CRM for a 5, 20 or 50 agent Dubai brokerage: what changes at each size and what it costs

By Ranjit Bhinge, founder of Blur Studio · Updated · 7 min read

Short answer: At 5 agents, lead routing and reply speed matter most, and a Dubai-built CRM (customer relationship management system, the software where you keep clients, leads and deals) or a free tier will do. At 20, team leaders, reports and commission tracking start to bite. At 50, permissions, audit trails and integrations decide. On published prices, PropSpace (a Dubai real estate CRM) costs about AED 1,155 a month for 5 agents including VAT, and about AED 4,620 for 20. Truly free options are limited to small free tiers, not full brokerage systems.

You have a team of a certain size and a budget, and you want to know what to run now and when you will outgrow it.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Short answer: what a 5, 20 and 50 agent brokerage should run

  • 5 agents: a Dubai-built CRM with portal links, or a free tier of a general CRM while you learn. Fix routing and WhatsApp first.
  • 20 agents: a paid CRM with team structure and reporting, and a deliberate way to track commission. This is where per-user pricing starts to hurt and flat pricing looks attractive.
  • 50 agents: permissions, an audit trail and integrations matter more than the licence. Many vendors move to quotes at this size.

The sizes are not rules. They are the points where I see the pain change. For the wider buying checklist see 9 things to check before you buy a CRM.

What each size actually needs from a CRM

At 5 agents

The owner is usually also the team leader. What breaks: leads sit on personal phones, nobody knows who answered, and a lead from Property Finder or Bayut (the main UAE property portals) is copied by hand. You need lead routing, a shared WhatsApp (messaging app) view and a simple pipeline. See the boutique brokerage guide and WhatsApp CRM for Dubai brokerages.

At 20 agents

You now have team leaders. What breaks: round-robin (each agent in turn) is not fair across languages and areas, reports per team are built in spreadsheets, and commission calculation takes a day each month. You need team structure, reports per team and agent, and a tracked commission process. My commission tracker article and agent performance tracking help here.

At 50 agents

You have branches, specialists and turnover. What breaks: one agent can see every client, nobody can say who changed a record, and a vendor's API (the way other software connects) limits or quote threshold appears. You need role-based permissions, an audit trail, compliance reminders and integrations. At this size the question is often whether the CRM is the system of record or one input to your own reporting.

Other figures circulate, such as a lower PropSpace price on directory sites, a per-agent range from a custom-software company and AED amounts for Zoho from resellers. I do not use them, because they conflict with the vendors' pages or have no source. If you see AED 176 per user for PropSpace, it is stale. Options if you want to move are in PropSpace alternatives for Dubai brokerages.

The cost model for 5 agents

PropSpace: 5 x AED 220 = AED 1,100 a month, AED 1,155 with 5 percent VAT, about AED 13,860 for the year, which matches its own worked example. Bitrix24 Basic: US$49 a month on annual billing, about US$588 a year, for the whole team of 5. HubSpot Starter: 5 x US$7 = US$35 a month at the new-customer annual price, but a thin tier. Convert US dollars at the rate on the day you pay.

A solo agent pays the AED 500 minimum on PropSpace, or AED 525 with VAT. That is why a very small office should look at a free tier first.

The cost model for 20 agents

PropSpace: 20 x AED 220 = AED 4,400, AED 4,620 with VAT, about AED 55,440 a year. With a two-year prepaid discount of 25 percent the monthly figure falls, but you commit for two years. Bitrix24 Standard: US$99 a month on annual billing, about US$1,188 a year, covering up to 50 users. HubSpot Professional: 20 x US$90 = US$1,800 a month plus US$1,500 once. The licence is the small number at this size. The big ones are the portal link and the agent time.

The cost model for 50 agents

PropSpace: 50 x AED 220 = AED 11,000, AED 11,550 with VAT, about AED 138,600 a year, and above 50 users pricing is by quote. Bitrix24 Standard still covers 50 users at US$99 a month on annual billing. HubSpot Professional at 50 seats would be US$4,500 a month plus onboarding. These are list prices for licences only, and large offices negotiate.

The costs the price list leaves out

  • Portal subscriptions and connections. PropSpace says portal fees are billed by the portals, not by it.
  • WhatsApp and calling. PropSpace bills messaging and calling separately, and Meta, the company that owns WhatsApp, charges per delivered template message.
  • Setup, import and training. Hours of someone's time, or a consultant's fee.
  • VAT. PropSpace prices exclude 5 percent VAT. For other vendors, check their invoices.
  • Double running. Two licences for two to four weeks when you switch.
  • Agent time. A tool agents avoid costs the full price and delivers nothing.

