What is the best way to schedule multiple crews?

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: The best way to schedule several crews is one shared calendar where every job has a crew, a time and an address, and every crew lead sees it on a phone. Which tool fits depends on what you schedule. Jobber, a job management tool for service businesses, schedules by job and customer. Connecteam, an app for managing hourly teams, and When I Work, a shift scheduling app, schedule by shift. ClockShark, a time clock app for field crews, adds GPS time tracking. Starting prices in this guide run from $2.50 a user to $297 a month, as of November 2026.

You have two or more crews, a whiteboard or a group chat that keeps breaking, and you want to know which tool will actually hold the schedule together.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

Why crew scheduling is so hard

Scheduling one person is easy. Scheduling crews is hard because three things move at once: people, jobs and equipment. A job needs a lead, two helpers and the right truck. Someone calls in sick. Rain pushes a job to Thursday. A customer adds a second visit. One change breaks four other things.

The usual setup is a whiteboard, a spreadsheet, or a group text. These work until you have about two crews. After that, people see different versions of the plan, and nobody knows who is where.

Good crew scheduling software fixes three things. It keeps one source of truth. It sends each change to the right phone. And it tells you when you have double booked someone.

Two kinds of crew scheduling tool

This is the "looks the same but isn't" part. There are two different tools sold under the same name.

  • Job scheduling: You schedule a job at a customer's address. The crew is attached to the job. This is what landscapers, cleaners and repair crews need. Jobber, LMN (landscaping business software) and Housecall Pro (another job management tool) work this way.
  • Shift scheduling: You schedule people into time blocks, like a restaurant does. The job is secondary. Connecteam, When I Work and ClockShark lean this way, though Connecteam and ClockShark also attach jobs to shifts.

If your crews work at different customer sites every day, start with job scheduling. If you have fixed sites with fixed shifts, like a security or cleaning contract, shift scheduling is simpler and cheaper. Many companies need both, and that is where the two kinds get mixed up.

What to look for

  • Drag and drop calendar by crew, so you see every crew in one column each.
  • Crew leader phone app with the day's jobs, addresses and notes.
  • Change alerts sent to the phone when a job moves.
  • Clock in and out tied to the job, so labor cost lands on the right job.
  • Per user pricing that fits your crew size. This one matters most. Seasonal crews can double your bill.

The tools compared

All prices are in USD, as of November 2026, from each vendor's own pricing page. Check the page before you buy, because plans change.

Jobber

Jobber is a job management tool for service businesses. It books jobs, sends quotes and invoices, and puts crews on a calendar. Core costs $29 a month billed annually or $49 month to month and includes 1 user. Connect is $99 annually or $139 monthly. Grow is $149 annually or $199 monthly. Extra users cost more, so check the pricing page for the current per user fee. I cover the full plan breakdown in Jobber pricing.

LMN

LMN is landscaping software that combines estimating, budgeting, scheduling and a crew app. Starter is $297 a month billed monthly and includes 1 office or crew lead license and 5 crew member licenses. Professional is $648 a month and includes 3 office or crew lead licenses and 15 crew member licenses. Extra licenses cost extra. It is built for landscapers, so it is the strongest fit for that trade. See my landscaping software guide for more.

Connecteam

Connecteam is an app for managing hourly teams, with a time clock, job scheduling, forms and chat. Its Small Business plan is free for up to 10 users. After that, the Operations Hub Basic plan is $29 a month billed yearly, or $35 month to month, for the first 30 users, with a small charge for each extra user. Advanced is $49 yearly or $59 monthly. If your total crew is 10 people or fewer, this is hard to beat on price. There is also a Connecteam alternative guide if it does not fit.

When I Work

When I Work is a shift scheduling app built for hourly teams. Essentials is $2.50 a user a month, Pro is $5 and Premium is $8. Time tracking is an add-on you switch on, and it is priced on top. It handles open shifts and shift swaps well. It is not a job management tool, so quotes and invoices live somewhere else. For the wider picture, see staff scheduling software.

