ClickUp alternatives for agencies

By Ranjit Bhinge, founder of Blur Studio · Updated · 5 min read

Short answer: The main ClickUp alternatives for agencies are monday.com for a cleaner interface with less configuration overhead, Teamwork for agencies that bill by the hour and need retainers and profit reporting built in, Asana for teams planning work across many projects at once, Productive for agencies that need budgets, resourcing and billing together, and Basecamp for teams that want flat-rate pricing instead of a per-seat bill. ClickUp's Core plan is $9 a user a month billed yearly, and Business is $17, so most agencies comparing alternatives are either feeling the weight of ClickUp's deep feature set, or running the numbers on per-seat cost as the team grows.

ClickUp does almost everything, and that's exactly the problem: you want to know if a lighter, more focused tool actually serves your agency better, or if adding a client layer on top of ClickUp beats switching entirely.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Why do agencies leave ClickUp?

ClickUp is a work management platform that bundles tasks, docs, whiteboards, goals, time tracking and AI tools into one product, aimed at teams that want a single tool instead of several specialized ones. It's genuinely feature-rich, and the reasons agencies move away from it tend to repeat.

  • The feature set becomes the problem: ClickUp's flexibility means almost everything is configurable, which also means a lot of setup time before a team actually ships work in it. Agencies with less patience for configuration often feel this first.
  • Pricing has shifted structure: ClickUp's current plans are Core at $9 a user a month billed yearly (regular price $12) and Business at $17 a user a month (regular price $25), with AI credits bundled in at each tier. Agencies that priced ClickUp a while ago should recheck the current plan names and limits, since they've changed.
  • It's not built around client-facing work specifically: ClickUp is a general work management tool. Agencies that need client reporting, retainer billing or profit tracking as a core feature, not a workaround, often find that thinner here than in agency-specific tools.

None of this makes ClickUp a bad product broadly. It's a question of whether your team wants to spend time configuring a flexible tool, or wants something narrower that fits an agency workflow out of the box.

What are the best ClickUp alternatives?

Blur Studio (best value)

A ready-built, well-tested core with a different pricing model: no per-seat fees, and it covers almost all the features you'd actually need, usually working out to the best value for money. On top of that, Blur Studio builds owned customizations, meaning you can ask for it to be modified to your exact specifications, and you own those modifications outright. • Best for: Businesses that need software that works without barriers, no unnecessary fees and options to customize it to their needs.

monday.com

monday.com is a work management platform built around colorful, visual boards, with a paid plan structure that starts at a 3-seat minimum. Basic is $9 a seat a month billed yearly, Standard is $12 and Pro is $19, each adding more automation and integration actions at the higher tiers. A full comparison against ClickUp and the rest sits in my monday.com alternatives guide.

  • Best for: Agencies that want a visually clean board view with less upfront configuration than ClickUp, in exchange for a somewhat narrower feature set.

Teamwork

Teamwork is a project management platform built specifically for agencies and client service teams, with billable time tracking, retainers and client-facing features as core, not add-ons. Basics is $9.99 a user a month billed yearly with a 3-user minimum, adding Gantt charts and billable time. Accelerate is $24.99 a user a month with a 5-user minimum, adding workload planning, time budgets and retainer invoicing. My Teamwork alternatives guide covers this tool and its own competitors in more depth.

  • Best for: Agencies that bill clients by the hour and want retainer tracking and profit reporting built into the same tool as the task management.

Asana

Asana is a work management platform built for teams planning and tracking work across many projects at once, with strong portfolio and goal-tracking views. Starter is $10.99 a user a month billed annually ($13.49 monthly). Advanced is $24.99 a user a month billed annually ($30.49 monthly), adding deeper reporting and workflow automation.

  • Best for: Agencies running many concurrent projects that need a clear portfolio view across all of them, more than deep per-project configuration.

Productive

Productive is a work management platform built for professional services firms, combining project management, resource planning and financial tracking like budgets and profitability in one system. Essential is $12 a user a month billed yearly ($10 monthly). Professional is $25 a user a month billed yearly ($29 monthly), adding deeper financial oversight. Ultimate is custom-priced for complex organizations.