A made-up first-year example for a 20 agent office on a general CRM: licences, plus a one-off portal link build, plus a WhatsApp connector, plus training. The exact total depends on quotes, so get them in writing. The formula is in my buying checklist.

Free and low-cost options and their limits

The honest answer to "is there a free real estate CRM in Dubai" is: mostly trials and small free tiers. Zoho's free edition is up to 3 users with 5,000 API calls a day and 10 data exports. HubSpot's free tier is 2 users and 1,000 contacts. Bitrix24's Free is 1 to 2 users. None includes Property Finder or Bayut lead capture. A free tier is a fine place to learn and a poor place to run a 10-agent office. A spreadsheet is the other free option, and my guide to lead spreadsheet management shows how to do it without losing track.

Signs you have outgrown your CRM

  1. Leads are assigned manually and some are missed.
  2. Commission is calculated in a spreadsheet and disputed.
  3. Agents use private WhatsApp for client work.
  4. Nobody can say who changed a record.
  5. A monthly report takes a day to assemble.
  6. You pay for seats nobody uses.

Two or three of these are normal growth. Five or more means your process has outrun the tool, and you should compare options. Read how to switch without losing leads first.

When custom software starts to make sense

I build custom software for a living, so weigh this accordingly. It is not about agent count. Vendors who publish agent-count thresholds for going custom are usually trying to sell it, and the thresholds I saw contradicted each other. My rule: consider custom only when you have a repeatable process that no available tool can do, and when the cost of working around it each month is larger than the build. A common version is a commission and payout process with unusual rules. Often the answer is a small layer on the CRM you have, not a replacement. See build vs buy for brokerage software.

How software and AI help at each stage, and what stays human

  • 5 agents: automatic assignment of portal leads, an instant WhatsApp first reply drafted by AI, and an alert if a lead sits untouched. A person decides price and advice.
  • 20 agents: response-time reports by team, duplicate detection, summarised call and chat notes written to the CRM. The team leader decides on coaching.
  • 50 agents: permission rules, audit logging and exception reports, such as leads reassigned more than twice. Compliance sign-off remains with the owner or compliance officer.

AI can summarise a call wrongly or miss a detail, so spot-check summaries before you rely on them. I describe the building blocks in business process automation. What that costs a Dubai brokerage is in AI automation setup and monthly fees.

Try it yourself with Claude

Paste the price tables above, with your headcount and expected growth, into Claude, an AI assistant, and ask: "Build a three-year cost table for 5, 12 and 25 agents including 5 percent VAT and the minimum monthly invoice where it applies, and show where the cheaper plan stops being cheaper." It does the arithmetic. You still verify each price against the vendor's page.

How I'd approach this

I would buy for the size you will be in 12 months, avoid long prepay until you have used the tool for a quarter, and write down the three outgrow signals that would make you switch. If you are around 5 agents, start with routing and WhatsApp, not features.

Questions people ask

How much does a CRM cost for 10 agents in Dubai?

On PropSpace's published price, 10 x AED 220 = AED 2,200 a month, AED 2,310 with VAT. Bitrix24 Standard is US$99 a month on annual billing for up to 50 users. Add portals, WhatsApp and setup. See the buying checklist.

Is the AED 500 minimum per month a trap for small teams?

It is not hidden, since it is on the vendor's page, but it means a solo agent pays AED 500 for what would otherwise be AED 220. At 3 or more users it stops mattering. A very small office should check free tiers first.

Are there free CRMs good enough for a 5-agent brokerage?

Free tiers (Zoho up to 3 users, HubSpot 2, Bitrix24 1 to 2) can work for learning, but none includes portal lead capture. At 5 agents you will likely pay for something. See the boutique brokerage guide.

Does VAT apply to CRM subscriptions in the UAE?

PropSpace states its prices exclude 5 percent VAT. For other vendors read the invoice terms, and confirm your own VAT position with an accountant.

When should a 20-agent brokerage change CRM?

When several outgrow signals appear at once: manual assignment, commission disputes, private WhatsApp, no audit trail, slow reports. One or two is normal. Read how to switch without losing leads.

Do I pay extra for Property Finder or Bayut integration?

Often, yes, in some form. PropSpace says portal subscriptions and messaging are billed separately, and Property Finder usually has to enable API access (a way for other software to receive its data) on its side. Ask for the cost in writing. See Property Finder API.
