How to set up NiceJob, step by step

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: Sign up for the 14-day free trial, connect your job platform (Jobber, Housecall Pro, ServiceTitan or another of NiceJob's 11+ direct integrations) so review requests fire automatically when a job is marked complete, and turn off that platform's own automatic review or follow-up messaging at the same time, since leaving both on is the single most common reason customers get asked twice. Then check the default review sequence, which sends a text immediately followed by up to three emails over 14 days to anyone who hasn't responded, and add the review widget to your website so visitors see real reviews before you touch any of the Pro-only extras.

You want the actual order of operations for setting NiceJob up correctly the first time, not a feature tour.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

NiceJob's own setup is genuinely quick for most of it, a connection and a widget, but the two steps people skip, turning off a job platform's own duplicate messaging and deciding who gets excluded, are exactly the ones that generate the complaints you'll find in its reviews. This walks through the order that avoids both.

Steps are verified against NiceJob's own help center and the help centers of Jobber and Housecall Pro as of 29 October 2026. If you're on a different platform, the shape is the same even if a menu label differs slightly.

Before you start: pick what's already connected

NiceJob lists direct, native integrations with Jobber, Housecall Pro, ServiceTitan, QuickBooks, Square, Stripe and HubSpot, among others, plus 9,000+ apps through Zapier. If your job platform is on that list, use the native integration, since it needs no separate automation and nothing to maintain. If it isn't, check whether Zapier has an app for it before assuming you need a custom build: search for your platform's name on Zapier's NiceJob integrations page, and if a trigger like "job completed" or "invoice paid" exists, you can wire that straight to NiceJob's "create or update person" action yourself, no developer required. What actually syncs is detailed in NiceJob integrations.

Step 1: Create your NiceJob account and pick a plan

NiceJob offers a 14-day free trial with no credit card required. The two core plans:

PlanPriceIncludes
Starter$75/monthReview requests by SMS and email, website social-proof widgets, automatic social media posting, a team leaderboard, a dedicated reviews microsite
Pro$125/monthEverything in Starter, plus automated rebooking reminders, referral campaigns, AI-drafted review replies, email broadcasts, automated thank-you gifts, NPS surveys, competitive intel

Two add-ons sit outside both plans: Sites, a fully managed website, runs $99 a month plus a one-time $199 setup fee; AI Leads, a chat and voice agent for qualifying website visitors, was listed as "coming soon" with no price yet as of this check. You don't need to decide on either before connecting anything. Start on Starter, prove the review flow works, and upgrade or add on once you actually want the extras. Plan costs are broken down in NiceJob pricing.

Step 2: Connect your job platform

The integration is set up from inside NiceJob, not the job platform. The general sequence, confirmed on Jobber's own help pages, is:

  1. In NiceJob, go to Settings, then Product Settings, then Apps.
  2. Find your job platform in the list of apps and click Connect.
  3. Confirm on the pop-up, then authorize NiceJob to access your job platform's account when prompted.

On Housecall Pro specifically, connecting the integration transfers your existing customer list into NiceJob automatically, so you don't re-enter contacts by hand, and any employees assigned to jobs sync over as well.

Do this in the same sitting: turn off your job platform's own automatic review or follow-up messaging. Jobber's own help documentation explicitly recommends turning off Jobber's automatic job follow-ups once NiceJob is connected, specifically to avoid sending customers duplicate requests. This is the single step most likely to prevent a real customer complaint later, and it takes under a minute.

Step 3: Decide who gets skipped

Two things are worth knowing before your first real job closes:

  • NiceJob doesn't retroactively message past customers. Connecting the integration starts the review flow for jobs completed going forward, not a backlog blast to everyone you've ever served.
  • You can exclude specific customers or jobs. On Housecall Pro, adding the tag "noreview" to a customer or a job stops that one from being enrolled, useful for a customer you know had a rough experience, or an internal/test job that was never a real client.

Step 4: Check your review-request sequence

The default sequence, as documented by NiceJob: as soon as a job triggers the integration, the customer gets a text message asking for a review, followed by up to three follow-up emails spaced over the next 14 days if they haven't responded. The customer exits the sequence the moment they leave a review, or once all the messages have gone out, whichever comes first.

This default works fine for most businesses without touching anything. If you want tighter control over the exact wording or timing, know going in that NiceJob's own reviewers describe the templates and automation timing as somewhat fixed, more so on Starter than Pro, so don't expect granular, email-by-email customization even once you're paying for it. Developers can read about the NiceJob API for deeper control.