ClockShark

ClockShark is a time clock app for field crews with GPS tracking and a drag and drop scheduler. Standard is $42 a month plus $9.50 a user. Pro is $63 a month plus $11.50 a user. The pricing page says a three year contract term applies to all plans. Read that before you sign, especially if your crew is seasonal.

Housecall Pro and Service Fusion

Housecall Pro is another job management tool for home service businesses. Its Essentials plan is $149 a month billed annually and includes 5 users and route tools. Service Fusion is a field service management tool that charges one flat price for unlimited users: Starter is $208 a month billed annually. Flat pricing helps if your crew count swings with the season. Compare it in my Service Fusion pricing guide.

A worked example with made-up numbers

Say you run a landscaping company with 3 crews and 11 people in season, including crew leads. Here is the rough monthly cost for the part each tool covers. These are illustrations, not quotes.

  • Connecteam: 11 users is one over the free limit, so you land on Basic at $35 a month, or $29 if you pay yearly.
  • When I Work Essentials: 11 users at $2.50 is $27.50, plus the time tracking add-on if you want a time clock.
  • ClockShark Standard: $42 plus 11 users at $9.50 is $146.50 a month.
  • Jobber Core: $49 monthly for 1 user, plus the fee for 10 more. Add that up from the current pricing page.
  • LMN Starter: $297 a month for 6 licenses, plus fees for the 5 beyond that.

The cheap tools schedule people. The pricier ones also quote, invoice and track job profit. Pick by what you are replacing, not by the headline price.

Can crew scheduling be automated?

Partly. Software can fill a recurring route, flag a double booking and text a crew lead when a job moves. Some tools also suggest which crew should take a new job, based on location and open time. That is auto scheduling.

What it cannot do well is judgment. It does not know that one helper is slow with a certain mower, or that a customer's gate code never works. I would automate the boring parts, like repeat visits and reminders, and keep a person making the final call on the day plan. If you want a plain-language look at what AI can safely take over, see AI scheduling assistant and business process automation.

Common mistakes

  • Buying a shift scheduler when you need job scheduling, then keeping quotes in a separate tool.
  • Ignoring seasonal headcount. A per user price at 4 people is not the price at 14.
  • Skipping the crew leader app. If leads do not use it, the schedule is only a guess.
  • Signing a multi year contract for a tool you have not run for a full season.

How I'd approach this

First, count your people at the busiest point of the year, not today. Second, decide if you schedule jobs or shifts. Third, run a free trial for two weeks with one real crew, not a demo. If a crew lead will not open the app, drop that tool.

If you have 10 or fewer people, I would try Connecteam first because it is free. If you do landscaping, I would look at LMN. If you also need quotes and invoices in the same place, a job tool like Jobber is the better fit. See my field service management software guide for that bigger decision.

If none of these fit, the schedule can also be a simple custom board that sits on top of your own job data. That is worth a look once you pay for three tools that each do part of the job.

Questions people ask

What is the best way to schedule multiple crews?

Use one shared calendar with a column for each crew, where every job has an address, a start time and a crew lead who sees it on their phone. A tool like Jobber or Connecteam does this. The key is that changes reach the crew automatically.

Is there free crew scheduling software?

Connecteam's Small Business plan is free for up to 10 users, as of November 2026. Check Connecteam's pricing page for the current limits. Most other tools charge from the first user.

What is the difference between crew scheduling and employee shift scheduling?

Crew scheduling puts a team on a job at a customer address. Shift scheduling puts people into time blocks at a fixed place. Field crews usually need the first. See staff scheduling software for the shift side.

Can crew scheduling be automated?

Partly. Software can repeat visits, flag double bookings and notify crews. A person should still approve the day plan, because tools do not know your crews and customers the way you do.

What should a landscaping company use to schedule crews?

LMN is built for landscaping and handles estimating and crew scheduling together. Jobber is a simpler option for smaller crews. See my landscaping software guide for a full comparison.
