Workamajig and Accelo alternatives for agencies

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: The main Workamajig and Accelo alternatives are Productive for agencies that want budgets and resourcing without Workamajig's full accounting suite, Scoro for teams that want to pick only the apps they need rather than one heavy bundle, Teamwork for agencies whose main need is billable time and retainers, and Function Point for agencies that want a lighter all-in-one tool at a lower per-user price. Workamajig prices from $49 a user a month with a 10-user minimum, and Accelo doesn't publish fixed prices at all, quoting instead based on team size, so for a lot of smaller agencies the first real question is whether they need that much tool in the first place.

Workamajig or Accelo feels like more platform than your agency needs, or costs more than it should for your headcount, and you want to know what else actually fits before you commit to another heavy system.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Why is Workamajig too heavy for some agencies?

Workamajig is an all-in-one agency management platform combining project management, a full accounting package and client billing, aimed at agencies that want financial operations and project work in a single system. Accelo is a similarly broad professional services automation platform covering client and project management, resource planning and financial tracking, built for service businesses managing all of that together. Both are genuinely comprehensive, and the reasons agencies look for something lighter tend to repeat.

  • Workamajig has a 10-user minimum: Pricing starts at $49 a user a month for 10 or more users, dropping to $47 at 25-plus and $45 at 50-plus. A smaller agency pays for 10 seats whether or not it has 10 people.
  • Accelo doesn't publish prices at all: Its pricing page states cost is "based on your team size and growth goals," which means every agency has to go through a quote process just to know what it costs.
  • Full accounting is more than most agencies need from a PM tool: Workamajig's built-in accounting package is a real differentiator, but agencies that already use dedicated accounting software end up paying for a feature they don't use.

Neither tool is poorly built. They're aimed at agencies that want deep financial and project operations in one system, and for agencies at the right size, that's valuable. It's a question of whether your headcount and need for built-in accounting actually match what either platform assumes.

  • Best for: Businesses that need software that works without barriers, no unnecessary fees and options to customize it to their needs.

Productive

Productive is a work management platform built for professional services firms, combining project management, resource planning and financial tracking like budgets and profitability. Essential is $12 a user a month billed yearly ($10 monthly), with no 10-user minimum. Professional is $25 a user a month billed yearly ($29 monthly), adding deeper financial oversight. A closer look at its tiers is in Productive.io pricing and review for 15-person agencies.

  • Best for: Agencies under 10 people that want budgeting and resourcing without Workamajig's user minimum or full accounting package.

Scoro

Scoro is a professional services automation platform that lets agencies combine specific apps, like time tracking, invoicing or resource planning, rather than one fixed bundle, with a 5-user minimum across its plans. Its Time-billing combination starts around $15 to $24.50 a user a month depending on currency and region. Its Projects & Resources or Quote to Cash combinations run around $25 to $42.50 a user a month. My Scoro alternatives guide covers this tool and its own competitors if Scoro itself isn't quite the fit either.

  • Best for: Agencies that want to pay only for the specific functions they need rather than Workamajig's or Accelo's all-in-one structure.

Teamwork

Teamwork is a project management platform built for agencies and client service teams, with billable time tracking and retainer invoicing as core features. Basics is $9.99 a user a month billed yearly with a 3-user minimum. Accelerate is $24.99 a user a month with a 5-user minimum, adding time budgets and retainer invoicing. My Teamwork alternatives guide goes deeper on this tool specifically.

  • Best for: Agencies whose main need is billable time and retainer tracking without a full accounting module attached.

Function Point

Function Point is an all-in-one agency management platform covering client management, project planning, time tracking and financial operations, positioned as a lighter alternative to heavier platforms like Workamajig. Standardize is $53 a user a month billed annually ($58 monthly). Optimize is $62 a user a month billed annually ($68 monthly), adding QuickBooks Online integration and advanced reporting.

  • Best for: Agencies that want Workamajig's all-in-one structure without its 10-user minimum, at a somewhat lower per-user price.

How do Workamajig and Accelo alternatives compare?

PlatformStarting priceMinimum usersBest fit
Workamajig$49/user/month10Larger agencies wanting PM and full accounting together
AcceloCustom quoteUnspecifiedService businesses willing to go through a sales process for pricing
Productive$12/user/month (yearly)NoneSmaller agencies wanting budgets and resourcing
Scoro~$15-25/user/month5Agencies wanting to combine only specific apps they need
Teamwork$9.99/user/month (yearly)3Agencies focused on billable time and retainers
Function Point$53/user/month (yearly)UnspecifiedAgencies wanting Workamajig's scope at a lower per-seat price

Below 10 people, Workamajig's minimum alone usually rules it out on cost. Above that, it's a genuine contender if built-in accounting matters to you. Accelo is worth a quote request specifically if you want resource planning and financial tracking combined and don't mind going through a sales conversation to find the price.

A worked example: a 7-person agency

Take a 7-person creative agency currently pricing out Workamajig. At the 10-user minimum, it pays for 3 seats it doesn't need, $490 a month for 10 users at $49 each, even though only 7 people would log in. Productive at its Professional tier, which is the closer feature match to Workamajig's budgeting and resourcing, runs $25 a user a month billed yearly, so $175 a month for the same 7 people, with no minimum seat padding. Function Point's Standardize plan at $53 a user a month billed annually would run $371 a month for 7 users, still below Workamajig's padded 10-seat price, and closer in feature scope. The gap narrows considerably once that same agency grows past 10 people, which is exactly the headcount where Workamajig's pricing starts to make more sense on its own terms.

When does a lighter tool plus a custom layer fit better?

A common pattern for smaller agencies is running a lighter, cheaper PM tool like Teamwork for the day-to-day project work, then adding a custom finance and client-reporting layer on top for the specific numbers Workamajig or Accelo would otherwise hold natively. This avoids the 10-user minimum and the full accounting module cost, while still getting the financial visibility that made those heavier platforms appealing in the first place.

How does Blur Studio approach this?

I start by understanding whether your agency actually needs built-in accounting inside the PM tool, or whether that's handled elsewhere already. If one of the platforms above genuinely fits your headcount and budget, I'll tell you which one. If a lighter tool plus a custom finance and client layer makes more sense than paying for a 10-user minimum you don't need, I build that layer connected to your existing tools, and you keep every account in your name.

Need something completely custom?

Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask

Why does Workamajig require a minimum of 10 users?

Workamajig's pricing is structured around larger agency teams, so even a smaller agency has to pay for at least 10 seats, which makes it comparatively expensive for a team under that size.

How much does Accelo actually cost?

Accelo doesn't publish fixed prices. Its site states that cost is based on team size and growth goals, so you'll need to go through a quote request to find your actual price.

What's the cheapest Workamajig alternative?

Productive and Teamwork both start under $15 a user a month billed annually, well below Workamajig's $49 minimum, though neither includes a full built-in accounting package the way Workamajig does.

Does Scoro have a user minimum like Workamajig?

Yes, but a smaller one. Scoro's plans require a minimum of 5 users, against Workamajig's 10, and you can combine only the specific apps your agency needs rather than one fixed bundle.

Is Function Point a good middle ground between Workamajig and a lighter tool?

It can be. Function Point covers similar all-in-one ground to Workamajig, client management, time tracking and financials, at a lower per-user price and without Workamajig's 10-user minimum.

Roughly what does a custom finance and client layer cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
