Housecall Pro reports not working or not showing? Here's why
Short answer: Almost always a setting, not a bug. Most Housecall Pro report problems trace back to the date range or action date, a filter left on from a previous report, a column that isn't switched on in Edit Columns, or a report you edited but never saved. Most billing problems are a QuickBooks Online sync alert, commonly a duplicate customer name or a tax rate that doesn't match exactly. If the number you need genuinely doesn't exist in any report, a small dashboard built on Housecall Pro's own API is the real fix, not a new platform.
A report in Housecall Pro is blank, wrong, or missing the one number you actually need, and you want to know whether that's a setting you can fix today or something the software genuinely can't do.

When a Housecall Pro report looks wrong, the cause is almost always a setting, not a bug. The date range, a leftover filter, a missing column or a report that was never saved explains most cases I've seen described. Billing trouble follows a similar pattern, and nearly all of it traces back to the QuickBooks Online connection specifically, not Housecall Pro's own numbers being wrong.
This goes through the causes in the order they usually show up, starting with reports, then billing, then scheduling, and ends with what to do when the report you actually want simply doesn't exist yet.
Why are Housecall Pro reports not working or not showing up?
Work through these in order. The first three fix most cases.
- The date range or the action date. The date range limits results to jobs in the dates you pick. The action date decides whether that means jobs created, scheduled, completed or paid in full in that window. A job created last month and finished this month will or won't appear depending purely on which action date you chose.
- A filter you forgot was on. The blue Filter button on each report opens the filter menu, covering things like job type, employee and amount due. Clear every filter and compare, since an old filter left on from last week is one of the most common reasons a report looks emptier than it should.
- A column that isn't switched on. Edit Columns adds or removes the metrics shown, then you save. The number you're looking for may exist as a column that simply isn't turned on yet.
- Grouping by the wrong field. Inside Edit Columns, the Group by menu offers date, employee, business unit, job type, job tag or lead source. Check the report is actually grouped by the field you think it is.
- A report that was never saved. Edits to a report only persist once you click save, top right. Saved reports then live on the Custom page in the left rail, not automatically wherever you were working.
- Job data that's incomplete. A report can only total what the job record actually contains. A job with no lead source, no tag, or no employee assigned can't be grouped by any of those fields, no matter how the report is built.
- A report gated by plan or add-on. Housecall Pro's advanced reporting page doesn't spell out which plan unlocks which report, but its help center says the Tech Leaderboard needs Essentials or Max and lead conversion reports need the Pipeline add-on. If you've worked through everything above, check with support or whoever owns the account before assuming it's broken.
If a report loads but the totals don't match your bank or your books, that's a separate problem, and the next section covers why.
Why do Housecall Pro numbers not match QuickBooks or the bank?
Housecall Pro and QuickBooks Online keep separate records of the same money, and Housecall Pro's own help center is direct about this: the connection "typically functions one-way," with data flowing from Housecall Pro into QuickBooks, not the other way.
These items sync automatically, usually within 2 to 5 minutes of you finishing a job, sending an invoice, or recording a payment: invoices, payments including Service Plan payments, new customer information, and new Price Book items.
These items do not sync on their own, and this is where most mismatches come from.
- Edits to an invoice after its first sync: line items, quantities, prices or descriptions.
- Changes to the invoice date or due terms.
- Deleted or canceled invoices, which you have to remove in QuickBooks yourself.
- Estimates, which never push to QuickBooks at all.
So a Housecall Pro report can show one number while QuickBooks shows another for a completely mundane reason: someone edited an invoice after it already synced. Before you assume either tool is wrong, open the same single invoice in both systems and compare them directly.
What are the common Housecall Pro billing problems?
Housecall Pro's help center lists the common QuickBooks Online sync alerts. Each one blocks a specific invoice or payment from reaching your books until you fix the cause.
| Alert | Likely cause | Fix |
|---|---|---|
| Display Name Conflict | An invoice went out for a duplicate customer profile | Rename or merge the duplicate profiles, then Reprocess |
| Name Already Taken | The customer name matches a vendor or employee already in QuickBooks | Give the customer a unique display name, then Reprocess |
| Duplicate Name Exists Error | A customer, service or product name in Housecall Pro isn't linked to the matching QuickBooks name | Click Reprocess; contact support if it persists |
| Tax Rate Unavailable | The tax rate name or percentage differs from QuickBooks, even by a space or a capital letter | Create a matching rate in QuickBooks, or pick a rate that already exists in both |
| Account Period Closed | An invoice is being edited after the QuickBooks accounting period closed | Reopen the period in QuickBooks, then Reprocess |
| Invoice Number Already Taken | That invoice number already exists in QuickBooks | Regenerate the number, then Sync again |
| At least 1 line item is required | The invoice has no Service or Material Price Book line items | Add a line item, then Reprocess |
| Invalid Item Ref | A bank account Housecall Pro was configured to use has been deleted in QuickBooks | Reactivate the account in QuickBooks, or reconnect the correct account in Housecall Pro's settings |
| QuickBooks Service Unavailable | The connection dropped mid-sync | Reprocess |
To retry, open the QuickBooks icon, click the three dots next to the alert, then Sync again, after fixing whatever caused it. Dismissing an alert with the X is permanent for that alert, and it will come straight back if the job is edited or the invoice is pushed a second time.
Two more things worth knowing: QuickBooks Online's own Automated Sales Tax feature can override the tax rate Housecall Pro sends, which can leave stray balances or credits sitting on a customer's account, and Housecall Pro says plainly that it does not support compound tax rates at all.
