Can AI fix Housecall Pro reports that are wrong or missing?
Short answer: Yes, in two narrow ways. Housecall Pro, a field service app for scheduling, dispatch and invoicing, has a built-in assistant called Analyst AI that builds a report from a plain-language question. And a general AI assistant like Claude can read an exported Housecall Pro report and answer questions the built-in reports cannot, such as profit by job type. AI will not fix a QuickBooks sync alert or a filter you forgot was on, and every number it gives you needs a quick check against the source.
Your Housecall Pro reports are blank, wrong or missing the one number you need, and you want to know whether AI can get you that number faster than another hour in a spreadsheet.
I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.
If you want to know where AI would pay off in your own field service business first, the AI Strategy Sprint finds it in 3 days.
The problem, briefly
My guide to Housecall Pro reports not working covers the usual causes: a date range or action date set wrong, a filter left on, a column switched off, a report never saved, and sync alerts from QuickBooks Online (Intuit's accounting software) that stop invoices reaching your books. Fix those first. They cost nothing and they explain most cases.
What is left after that is a different problem. The report you want does not exist, or the numbers sit in three places and nobody has time to join them. That is where AI genuinely helps. It is not magic, and it makes mistakes, but joining and summarizing columns of figures is work it does well as a first pass.
Where AI helps with this problem
- Asking for a report in plain words. Instead of hunting through filters and Edit Columns, you type the question. Housecall Pro's own assistant does this inside the app, covered below.
- Finding why two numbers disagree. Export one week of invoices from Housecall Pro and the matching list from QuickBooks Online, paste both into Claude, and ask which invoices appear in one and not the other. Editing a job after its invoice has synced can raise a new alert, according to Housecall Pro's sync alerts page. This is a matching task, and AI is quick at it.
- Working out profit by job type from an export. The exported report lists labor and materials as billed amounts, not what the work cost you. Housecall Pro's Jobs reports can also show labor cost, material cost and profit margin columns, so look there first. Where your costs are not entered, you can add them yourself and Claude can group by job type and show where the margin is thin.
- Spotting jobs with missing data. A report cannot group by lead source or employee if the job has none. Ask Claude to list every job in the export where those fields are blank, so you know what to clean up and who to tell.
- Writing the weekly summary. Once the numbers are right, Claude can turn them into three plain sentences for the owner: what went up, what went down, what to look at.
None of this needs special software. Each task is narrow, with an answer you can check. That makes it a safe use of AI, unlike asking it to decide how to run your business.
A real example: Housecall Pro's Analyst AI
The clearest real example is from the vendor itself. As of November 2026, Housecall Pro's help center describes Analyst AI, one of five AI teammates built into the account. You ask it a question about the data in your reporting dashboard, and it returns a ready-made report you can save with one click. There is an "Ask Analyst AI" button on the reporting screens, and the chat opens in a side panel.
Housecall Pro's own example questions show the kind of thing it handles:
- What is my gross profit on jobs completed last week?
- Can you compare my job types in 2024?
- Which technician had the highest average ticket last month?
- What is my average job size for November 2024?
Housecall Pro says the AI Team is included free with the account, except its call answering teammate, which is an optional add-on. This is a vendor describing its own feature. No published customer results for Analyst AI, that I know of. The practical point is that the feature exists, it is free to try, and it targets exactly the "report I cannot build" problem. Check the numbers it returns against a report you already trust before you rely on it.
How to do this yourself with Claude
Claude is an AI assistant from Anthropic. You can use it in a browser with no setup. Here is a concrete first try using a Housecall Pro export.
- Export the report. In Housecall Pro, open the report, set the date range and action date, clear old filters, then export. The export has a wider column list than the screen, including the assigned employee, job tags, line items, payment history, credit card fee and amount due.
- Remove what you do not need to share. Delete the customer name, phone and address columns before pasting. Reports do not need them for money questions. Check your own privacy rules first.
- Paste the data and ask. A prompt that works well: "This is a Housecall Pro job export for October. Group the jobs by job tag. For each tag give job count, total revenue, average ticket and total credit card fees. Then list any jobs with no tag or no assigned employee. Show your working so I can check it."
- Check two totals. Add up revenue yourself for one tag and compare. If it matches, the rest is likely sound. If not, ask Claude to show which rows it counted.
- Add costs for a profit view. If your costs are not already in Housecall Pro's Jobs report, paste a second table of what each job cost you in materials and subcontractors, and ask for profit by job type. Label clearly that this cost data comes from you.
Keep it a habit, not a one-off. Run the same prompt on the first of each month and compare month to month. That is the point where a repeating question is worth automating, which I cover below. If you are still choosing your numbers, my KPI dashboard guide helps narrow them, and the Housecall Pro reporting guide shows what the built-in reports already cover.
Where a person still has to check
- The totals. AI can miscount or skip rows in a long paste. Always spot-check.
- Anything about tax or the books. Whether a number belongs in QuickBooks Online, and how, is your bookkeeper's call.
- Cause, not just count. AI can tell you margin dropped on one job type. Only you know the crew was short that week.
- Customer data. Strip names and addresses before pasting, as above.
If you are weighing a switch to another field service app because of reports, try this first (my Jobber vs Housecall Pro page compares two popular ones). A reporting gap is often an analysis gap, not a software gap.
How I'd approach this
I would start with the free steps in this order: fix the settings in my reports guide, try Analyst AI on the three questions you ask most, then try the Claude export routine for a month. If the answers are good and you still spend an hour a week gathering them, that is when to automate it. To pick the first thing to try without guessing, the AI Strategy Sprint is a paid 3-day first step where we find where AI could help your business, and you get the exact steps written down. It starts with a free 15-minute AI brainstorm call.
The automated version reads your jobs and invoices through Housecall Pro's API, joins them with your accounting figures and sends the weekly number to you. Housecall Pro stays for scheduling and invoicing. If a habit change solves it, I will tell you so.
Questions people ask
Does Housecall Pro have AI for reports?
Yes. Analyst AI, part of Housecall Pro's AI Team, builds a report from a question you type and lets you save it. Housecall Pro's help center says the AI Team is included with the account, except its call answering teammate, which is an add-on. Check your account for what is switched on.
Can AI fix my QuickBooks sync alerts?
No. A sync alert, such as a duplicate customer name or a tax rate that does not match, needs a fix in Housecall Pro or QuickBooks Online, then a retry. AI can help you find which invoices are affected by comparing two exports, but the fix is yours. See my reports troubleshooting guide.
Is it safe to paste Housecall Pro exports into Claude?
Remove customer names, phone numbers and addresses first, since money questions do not need them. Check your own privacy rules, and use a business plan if your terms require specific data handling.
Will the AI get the numbers right?
Usually, but not always. Ask it to show its working and check one total by hand. Treat it as a fast first pass, not a final answer.
Can AI show profit by job in Housecall Pro?
Housecall Pro's Jobs reports can show labor cost, material cost and profit margin, so check there first. The exported report lists labor and materials as billed amounts, not your costs. If you supply the costs, Claude can combine the two and show profit by job type.
When is it worth building something instead?
When you ask the same question every week and still spend an hour producing the answer. Smaller reporting builds start around $1,500 as a fixed price agreed in writing first. My AI app cost guide explains what moves a quote.
