AI for plumbers, HVAC companies and electricians: what it does on a real workday

By Ranjit Bhinge, founder of Blur Studio · Updated · 6 min read

Short answer: AI helps plumbers, HVAC companies and electricians answer every call, book jobs into the schedule, draft quotes and send follow-up texts. The easiest start is the AI built into job software, such as Jobber's Receptionist, a $29 a month add-on as of October 2026. Before you switch it on, check the call recording rules in your state and register your business texting number.

Ranjit Bhinge

You run a plumbing, HVAC or electrical business and want to know what AI actually does on a real workday.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

What can AI do for a plumbing, HVAC or electrical business?

The best uses save office time or win jobs you would lose. Here is what that looks like on a normal day.

Answering calls you can't take

An AI receptionist picks up when your team is busy or closed. It asks what the problem is, takes the address and books a slot. If the caller says "water everywhere" or "no heat", it can pass the call to your on-call tech. My guides to a plumbing answering service, an HVAC answering service and an electrician answering service cover the call scripts for each trade.

Texting back missed callers

Some callers hang up before anyone answers. AI can send them a text within seconds and ask what they need. Many of them reply and book. My page on missed call text back explains how to set this up.

Booking and rescheduling

AI can look at your schedule and offer open times. It can confirm visits the day before and move jobs when a customer asks. This frees your office person for harder calls.

Drafting quotes and estimates

A tech can speak notes into a phone after a site visit. AI turns those notes into a tidy quote with your prices. The tech checks it and sends it. My page on quote generators covers this in more detail.

Summing up job notes

AI can turn a long voice memo into short job notes for the next tech. It can also write a plain summary for the customer, such as what was fixed and what to watch for.

Follow-ups and maintenance plans

HVAC firms sell tune-up plans. Electricians and plumbers win repeat work from past customers. AI can send reminders when a tune-up is due and ask happy customers for a review.

What AI tools exist for the trades?

The simplest path is the AI inside the job software you already use. The prices quoted are from the vendors' own sites as of October 2026.

  • Jobber Receptionist: It answers calls and texts at any hour, books visits and takes work requests. It can move urgent calls to you based on keywords you set, and it texts back callers who hang up. Each call is logged with a summary, transcript and recording. It costs $29 a month on top of a Jobber plan.
  • Jobber plans: Core starts at $29 a month billed yearly, or $49 a month with no commitment.
  • Housecall Pro CSR AI: It answers calls and website chats day and night. It books jobs onto your calendar and uses the customer and job details already in Housecall Pro. You choose whether it tells callers it is AI, and it can pass a caller to a person. Housecall Pro does not list a separate price for it on its feature page.
  • Housecall Pro plans: Basic is $59 a month billed yearly, or $79 billed monthly. Essentials is $149 a month billed yearly, or $189 monthly.
  • ServiceTitan AI Virtual Agent: It answers calls and books jobs using ServiceTitan data, such as job types and which techs are free. It can use set greetings for members, books recurring maintenance and can text new leads. ServiceTitan shows no price for it and asks you to book a demo.

If you are picking job software at the same time, read my guides to plumbing software, HVAC CRMs and electrical contractor software. My Jobber vs Housecall Pro page compares the two most common picks for small shops.

Tool What it does Price shown (October 2026)
Jobber Receptionist Calls, texts, booking, urgent call transfer $29 a month add-on
Housecall Pro CSR AI Calls, web chat, booking No separate price listed
ServiceTitan AI Virtual Agent Calls, booking, maintenance visits, outbound texts Demo only

What rules apply when the trades use AI on calls and texts?

AI does not change the phone and text laws. It makes it easier to break them by accident, because one setting can affect every call.

Call recording consent

Most AI receptionists record calls. Federal law lets you record a call if one person on the call agrees. Some states want everyone on the call to agree. Justia lists California, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Pennsylvania and Washington as all-party states. It says Nevada also needs everyone to agree before a phone call is recorded. A few other states have mixed rules. The safe step is a short line at the start of every call that says the call is recorded.

AI voices on outbound calls

On February 8, 2024, the FCC ruled that AI-generated voices count as "artificial" voices under the Telephone Consumer Protection Act. That means robocall rules apply to them. For marketing calls, you need the person's prior express written consent before an AI voice calls them. Answering a customer who called you is a different case. Calling a list of old customers to sell tune-ups is the case to watch.

