grow faster than the value you get.
- You want control: You decide what the AI may say, which data it stores and when a person steps in.
How does Blur Studio approach an AI SDR?
I start with your lead flow. I map where leads actually come from, how fast you reply to them today and where good leads quietly drop off between the first contact and a booked call. Often the biggest win is not a smarter AI, it is simply a fast, polite first reply and an easy way to book, which a surprising number of businesses still get wrong.
When a custom build makes sense, I connect the AI to your forms, calendar and CRM, set clear rules on what it may say and when it hands off to a person, and build in consent records, opt-out handling and sending limits from day one rather than bolting them on after a complaint. Your business owns the agent's code, its sending domains and its AI accounts, and I can keep looking after it as your offers and your rules change.
Questions people ask
What does SDR stand for?
SDR stands for sales development rep. An SDR finds and contacts new leads, qualifies them and books meetings for the sales team. An AI SDR is software that does that work.
Can an AI SDR replace my sales team?
An AI SDR can handle first replies, follow-ups and booking. People still need to run sales calls, handle complex questions and close deals. Most businesses use it to give their team more time with good leads.
Is it legal to use AI to call or text leads?
It can be, but the rules are strict. The FCC treats AI-generated voices as artificial voices under the TCPA, so those calls need the person's prior express consent. Marketing calls of this kind to cell phones need written consent.
What email rules apply to AI sales emails?
CAN-SPAM requires honest headers and subject lines, your postal address, a clear opt-out and action on opt-outs within 10 business days. Gmail and Yahoo also require domain authentication, one-click unsubscribe and a spam rate below 0.3% for bulk senders.
What is an AI appointment setter?
An AI appointment setter is software that contacts interested leads, asks a few qualifying questions and books a meeting on your calendar. It usually works by text, email, chat or phone and hands harder questions to a person.
Will using an AI SDR hurt my email deliverability?
It can, if it sends large volumes of generic email from your main domain. Set up a separate sending domain for AI outreach, start with small daily volumes and keep your spam complaint rate below the 0.3% threshold Gmail and Yahoo both enforce.
Can an AI SDR work with leads from multiple sources?
Yes, a well set up one can pull leads from your web forms, your CRM, phone calls and partner referrals into one fast reply process. This is often where a custom build earns its cost over a single-purpose tool.
Roughly what does this cost?
As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
Is my project too small for this?
No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
