What does Housecall Pro connect to?
Short answer: Housecall Pro's integrations page lists around 30 apps, grouped loosely by accounting, lead sources, reviews, marketing and routing. QuickBooks (both Online and Desktop) and Zapier are the two that matter to most owners. The QuickBooks sync runs mostly one way, from Housecall Pro to QuickBooks, and misses estimates entirely. Zapier needs the Essentials or Max plan; Basic doesn't support it, and even on Essentials or Max, Housecall Pro's own listing for Zapier is thin: two triggers and one action. Xero, Salesforce and Zoho aren't on the list at all. Anything bigger than Zapier's two triggers needs the API, which Housecall Pro restricts to the Max plan.
You want to know exactly what Housecall Pro connects to, where the QuickBooks sync actually breaks, and what to do when the tool you need isn't on the list.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
Owners ask what Housecall Pro connects to because they want jobs, invoices and leads moving between tools without someone retyping them. This page lists what's actually on Housecall Pro's integrations page, explains exactly how the QuickBooks sync behaves (including where it breaks), and tells you plainly which gaps are worth fixing with Zapier and which ones need something built.
Everything below comes from Housecall Pro's own integrations page and help center, read live on 28 October 2026.
What integrations does Housecall Pro have?
Housecall Pro's integrations page doesn't group its roughly 30 listed apps, so here they are sorted by what they actually do:
- Accounting and payroll: QuickBooks, Gusto.
- Lead sources: Angi, Thumbtack, Yelp, Google Local Services.
- Reviews and marketing: Broadly, Nicejob, Swell, Signpost, Mailchimp.
- Calls and messaging: CallRail, Podium, Emitrr, CHIIRP.
- Financing: Wisetack, Fundbox.
- Pricing and proposals: Profit Rhino, ResponsiBid, The New Flat Rate, MeasureQuick, OnCall Air.
- Photos: CompanyCam.
- Routing and fleet: Beeline Routes, Force by Mojio.
- Everything-connector: Zapier.
- Others listed: Gift Up, Convert, Amazon Alexa.
Of that list, two are worth your attention and the rest are mostly nice-to-haves. QuickBooks matters because almost every business needs its books to balance without manual re-entry. Zapier matters because it's the only general-purpose connector on the list, so it's your fallback for anything not named above. CallRail is worth a second look if you run paid search ads and need to know which call turned into a job. The lead-source integrations (Angi, Thumbtack, Yelp) are mostly passive, they feed leads in, they don't need configuring beyond turning them on. The rest solve a specific, narrow problem each, so only add one once you've confirmed you have that exact problem.
The integrations page itself states no plan restrictions, but two of the most-used ones are gated anyway, and you only find that out on the pricing page or in the help center. Housecall Pro's pricing page lists QuickBooks Online sync under Essentials and Max, not Basic. Zapier is excluded from Basic too: Housecall Pro's own Zapier article names Essentials and Max as the plans that support it. Confirm any integration you're relying on against your own plan before you buy, rather than trusting the integrations page alone. See my Housecall Pro pricing guide for the full plan breakdown.
How does the Housecall Pro QuickBooks integration work?
Housecall Pro supports both QuickBooks Online and QuickBooks Desktop. Either way, you need your own QuickBooks subscription; it's not part of the Housecall Pro bill.
QuickBooks Online
The sync runs mostly one way, from Housecall Pro to QuickBooks Online.
- What goes across: invoices with customer details, payments (service plan payments attach to the linked invoice), new customers, and new price book items.
- When it runs: when a job is marked finished (if that's your chosen trigger), when an invoice is sent, and when a job or invoice is marked paid. Using Housecall Pro's Finish, Invoice or Pay button should sync within 2 to 5 minutes.
- What doesn't go across: estimates, full stop. Of invoice fields, only due terms, sent date and payments actually reach QuickBooks.
What breaks or needs a manual push
Housecall Pro's own help center lists these:
- Edits to line items, quantities, prices or descriptions after the first sync need a manual push.
- Changes to the invoice date or due terms need a manual push.
- Deleted or canceled invoices have to be removed in QuickBooks by hand; the sync won't do it for you.
- Printing an invoice doesn't push it. You have to send it or push it manually.
- The service address lands under "Shipping to" on the QuickBooks invoice, not in customer details.
- Invoice numbers may not match job numbers, especially with progressive invoicing.
If your bookkeeper keeps finding mismatched numbers or invoices that linger in QuickBooks, these are almost always the cause. The fix isn't technical: finish and send the invoice fully in Housecall Pro before anyone touches it in QuickBooks, every time, with no exceptions for "I'll just edit it quickly after."
QuickBooks Desktop
The Desktop link is also one way; nothing syncs back to Housecall Pro. It runs through the QuickBooks Web Connector, either triggered by hand or on an automatic interval, which Housecall Pro's help center suggests setting to 60 minutes.
- What goes across: jobs when finished, invoiced or paid, with customer name, address, service date, line items, tax rates and payments. Business Units sync as QuickBooks Classes, and the names have to match exactly or the sync fails silently on that item.
- Payments: land in Undeposited Funds. Credit card payments need manual reconciliation, and processing fees need their own journal entry.
- What doesn't sync: inventory items and multiple tax codes. Changes made directly in QuickBooks get overwritten on the next sync, so edit in Housecall Pro, not QuickBooks.