  • Best for: Agencies that need budgets, resourcing and project profitability tracked alongside the actual project work, not in a separate spreadsheet.

For other tools built around agency operations, see Workamajig and Accelo alternatives for agencies.

Basecamp

Basecamp is a project management and team collaboration tool built around message boards, to-dos, scheduling and file storage, priced flat rather than per seat. Freelancer is $29 a month for up to 5 users and 3 projects. Pro is $79 a month for up to 10 users and 8 projects. Pro Unlimited is $199 a month billed annually ($329 monthly) for unlimited projects and unlimited people.

  • Best for: Agencies that want a flat monthly bill regardless of headcount, especially once a team grows past the point where per-seat pricing gets expensive elsewhere.

How do ClickUp alternatives compare?

PlatformStarting pricePricing modelBest fit
ClickUp$9/user/month (Core, yearly)Per seat, deeply configurableTeams wanting one tool for everything, willing to configure it
monday.com$9/seat/month (3-seat minimum)Per seat, tieredTeams wanting a visual board view with less setup
Teamwork$9.99/user/month (3-user minimum)Per seat, agency-specific featuresAgencies billing by the hour with retainers
Asana$10.99/user/monthPer seat, tieredAgencies running many projects at once
Productive$12/user/month (yearly)Per seat, finance-focusedAgencies tracking budgets and profitability
Basecamp$29/month flatFlat rate, no per-seat feeTeams wanting predictable cost regardless of headcount

A smaller agency chasing the lowest per-seat price often lands on ClickUp or monday.com. A larger team where per-seat pricing has gotten expensive often does better on Basecamp's flat rate, or an agency-specific tool like Teamwork or Productive if billing and profitability matter as much as task tracking.

Should you just keep ClickUp with a client layer on top?

Switching project management tools is disruptive, and not every reason to leave ClickUp justifies it. If the actual complaint is that clients can't see status cleanly, or that retainer billing feels bolted on, a custom client-facing layer connected to your existing ClickUp account can solve that without migrating a single task. That's often a smaller, cheaper move than a full platform switch. For a wider comparison, see nine agency project management tools compared.

How does Blur Studio approach this?

I start by understanding what's actually not working: the configuration overhead, the per-seat cost, or a missing client-facing piece. If one of the platforms above is the better fit, I'll tell you which one and why. If the real gap is a client view or a billing workflow ClickUp or any of these don't quite handle, I build that layer connected to your existing tools, and you keep every account in your name.

Need something completely custom?

Everything above is a path to get it running quick and cheap. But sometimes the honest answer is that none of those quite fit, and what you actually need is something custom that you own, built uniquely for your business from the ground up, with AI thoughtfully designed into the parts of it that your processes actually benefit from. An asset that grows in value, not a generic, one-size-fits-all boilerplate that's an expense with a lock-in. This is a complete bespoke build, and it's something I do very well. Questions people ask

Is monday.com cheaper than ClickUp?

It's close. monday.com's Basic plan is $9 a seat a month against ClickUp's Core at $9 as well, but monday.com has a 3-seat minimum on paid plans, so a very small team may still pay more there than on ClickUp.

Why do agencies specifically move to Teamwork instead of a general tool?

Teamwork builds billable time tracking, retainers and client-facing features into its core plans, which a general work management tool like ClickUp or Asana treats as more of a workaround. ClickUp vs Teamwork.com for agencies goes through the differences in more depth.

Does Basecamp really have no per-user fee?

Correct. Basecamp prices flat by plan tier, with each tier capping the number of projects and people rather than charging per seat, which flips the usual pricing logic of tools like ClickUp or Asana.

Can I keep ClickUp and just fix the client-facing problem?

Often, yes. If the complaint is really about client visibility or billing rather than the task management itself, a client-facing layer built on top of your existing ClickUp account can be a smaller move than switching platforms entirely.

Which of these is best for a design-focused agency?

It depends on whether proofing and approvals matter more than budgeting. Productive suits agencies tracking project profitability closely, while a lighter tool like monday.com or Asana can suit a design team that mainly needs clear task and timeline visibility.

Roughly what does a custom client layer cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.
