What should a small service business expect to pay for software?

By Ranjit Bhinge, founder of Blur Studio · Updated · 5 min read

Short answer: In the tools compared here, one person can start a home service business on job software for $19 to $59 a month (Service Fusion is a flat $208). A five-person crew lands between about $79 and $235 a month and ten technicians between about $149 and $470, before add-ons, texting and card fees. Those figures come from the vendors' own pricing pages as of November 2026. Job software is the tool that handles scheduling, quotes, invoices and customer records for crews who work at other people's properties. The real bill is often well above the headline price once phone, routing and extras are added.

Ranjit Bhinge

You run a small service crew, such as cleaning, pest control or pressure washing, and you want to know the real monthly bill before you sign up for anything.

I'm Ranjit, and I run Blur Studio: 15+ years building software, 120 apps taken live, and clients who have gone on to raise $10M+. I build AI systems and processes that help businesses do a lot more with a lot less time. I also work differently from most of what else is out there, more on that further down this page. Say hello.

What you are actually paying for

A small service business usually pays for four things, and each is priced differently.

  • The job tool: scheduling, dispatch, quotes, invoices and customer records.
  • The phone and texting layer: an answering service, call tracking or text reminders.
  • Routing: putting the day's jobs in a sensible driving order.
  • Reporting and glue: spreadsheets, connectors such as Zapier (a service that links apps so they pass data to each other), and your accounting package.

Vendors charge by three models. Per user means every office and field person adds cost. Per route or per job volume means the number of crews or jobs sets the price, not headcount. Flat rate means one price for unlimited users. Which model you are on matters more than the starting price. For tool choice itself, see my guide to field service management software.

Headline prices, as of November 2026

All prices are in US dollars per month. Jobber, Housecall Pro and Service Fusion show a lower annual rate and a higher month-to-month rate; the table uses the annual rate. ServiceM8, GorillaDesk and ZenMaid are month-to-month.

Real monthly cost at three team sizes

These use only published prices (the annual rate where one is shown) and assume everything in the plan fits.

Housecall Pro$59 (Basic)$149 (Essentials, 5 users included)$369 (MAX at $299 for 8 users, plus 2 extra at $35)
Tradify Lite$47$235$470
Service Fusion Starter$208$208$208

ServiceM8$29 (50 jobs)$79 (150 jobs) if you do about 100 jobs$149 (500 jobs) if you do about 300

Jobber sells plans by team size, so run your headcount through its pricing page. For one user, Core is $29, Connect $99 and Grow $149. The ServiceM8 row shows why job volume matters: a busy ten-person crew doing more than 1,500 jobs a month would be on Premium Plus at $349 plus 20 cents for every job over the limit.

The cheapest model flips with your size. Per user is cheapest for one or two people. Flat rate or per job volume is cheapest once you have a bigger crew with fewer jobs each.

The costs that are not on the pricing page

  • Add-ons. Jobber sells a Marketing Suite at $99 a month, an AI Receptionist (software that answers calls and texts) at $29 and Pipeline (a lead tracker) at $49. Add all three to Core and the $29 plan becomes $206.
  • Annual versus monthly. Paying month to month costs more. Housecall Pro Basic is $20 more a month. Jobber Core is $20 more. Service Fusion Starter is $37 more.
  • Setup and sign-up fees. Service Autopilot, a lawn care software tool, lists $49 a month for Startup plus a sign-up fee. Ask for the exact figure before you sign.
  • Texting. ZenMaid says text charges are not included. GorillaDesk charges $5 a month for texting plus credits ($50 for 1,000 texts). ServiceM8 charges 10 cents per text on its free plan only.
  • Card fees. Housecall Pro says rates start as low as 2.59 percent. On $20,000 of card payments a month, 1 percentage point is $200.
  • Office add-ons. ServiceM8 sells an Office Agent Pro add-on at $39 a month on paid plans.

By business type

Most generic tools cover cleaning, pest control, pressure washing and window cleaning. Housecall Pro lists pressure washing, window cleaning, pest control and home cleaning among its industries. Check three trade-specific points before you pick.

A worked example, with made-up figures

A five-person pressure washing company pays for the following each month. All figures are invented for illustration:

  • Job tool: $149
  • Call answering and texting: $60
  • Routing: $40
  • Review requests: $50
  • Zapier plan to connect them (starts at $19.99): $20

That is $319 a month, or $3,828 a year. Over three years it is $11,484. The headline price was $149, but the stack is more than double. Five tools also means five logins and five places for a customer's record to go stale. My guide to joining field service tools explains how to cut the glue work.

When one custom build costs less than the stack

A custom build has an upfront cost and then small upkeep. Divide the build quote by your monthly stack to get months to break even. With made-up numbers: a $15,000 build against a $319 stack takes about 47 months, so it loses on cost alone. The same $15,000 against a $1,200 stack (a 15-technician firm paying for many tools) breaks even in about 13 months, and you own it afterwards. Custom wins when your stack is large, your process is unusual, or per-user fees keep rising. It loses when a ready-made tool already does the job. My guides on custom software cost and build vs buy go through the numbers.

How I'd approach this

I would shortlist two tools, price both for my real headcount and my real monthly job count, then add the extras I know I need: texting, a phone answering layer and card fees. I would pay annually only after the free trial, and I would write the three-year total in a spreadsheet next to the other tool. If the stack reaches the point where I am paying more to connect tools than to run them, that is when I would look at one owned build.

Questions people ask

How much does home service business software cost per month?

As of November 2026, entry plans run from $19 (ZenMaid) to $59 (Housecall Pro Basic) for one person. In the tools compared above, a five-person crew pays about $79 to $235 and ten technicians about $149 to $470 before add-ons. See Jobber pricing and Housecall Pro pricing for full plans.

Is flat-rate or per-user pricing cheaper?

Per user is cheapest for one or two people. Flat rate, like Service Fusion's $208 a month for unlimited users, only pays off with a large crew: in the table above it beats Housecall Pro and Tradify at ten technicians, but not at five. Per-route pricing, like GorillaDesk, helps when many people ride in one crew.

How much does pest control business software cost?

GorillaDesk starts at $49 a month for the first route and adds $50 a month for routes 2 and 3 on Basic, as of November 2026. Housecall Pro and Jobber also serve pest control. Read pest control software for the full comparison.

What is the cheapest technician scheduling app?

ServiceM8 has a free plan with 1 user and 30 jobs a month, and ZenMaid starts at $19. For a team of five, a flat-rate or job-volume plan like ServiceM8's $79 for 150 jobs beats per-user pricing. Always include texting and card fees.

When is custom software cheaper than a tool stack?

When your yearly stack cost times about three is close to a custom quote, or when your process is unusual. Divide the quote by your monthly spend to get the break-even in months. See custom software development cost and build vs buy software.