Step 5: Add the review widget to your website

NiceJob's Engage widget shows visitors real, recent reviews and bookings as they browse your site, by default in the bottom right corner. Two ways to install it:

  • Paste the code directly. Edit your site's HTML and paste the widget snippet NiceJob gives you wherever you want it to sit. If someone else manages your site, just send them the snippet.
  • Use the WordPress plugin, if that's your platform. Install and activate the NiceJob plugin from the WordPress plugin directory, enter your Company ID from your NiceJob profile page, and the widget shortcodes appear directly in the classic editor's toolbar.

NiceJob also has a separate Referrals widget, installed the same way as the Engage widget, if you're running referral campaigns on Pro. Add it once the review widget is live and working, not at the same time, so you can tell which one is actually driving traffic if something looks off.

Common mistakes worth avoiding

  • Forgetting to turn off the job platform's own follow-up messaging. Covered above, but worth repeating since it's the single biggest source of a visible customer complaint.
  • Connecting the integration before cleaning your customer list. Housecall Pro's integration pulls your entire existing contact list into NiceJob on connection. A messy or outdated list comes across just as messy.
  • Turning on every Pro automation at once. Referrals, broadcasts and gifts all message customers. Launching all of them together makes it hard to tell which one caused a drop in opens or an unsubscribe if something needs adjusting.
  • Assuming the widget updates your site's cache automatically. If your site uses a caching plugin or a CDN, a freshly pasted widget snippet can take a few minutes to show up, which looks like a broken install but usually isn't.

Step 6: save the Pro-only extras for later

Social auto-posting, the team leaderboard and the reviews microsite are already included on Starter and need no separate setup beyond connecting your integration. Everything else, automated rebooking reminders, referral campaigns, AI Replies, broadcasts, gifts, NPS surveys and competitive intel, is Pro-only. I'd prove the basic review flow is working cleanly for a couple of weeks before adding any of these, since each one is another automation that can misfire if your underlying job data isn't clean yet.

What to configure day one versus later

  • Day one: the job platform connection, turning off that platform's own duplicate automation, and the website widget.
  • Within the first few weeks: tagging customers to exclude, and confirming the default sequence timing suits your business.
  • Later, once the basics are proven: any Pro-only automation, and the separate managed Sites add-on if you want NiceJob to build and host your whole website rather than just the widget.

How I'd approach this

Almost all of what people call "NiceJob setup problems" traces back to one of two things: the job platform's own automatic messaging was never turned off, or nobody checked which customers should be excluded before the first batch went out. I'd get those two decisions right before touching the widget or any Pro automation, since they're the ones that show up as a customer complaint if you get them wrong, not just a missed opportunity. Once the connection and the exclusions are solid, the rest of the setup genuinely is as quick as NiceJob makes it sound. Owners' complaints are collected in NiceJob problems and complaints.

Questions people ask

How long does setting up NiceJob actually take?

Connecting a native integration like Jobber or Housecall Pro and adding the website widget usually takes under an hour. The part worth taking slower is turning off your job platform's own automatic follow-up messaging and deciding which customers to exclude, since getting those wrong is what generates real complaints later.

Do I need a developer to set up NiceJob?

No, not for the standard setup. Connecting a listed integration and pasting the widget code are both designed for a non-technical owner. A developer only becomes useful if you need the API for something the native integrations and Zapier don't cover.

Will NiceJob message customers I served before I connected it?

No. NiceJob doesn't retroactively invite past customers when you connect an integration. The review flow starts with jobs completed going forward, not a backlog of everyone you've ever worked with.

How do I stop NiceJob and my job platform from double-messaging the same customer?

Turn off your job platform's own automatic review or follow-up messaging when you connect NiceJob. Jobber's own help center recommends exactly this, since leaving both running is the most common cause of a customer getting asked for a review twice.

Can I exclude a specific customer from review requests?

Yes, on platforms like Housecall Pro you can add a tag such as "noreview" to a customer or a job to skip them, useful for a customer who had a rough experience or an internal job that was never a real client.

Can I customize NiceJob's review request wording and timing?

To a point. The default sequence is a text immediately followed by up to three emails over 14 days. You can adjust some of this, more so on Pro than Starter, but reviewers describe the templates and timing as fairly fixed rather than fully open, so don't expect granular control over every message.

Does NiceJob work without a job platform like Jobber or Housecall Pro?

Yes, you can add contacts manually or through other integrations and Zapier, but the automatic trigger on job completion, which is most of the point of the tool, depends on a connected platform. Without one, you're sending invites by hand.

Do I need the Sites add-on to set up NiceJob?

No. Sites is a separate, optional add-on, a fully managed website NiceJob builds and hosts for $99 a month plus a $199 setup fee. Setting up reviews, the widget and your integration doesn't require it.