What do card payments actually cost, and why that matters for your reports
Housecall Pro's pricing page lists card processing at "as low as 2.59%" across its plans, with a flat 1% fee on bank payments. Its help center puts invoice card payments at 2.99% and keyed-in, saved or business cards at 3.49%. When a payment total in a report looks short, the card fee is usually why: it comes straight out of the payment before it settles. The exported report carries both a Credit Card Fee column and a separate Paid Amount column, so you can see the two numbers side by side instead of guessing.
What are the common Housecall Pro scheduling problems?
Housecall Pro's own scheduling FAQ answers most of what owners ask about here.
- Crews. The help center is direct: "There isn't a way to set up crews in HCP yet." You assign more than one employee to the same job instead, as a workaround.
- Lead technician. There's no official lead role. Whichever employee is listed first on the Schedule page is treated as the lead, their color shows on the calendar, and their name may appear in messages the customer receives.
- Unscheduled jobs. A job sits on the unscheduled list until you actively schedule it or mark it complete; it doesn't disappear or get flagged on its own.
- Changing the assigned technician. For estimates and standard jobs, edit the dispatched employee under Line items. For jobs with appointments or recurring jobs, edit the employee under Appointments instead, a different place in the interface.
If your calendar is showing the wrong person as lead, check both of those two places before assuming something is broken. A job with several employees assigned will always show as the first-listed person's color, which trips people up more often than an actual bug does.
What does the exported report actually include?
If you need to check numbers outside Housecall Pro entirely, the exported report's column list is wider than the dashboard shows. It includes the invoice number, created and scheduled dates, travel duration, on-job duration and total duration, full customer and address details, line items, labor and materials breakdown, subtotal, payment history, credit card fee, paid amount, amount due, discount, tax rate and taxable amount, job tags and notes, assigned employee, job status, tip amount and online booking source.
That's genuinely useful for building your own spreadsheet. What it still doesn't contain is job cost, so on its own it can't show profit by job, only revenue.
What if the report you need doesn't exist?
Housecall Pro's built-in reports cover jobs, invoices and technician results. Its advanced reporting page lists Business Insights, Job Reports, Invoice Reports with an Aging Report, and Analyst AI, a feature that builds a custom report from a plain-language question you type in. Housecall Pro's AI Team overview says Analyst AI is included with your account, and its Analyst AI article points you to chat or phone support if you can't find what you need.
Try these in order.
- Fix the settings covered above, and save the result as a custom report.
- Ask Analyst AI for the report directly, if your account has it.
- Export and join the data in a spreadsheet against your QuickBooks numbers.
- Build a dashboard on top. Housecall Pro has a documented API. A dashboard built on it can read your jobs and invoices and join them with accounting, payroll and ad spend data in one place.
That fourth step fits when you're asking the same question every week and the answer still takes an hour of spreadsheet work to produce. Profit by job type and revenue per technician are the two I see most often. My Housecall Pro reporting guide lists what the built-in reports can show on their own, and my KPI dashboard guide helps narrow down which numbers are actually worth tracking.
Should you switch tools instead?
Maybe, but check what the actual problem is first. A tax mismatch or a filter left on will follow you to the next platform exactly as it is now; switching tools fixes nothing about either. A genuine gap in reporting depth or crew scheduling is a fairer reason to look elsewhere. As of October 2026, Housecall Pro lists Basic at $59 a month on annual billing for one user ($79 monthly), Essentials at $149 a month for 5 users ($189 monthly), and Max at $299 a month for 8 users ($329 monthly), then $35 a month per extra user above that. My Jobber vs Housecall Pro page compares the two directly, and my pricing guide covers what the add-ons do to the total bill.
How I'd approach this
Before I'd build anything, I'd ask you to walk through the list in the first section with me, because in my experience most "the reports are broken" complaints turn out to be a filter, a date setting, or a field nobody filled in on the job itself, and those cost nothing to fix. If what's actually missing is a genuine gap, something like profit by job type, a weekly number the owner wants without logging in, or a QuickBooks figure that should match but doesn't because of how the sync works, I build a small reporting layer that sits on top of Housecall Pro's own API, pulls in the accounting side properly, and sends you the number directly instead of making you go find it. You keep Housecall Pro exactly as it is for scheduling, dispatch and invoicing. I'm not trying to sell you a platform switch, since in most of these cases the platform isn't actually the problem.
Questions people ask
Why is my Housecall Pro report blank?
Check the date range and the action date first, then clear every filter in the Filter menu. A blank report almost always means a filter or a date setting is hiding jobs that do, in fact, exist.
Why are my Housecall Pro reports not saving?
Click the save button at the top right after editing columns, and follow the prompt through to completion. Saved reports then appear on the Custom page in the left rail, not wherever you were working at the time.
Why don't my Housecall Pro invoices show up in QuickBooks?
An alert on the QuickBooks icon in your account almost always explains it. The common causes are a duplicate customer name, a tax rate that doesn't match exactly, or a closed accounting period. Fix the underlying cause, then click Sync again rather than dismissing the alert.
Can Housecall Pro schedule crews as a group?
Not yet. Housecall Pro's help center states directly that crew setup isn't supported. The workaround is assigning several employees to the same job individually.
Who do I contact when a Housecall Pro report looks genuinely wrong?
Housecall Pro's help articles point you to chat support through the blue chat bubble inside your account. Work through the settings checks on this page first, since most "wrong" reports turn out to be a setting rather than something support needs to fix.
What does it cost to build a dashboard on top of Housecall Pro?
As a broad reference, fixes and smaller reporting builds start around $1,500, always a fixed price agreed in writing before I start, never billed by the hour. My AI app cost guide explains what actually drives a quote up or down.
Is it worth paying for a custom dashboard if my team is small?
Often not, which is exactly why I ask what you're missing before quoting anything. If the gap is a filter, a saved view or a column Housecall Pro already offers, I'll tell you that on the first call instead of building something you didn't need.