- Multi-user mode: sync manually. Housecall Pro's help center specifically advises against combining Auto-run with QuickBooks multi-user mode.
Housecall Pro's own Desktop article doesn't state which plan includes it, so get that confirmed in writing before you buy on the assumption it's there.
Does Housecall Pro integrate with Zapier?
Yes, on the Essentials or Max plan. Housecall Pro's own Zapier article names Essentials and Max as the plans that support it; Basic doesn't. Where it is available, the listing is genuinely small:
- Triggers: New Completed Job, New Scheduled Job.
- Action: Create Customer, with fields for name, email, phone, tags and address.
That's it. You can push a completed job to a review-request tool or a spreadsheet, and you can create a customer from a web form or an ad lead. You cannot create a job, edit an invoice, or read your price book through Zapier. If your integration idea needs any of those, Zapier's own listing rules it out before you've even started.
Zapier's own pricing, verified as of October 2026: Free gives 100 tasks a month and two-step Zaps only. Professional starts at $19.99 a month (750 tasks, billed annually) and unlocks multi-step Zaps. Team starts at $69 a month (2,000 tasks, annual billing) and supports up to 25 users. For a direct comparison of Zapier against the alternative, see Zapier vs Make.
Does Housecall Pro integrate with Xero, Salesforce or Zoho?
Not directly. None of the three appears on Housecall Pro's integrations page, and none show up as a connected app on Zapier's Housecall Pro listing either.
Your options, from simplest to most work:
- Use QuickBooks instead. If your accountant can work in QuickBooks, the native sync is the easiest path by a wide margin, even with the manual-push gaps above.
- Export and import. Housecall Pro exports customers and jobs as CSV, which you can import into Xero, Salesforce or Zoho. It's a snapshot, so it goes stale the moment anything changes afterward.
- Zapier. It can send a completed job or a new customer to whatever Zapier supports on the other end. Treat the two triggers and one action above as your real ceiling, not a starting point to build from.
- The API. Housecall Pro's help center states API keys are only for the Max plan, created by admins only. A developer can then read and write data and build the exact link you need. See my Housecall Pro API guide.
For a Xero shop specifically, option 4 is usually the only way to get invoices and payments across without someone retyping them. For a Salesforce or Zoho shop, check first whether you need that CRM running alongside Housecall Pro at all; a lot of what a CRM does, Housecall Pro's own customer records already cover for a service business.
Which links do owners usually want that are missing?
From what actually shows up as a request, not what the integrations page covers:
- One report, several sources. Profit per job, per crew and per lead source, pulled from Housecall Pro and QuickBooks together. Neither tool does this natively.
- Lead intake that doesn't need retyping. Calls, web forms and an AI receptionist that create a customer and a job directly, not an email someone copies from.
- A branded customer status page. See my Housecall Pro customer portal guide for what the built-in one already covers before building anything.
- Two Housecall Pro accounts, one view. Owners running two accounts, often after an acquisition, who want one combined picture.
- A non-QuickBooks accounting tool. Xero most often, since it's genuinely absent from the list.
When is a custom connection better than Zapier?
Stick with Zapier or the native links for one simple handoff, like pushing a completed job to a review tool. Build something custom when any of these apply:
- The data isn't in Zapier's listing. Two triggers and one action is a hard ceiling, not a starting point.
- Task fees are adding up. Running many zaps a month pushes you up Zapier's own tiers fast, and that cost compounds with every new automation you bolt on.
- A failure would cost real money. An unbilled job because a zap silently failed is worse than the convenience was worth.
- You want one dashboard, several sources. Zapier moves records one at a time; it doesn't build you a combined view.
I build these connections on top of Housecall Pro's API, keeping Housecall Pro as your system for booking and dispatch. The link carries data to your accounting tool, your reports, or your AI workflows, with checks that alert you the moment something fails rather than a silent gap in next month's invoices. If your need really is one or two simple handoffs, use Zapier first; paying for a custom build to replace a $20-a-month Zapier plan rarely makes sense.
Questions people ask
Does Housecall Pro integrate with QuickBooks Online?
Yes. It pushes invoices, payments, new customers and new price book items to QuickBooks Online, mostly one way. QuickBooks Online sync sits on the Essentials and Max plans, not Basic, as of October 2026.
Does Housecall Pro integrate with QuickBooks Desktop?
Yes, through the QuickBooks Web Connector, syncing one way from Housecall Pro to QuickBooks. Credit card payments need manual reconciliation on the QuickBooks side.
Does Housecall Pro integrate with Xero?
No. Xero isn't on Housecall Pro's integrations page. Use QuickBooks, a CSV export, or a custom link built on the API instead.
Does Housecall Pro integrate with Salesforce or Zoho?
No, neither is on the integrations page. Zapier supports only two Housecall Pro triggers and one action, so a direct Salesforce or Zoho link needs the API.

What does the Housecall Pro QuickBooks sync miss?
Estimates never sync at all. Edits to line items after the first sync, invoice date changes, deleted invoices and printed-but-not-sent invoices all need a manual push. Invoice numbers may not match job numbers.
How do I connect something to Housecall Pro that isn't on the integrations list?
Check Zapier first for a simple one-step handoff, if your plan supports it (Essentials or Max). For anything bigger, such as a combined report or a two-way sync, you need the Housecall Pro API, which requires the Max plan and admin access to generate a key.