Business texting

If your AI sends texts from a normal 10-digit number, you must register for A2P 10DLC. This is the US carrier system for business texts. Twilio says anyone sending texts this way from an app to US numbers must register. Unregistered texts face extra carrier fees and more filtering, so customers may never see them. Your job software or phone provider usually walks you through it.

How do you set up AI well in a trade business?

  1. Write your triage rules first: List what counts as an emergency for your trade. A gas smell, a flooded basement or a sparking panel should go straight to a person.
  2. Give it your real prices and service area: The AI should know which zip codes you cover and what you charge for a call-out.
  3. Start after hours: Let the AI take nights and weekends for two weeks. Listen to the recordings.
  4. Add a recording notice: Put it in the greeting from day one.
  5. Check the bookings daily at first: Make sure jobs land in the right slot with the right details.
  6. Then expand: Move to daytime overflow, then follow-ups and reviews.

When does a custom AI system make sense for a trade business?

Most small shops should use the AI in their job software. It is cheap and quick to switch on. A custom system is worth it in these cases:

  • Your software has no AI option: You run older or niche job software, and moving off it would cost more than building on top of it.
  • Many tools that don't share data: Calls, texts, quotes and invoices live in separate apps, and your office copies details between them.
  • Your own triage or pricing logic: You price by zone, by system age or by membership level, and the built-in AI can't follow it.
  • Several locations: You need calls routed by branch, trade and tech skills.
  • Per-seat costs keep climbing: You pay for many add-ons per user as the team grows.

My page on field service management software covers the wider choice. If you are on ServiceTitan and it feels like too much, see my ServiceTitan alternatives guide.

What mistakes do trade businesses make with AI?

  • Letting the AI quote a firm price over the phone for a job it cannot see. Give it a price range or an estimate process, not authority to promise an exact number sight unseen.
  • Setting the same urgency rules for every trade in a multi-trade shop. A gas smell and a dead outlet are not the same kind of emergency, and the AI's triage list needs to reflect that difference precisely, not a generic urgent-or-not split.
  • Never listening back to the after-hours recordings. The first two weeks tell you everything about where the AI is getting it right or wrong. Skipping that review is the single most common reason a trade business's AI receptionist underperforms.

How would Blur Studio approach AI for a trade business?

I would start by listening to a week of your calls and reading your job notes. That shows where time and jobs are lost. I then builds an AI receptionist or workflow that books straight into the software you already run. It follows your own emergency rules and your service area. The system and its accounts sit in your company's name, and I keeps it working after launch.

Questions people ask

Can AI answer calls for a plumbing company?

AI can answer calls for a plumbing company. AI receptionists in tools like Jobber, Housecall Pro and ServiceTitan answer calls, ask about the problem and book the job. Set rules so true emergencies go to a person right away.

How much does an AI receptionist cost for HVAC or plumbing?

Jobber Receptionist is a $29 a month add-on to a Jobber plan, as of October 2026. Housecall Pro and ServiceTitan do not show a separate price for their AI call agents on their feature pages.

Is it legal for an AI receptionist to record calls?

It is legal if you follow your state's consent rules. Some states, such as California, Florida and Pennsylvania, require everyone on the call to agree, so tell callers at the start that the call is recorded.

Can I use AI to call past customers about tune-ups?

You can, but marketing calls with an AI voice need the person's prior express written consent. The FCC ruled in February 2024 that AI voices count as artificial voices under the TCPA.

Do electricians need different AI tools from plumbers?

The tools are mostly the same. The setup differs, because each trade has its own emergencies, job types and safety questions, so the call script should be written for your trade.

How do I know if my AI receptionist is actually working well?

Listen to a sample of its after-hours calls every week for the first month, not just once at setup. That is where you catch wrong triage calls, missed bookings and answers that need correcting before a real customer is affected by them.

Roughly what does this cost?

As a broad reference, fixes and finishes start at around $1,500, and new builds start higher, always a fixed price agreed in writing before I start, never an hourly rate. My AI app cost guide explains what actually drives a quote up or down.

Is my project too small for this?

No. Most of the owners I work with have no tech team at all, that is the whole point. If the smarter move is a cheap software subscription instead of custom software, I will tell you that on the first call, even though it means I do not get paid.
